    How to design, develop and implement an On-line Job Application System

    that will improve the manual processing of job applications for

    How to develop a module that will allow the applicant to search for job

    vacancies through internet?

    In manual procedure, an applicant only relies on posting of advertisement

    through radio posting and leaflets. Some applicants are not updated and did not

    know the job offer or hiring. Applicants need to go to agency to see what job

    vacancies are. This traditional procedure requires more time and effort for the job

    seekers find the right job for them.

    How to develop a module that will organize applicants record provided in the

    application form?

    In their current system, applicants records are only stored in brown

    envelop. During the application, the applicant has to fill up an application form

    manually and submits requirements to the agency and then they first arrange the

    records alphabetically. Because of this process, some papers are lost or misplaced

    causing inefficiency in tracking the records of the applicants. It is also difficult in

    updating applicants records. Manual organization of records requires efficient

    manpower and an individual who can manage a bulk records properly.

    How to develop a module that will generate a summary report in deployment

    of applicants faster and accurate?

    In the current system, Marketing Officer manually copies the information

    from the deploying applicants form to MS Excel. There are times that agency did

    not have to update all the applicants who are going for deploying because of the

    higher quantity of the applicants. This manual transaction can cause inaccuracy in

    generating reports.

    1.2 Current State of Technology

    A BRIGHTESTWORK Recruitment and Placement Enterprisesare located

    atUnit 1, 2nd

    floor, Velasco Building, National Highway, Brgy. Dila, Sta. Rosa

    Laguna and the other branch is located at Bian, Laguna. Their objectives are

    through finding, hiring, training, and retaining of talents and personnel which

    determines the long terms success of the company. They advertise their agency

    through Radio Posting and leaflets. BRIGHTESTWORK Recruitment and

    Placement Enterpriseshave policy and requirements that applicants must be aware

    of.

    . The following are the rules and regulations of the BRIGHTESTWORK

    Recruitment and Placement Enterprises.

    They did not entertain those applicants who are wearing sando, slipper,

    sleeveless, short, cap, with tattoo and earrings.

    Turn off the cell phone during the orientation.

    Schedule of applicants follow up must be 4:00 pm. And this must be very

    strictly followed.

    Defending on what the applicants is applying for; the companies have

    recruitments or qualification for all the applicants to qualify in a certain job

    to be able to apply in an agency, an applicant must be generally:

    a. At least a High School graduate or College level

    b. Age must be 18 25 years old

    c. With pleasing personality

    d. Height is 52 for female and 54 for male

    f. With or without experience

    Application procedure:

    All applicants will first submit a personal vitae/bio-data to the officer in

    charge and fill up an application form (see Appendix E.1 for Sample Application

    Form for Employment). After that, the applicants will wait for the schedule of

    initial interview and written examination. Once the written examination is finished,

    the applicants will wait for the result and deliberation by the officer in charge. In

    this deliberation, the final verdict of the agency for an applicant would be Passed

    or Failed. Applicants who passed will go to the company to take final

    examination. Applicants who the passed examination will be given a list of

    requirements and some further instructions for deployment. Those who failed, the

    agency will call the applicants if there will be another open position that will suit

    best for the applicants.

    After completing the requirements, the applicants must follow the procedure

    in submitting the requirements. First, the documents must be filed in a long white

    folder. Second, the applicants will pass it to the recruitment staff for verification.

    BRIGHTESTWORK Santa Rosa will then inform the hired applicant when he/she

    will report to BRIGHTESTWORK for processing of the documents and they are

    requested to attend an orientation. Lastly, BRIGHTESTWORK Santa Rosa will

    then inform the hired applicant when he/she will report for duty directly to the

    client company.

    Job posting:

    BRIGHTESTWORK Santa Rosa assigns two coordinators in each of

    their client companies and they are the ones who relay information between client

    and agency on all available job openings to be posted (see Appendix D.2 for Job

    Vacancy Posting). BRIGHTESTWORK Santa Rosa will now post each job

    openings through radio posting, leaflets and in schools. BRIGHTESTWORK Santa

    Rosa also conducts job fairs in some schools.

    BRIGHTESTWORK Santa Rosa also calls prospective clients to ask if

    they have available job offerings to be posted free of charge at the agency and/or go

    personally to the prospective client and provide a proposal letter as part of their

    marketing strategy

    Job-match Procedure:

    In job matching, agency matches the applicants to a particular job by

    searching job vacancies that fit applicants skills and qualifications. If the

    Marketing Officer searches applicants that will fit for job application, they will

    retrieve applicants form in MS Access of their computer, and then call that

    particular applicant that matches their qualification.

    Hardware and equipment setup:

    BRIGHTESTWORK Recruitment Santa Rosa has a computer unit which is

    use to record all applicants and clients information and other important document

    needed by the company.

