1. Introduction

1.0 Overview

The purpose and scope of the Citrix upgrade is to align the Citrix environment with the Agency’s directive to be “N” compliant. This project includes all server operating systems supported by the EDUCATE program that are capable of running on the current version (“N”).

The existing production Citrix environment runs Windows Server 2000 32-bit. The new Citrix environment is built on Windows Server 2008 64-bit.

2.0. OCIO Non-GFE Policy

As a reminder, the use of Remote Access capabilities is not explicitly supported on Non-GFE (Government Furnished Equipment) computers (i.e., computers not supplied by the Department, such as a home computer, a computer at an Internet kiosk, etc).

No responsibility or accountability of the contents of the suggestions, sites or download software is assumed by either Dell/Perot Systems or the Department of Education.

Department of Education contractors and technicians are forbidden from working on Non-GFE, per OCIO Policy.

2.Citrix – General Instructions

2.1. General Information

The new Citrix environment can be accessed remotely from https://fpass.ed.gov using the “Citrix Portal Access” link.

The new Citrix environment can be accessed internally on the ED network from http://citrix.ed.gov using the “ED Standard Desktop” link.

There is no change to usernames and passwords.

2.2. Additional Features and Capabilities

The new Citrix profile will include all documents saved on your desktop as well as any newly created icons. In addition, your Internet Explorer (IE) favorites list will be saved to the new environment.

Initial Logon - The first time you logon to the new environment will require some additional time and resources. This is dependent upon the number of personal icons and documents that currently exist on your desktop. Additional time (5 minutes or more) may be required to create a new profile and copy existing data from your production “EDNET Applications 2000” profile. Subsequent logons will process much faster as only newly created or modified data files from your “EDNET Applications 2000” production profile will be updated to the new environment.

You can reduce your initial profile creation time by removing unnecessary icons from your current Citrix profile and by deleting old documents no longer required. Moving documents from your Citrix desktop to your shared drive (P Drive) will also save resources.

2.3. Login Instructions – at Work

From the ED network, you can access the new Citrix environment internally by going to http://citrix.ed.gov.

Step 1: If prompted, login to the site with your existing ED credentials. Click on the “ED Standard Desktop” icon to connect to the new Citrix environment.

Step 2: Information tip screens may pop-up during initializaton, click on the “OK” button to allow processing to continue.

2.4. Login Instructions – for Two Factor Authentication and Remote Access

This section assumes that your ED computer is located outside of the Department (e.g., an ED employee’s home or home office), and that the computer is running and connected to the Internet. To log in to the Firepass Device and begin using Remote Access, follow the instructions below:

Open a Web browser (Internet Explorer, Firefox, etc) and type the following into the Address Bar at the top of the browser window:

Step 1: On the Firepass logon screen, enter your ED username, password and security code (from your TFA token) and click the “logon” button.

** You can click on the link “Register or Maintain Token” link if you need to register your token. **

Step 2: This window has four general groupings of applications but most staff will select “Citrix Portal Access.”

They are: Citrix/Terminal Servers : The links in this section are used to

access various applications available in the Department’s Citrix environment. Most staff will select the “ED Standard Desktop.”

SSL VPN : The link in this section is used to access various applications within the ED network directly from the ED-furnished computer.

App Tunnel: Travel Applications Web Applications: The links in this section are used to access the

listed applications, each of which can be accessed using a standard Web browser.

2.5. EDCAPS

EDCAPS users will continue to use their current access path; either through the EDCAPS Portal Access icon or the local EDCAPS icon. EDCAPS users will be migrated from the legacy system when EDCAPS is fully converted to the Java platform.

For EDCAPS FPASS remote user, please use the “Support and EDCAPS Portal Access” as shown below.

2.6. Mac Users

Macintosh users please refer to the Mac document located on connectED at https://share.ed.gov/educate/Documents/CitrixMacRemote.docx. This document contains information and download/installation instructions for Mac users connecting to the Citrix environment.

2.7. Remote Access Set-Up for Non-GFE

As a reminder, the use of Remote Access capabilities is not explicitly supported on Non-GFE computers (i.e., computers not supplied by the Department, such as a home computer, a computer at an Internet kiosk, etc). The suggestions published at http://connectED/./document_handler.cfm?id=21581 are meant to serve as guidelines for remote authorized ED users attempting to access the ED network via a non-GFE computer. No responsibility or accountability of the contents of the suggestions, sites or download software is assumed by either Dell/Perot Systems or the Department of Education.

2.8. Troubleshooting

In general, if you receive an error message or encounter an issue while in any application within Citrix, document the error message and provide a thorough and accurate description of the events that led up to the problem. Email these findings to [email protected] for analysis.

Initial Profile Load: As a reminder, the initial loading of a profile can take upwards of 5 minutes. If it appears to be taking longer than 5 minutes, please let the process complete. However document the time and forward that information to [email protected]. If your profile doesn’t load at all, email [email protected] immediately.

Application Error: If you are getting an application error, please e-mail [email protected] with the error (and any screenshots). They will be able to help you resolve your problem or forward the information on your behalf to the Citrix team.

Where are my Outlook personal folders? : If you store your Outlook *.pst files on your H: drive you will need to map Outlook one time for the new environment. To do this Open Outlook, Go to “File”, “Open”, “New Outlook Data File” and you will browse to your H: drive and select the mail .PST you want to open and click ok.
