Selection Process

• Answer telephones, interview callers, follow specific guidelines in providing information and directing calls and taking messages;

• Respond to all emergency and non-emergency calls for natural gas (in accordance with city natural gas emergency response plan) and water system, dispatch maintenance and repair crews as needed and monitor staff movements in and out of organization;

• Greet visitors to organization, monitor access and maintain security awareness, provide information to customers;

• Perform basic cashier duties;

• Assist in the finance and building and planning departments when needed;

• Prepare a variety of materials for public works staff, including correspondence, reports, manuals, guidelines, mailings, spreadsheets, data bases and permits;

• Open, sort and distribute incoming correspondence;

• Maintain office supply inventories and coordinate maintenance of office equipment;

• General clerical duties including filing, photocopying, fax and mailing, including filing of natural gas operational records;

• Maintain electronic and hard copy filing system;

• Prepare and modify documents including correspondence, reports, drafts, memos and emails;

• Schedule and coordinate meetings, appointments and travel arrangements;

• Prepare quarterly mailings and brochures regarding pipeline and natural gas safety in accordance with the city natural gas public awareness program;

• Attend meetings and prepare meeting minutes;

• Performs other duties as required.

Additional Experience or Ability to:

Under the direct supervision of the Program Coordinator, the Administrative Staff Assistant performs assigned office duties for the Public Works Department; and does related work as required. This position requires the ability to work effectively in a busy environment with multiple distractions and demonstrate flexibility, versatility, and attention to detail in the performance of the basic functions of administrative support. Must possess a considerable degree of tact, mature professional judgment and high degree of organization in performing a variety of office support tasks.

• Two years increasingly responsible clerical and secretarial experience, involving frequent contact with the public

• Equivalent to completion of the twelfth grade

Susanville is located in Lassen County in the heart of North East California, at 4,200 feet in elevation. Residents and

The Public Works Department has 21 full-time employees and is organized across five divisions: Water, Streets,