    Hardware specifications of the computer:

    Processor: Pentium III 800 MHz

    Memory: 128MB RAM

    Video card: Inno3D GeForce4 MX 4000 - 32.0 MB

    Software and application being used:

    The computer unit has a Windows 98 operating system. With an office

    application of Microsoft Office XP that they are using in creating documents like

    announcements, list of job offerings and description, business letter, contracts, and

    others.

    This part of the study contains studies that are related to the proposed

    system. It includes a foreign and local study which serves as the guide for the

    proponents in making a system and completing the project.

    Avjobs.com is similar to some features of the project system like theres a

    module wherein the employer can register in order to get account. Through that

    way, employers can also post job vacancies and search for the qualified applicants

    using online resume.

    It is source for the jobs in Manatee and Sarasota Countries. Job seekers can

    search for jobs quickly and easily. Registered job seekers can post resume or create

    resume online.

    For the employers, they can set up a new account and can manage their

    system. In the proposed system, applicants can create resume and post it, so that

    employers can view the applicants resume through online.

    Here it will find positions which to all are currently seeking to fill within

    this JobsDB Group. They are required to fill in to company's own resume form for

    the specific positions are applying as this will assist the applicants to assess their

    application. To search job opening, applicants can type specific position to the

    search engine. There are job categories that once the applicants click it, they can

    view the job vacancies under those categories. JobsDB website has a log in module

    where the applicants can register and can create online resume. [JOBS1998]

    track of application and allows viewing the status of online application.

    1.3.2 Specific Objectives

    To develop a module that will allow the applicant to search for a job vacancies

    through internet.

    Using Online Job Application System the applicants will allow looking for

    their preferred job, work position and company, the employer allows posting job

    vacancies with the qualifications and other important information or description

    about the job slot and job matching. A log-in module will be provided by the

    proposed system for each qualified registered user to navigate the content of the

    system. Once are job seeker logs in, he can see immediately the job openings that

    matches his qualifications and the company or employer can have an immediate

    list of job seekers they are looking for the job.

    To develop a module that will organize applicants records provided in the

    The study will provided automated processing transaction. With this, all

    records will be stored in a database. Each applicant has user account. Once a

    marketing officer searches applicants record, it can be easily track and monitor by

    typing the applicants account. Through this, agency can easily view the

    information of the applicants. Proponents also include a module that authorize

    personnel can update all necessary records of each applicants.

    To develop a module that will generate a summary report for dispatch

    applicants faster and accurate.

    By the use of new system application, there are updated reports that are

    displayed and ready to be printed by simply clicking the corresponding buttons,

    compared to the current system of the BRIGHTESTWORK that Marketing Officer

    manually copies the report of dispatch applicants to MS Excel.

    This is for On-line resume of the applicants; this page has

    applicants information such as name, address, contact, e-mail,

    educational background and other that the applicants filled-up. It can be

    viewed by the employer

    Applicant Search and Monitoring

    Locate an individual applicants information by searching with

    their specific accounts. The proponents also create a module that the

    personnel can check and monitor who are the applicants are waiting and

    show also who are already dispatch or employed. The module also

    displays pending registration of the prospective clients.

    Job Posting

    In the proposed system, the agency can post the job vacancies with

    the needed requirements. Through this, applicants can view the available

    job offering by the agency that suits their qualifications.

    Security

    Only authorized personnel of the agency can have a full access of

    the system. The system is viewable online but there are restrictions in

    entering a specific module intended for authorized users and personnel.

    File Maintenance

    This system will have a file maintenance module. The authorize

    personnel will be able to view, add, update and delete applicants records

    when needed. Searching of applicant can be done easier by simply typing

    their accounts and by clicking the search button. Through this, agency can

    view the records of the specific applicant they wanted to view.

    Adding new applicant is also part of the system. Once the

    applicant register online, the marketing officer will confirm the

    registration, so that the specific applicant will be added to the agencys

    record.

    Updating of records of the applicant is also includes in this

    module. If the applicants have some changes in their records, or already

    employed or block listed, the personnel will be able to update or edit of

    those changes.

    Authorized personnel can also delete the record of the applicant if needed.

    The proposed system will be able to save any changes made into the

    database, and any transactions made by the enrollee will also be saved

    into the system.

    Generation of Reports the proposed system will have a module for

    generating reports such as:

    List of employers

    List of dispatch applicants

    Back-up - backing-up of fil0065 s is necessary

    so that in the event of a system crash, the authorized user could

    always have a copy that can be restored in the system.

    Limitations

    o Initial interview and Final Interview for the applicant will not be provided

    by the proposed system, the applicants still have to go to the agency for

    interview.

    o The payment of the job posting of companies to the agency will not be

    covered by the proposed system. Because the proposed system mainly

    focused on online job application transaction and not the payment

    transaction between the agency and the company. It is highly confidential.
