Overview of Cisco 6921 IP Phone

1 Handset light strip Indicates an incoming call (flashing red) or new voice message (steady red).

2 LCD Display Time, date, phone number, caller ID, line/call status, soft key tables and graphics.

3 Soft key buttons Key functions are listed at the bottom of the LCD display, above the soft key. Different soft key functions become available during changes in the phone’s state, for example on hook or off hook.

4 Transfer button Transfers a call

5 Conference button Creates a conference call.

6 Hold button Places an active call on hold.

7 Scroll/Toggle button Used to scroll/toggle through LCD options or incoming calls.

8 Line 1 and Line 2 buttons Line 1 selects the primary phone line. Line 2 provides a secondary phone line.

9 Headset button Toggles the headset on or off. When the headset is on, the button is lit.

10 Speaker button Used to activate the speakerphone. When the speakerphone is on, the button is lit.

11 Keypad Allows you to dial phone numbers, enter letters and select menu items (by selecting item number).

12 Mute button Toggled the microphone on or off. When the microphone is muted, the button is lit.

13 Volume button Controls the handset, headset and speakerphone volume (off hook) and the ringer volume (on-hook).

14 Message button Auto-dials your voicemail system (2700).

15 Applications button Opens/closed the Applications menu. Use it to access call history, user preferences, and phone settings.

16 Directories button Opens/closes the Directories menu (feature may be disabled).

17 Handset Phone handset.

place a call?

To place an external call, you must dial “8” first.

• Lift the handset and dial 8 + phone number

• Press the “Speaker” button, dial 8 + phone number

There are several ways to place a call. The end user will decide which way is best for them.

dial an internal extension?

To place an internal extension call, dial the 4-digit extension i.e. 3498.

To place an internal “classroom speaker”, dial “4”+ last 3 digits of extension. i.e. 3498 would be 4498 for a “speaker” into a classroom.

put a call on hold?

Press the “Hold” button to place call on hold. To return to the call, press the “Resume” soft key.

transfer a call to an extension or voicemail?

Extension: During a call, press the “Trnsfr” button, enter the ext. number, and then press the “Trnsfr” button again.

Voicemail: To transfer a call directly to voicemail, press “Trnsfr” button, enter “*” + the extension and the “Trnsfr” button again.

use my voicemail?

Set-up voicemail: Press the “Messages” button and enter your PIN (12345) when prompted.

• Set up a voice greeting • Change your PIN

Access voicemail: Press the “Messages” button or dial 2700, enter your PIN and follow the recorded instructions.

Write down your password. Passwords are difficult to reset.

view my missed calls?

• Press the “Applications” button and select call history

set up a conference call?

Turn a two-party call into a conference call: Step 1 – During the call, press the “Confrn” button – this automatically activates a new line and places the first party on hold. Step 2 – Place a call to another number or extension. Step 3 – When the call connects, press “Confrn” button again to add the new party to the conference call.

Once the conference call initiator disconnects, no additional parties can be added.

Step 4 – repeat steps 1-3 to add additional parties to conference call.

adjust the handset volume?

Pick up your handset, press the “Volume” button and press “+” or the “-“ to adjust handset volume.

adjust the ringer volume?

Leave handset in the cradle, press the “+” or the “-“ volume button to adjust ringer volume.

operate the “LCD” screen?

Operating your LCD screen is easy. Use the scroll/toggle button, soft keys, and the keypad to make your selections. To exit out of a menu, press the “Exit” soft key.

To set up your new phone/voicemail:

Please pick up receiver and press “messages” button – or you can dial 2700. Your initial pin is: 12345. My new pin is: _______________.

The prompt will have you change your pin, record your name, and record a greeting. Once finished, you will have a red light turn on if someone has left you a message.

To check messages, press “messages” button

Enter your pin followed by # – your new messages will be played. Once played you will be given the following options:

Repeat 1 Save 2

Delete 3 Forward 5

Mark New 6 Skip Back 7

Properties 9 Exit *

Help 0 - which repeats these options

We will also be setting up your voicemail to go to your email so that you can check them that way (without using the phone) – this will take a little time, so please be patient. Your email (Outlook) must be running the latest version for this to work. Please check updates.
