Agenda

Manually prepared Form 16 or Form 16A (for deduction under any other provision of Chapter XVII-B of

the Act) shall no more be valid for the income deductions made on or after 1st April, 2012.

• Form 16 now consists of two parts - Part A (tax deduction and deposit) and

Part B (income).

• Part A shall be mandatorily generated through TRACES portal, Income Tax

Department's web-based application for TDS administration

• Part B can be generated by the employer.

• Both these documents / certificates would then either be merged or issued

individually as Form 16 to the employees.

Phase I – Download Part A from TRACES portal

Login to TRACES

Request to download Part A

Your request to download Part A will be queued for processing.

You can check the status of your request in the portal using the Request number.

Download ‘Part A’ of Form 16

‘TRACES PDF Generation Utility’

Download the PDF converter and install in your system

You will need this to convert Part A of Form 16 text files to the PDF

Launch ‘TRACES PDF Generation Utility’

Double Click Run.Bat file, which will launch User Interface of the Utility

Save the PDF version of Part A in a ZIP file

The Process

Each file name will consist of Employee PAN no. and Financial year

Save the ZIP file to upload to Greytip Online

Phase II – Greytip Online Value Addition

How to Upload Part A onto Greytip Online

The Process

Go to tools, IT UtlsForm 16 page of the Admin module

Select Assessment year

Upload Part A ZIP file or upload individual Part A PDFs as saved in your system

Check the upload status of the Part A files

Check if all files are uploaded successfully, or uploaded partially.

Click on the Error Log to check the error

In case any PAN nos. of the Part A files are not found in your employee database or repetition of same PAN no., ‘Greytip Online Error Log’ will show you what you need to rectify.

You can, then, update your employee database and upload the Part A files once again.

Merging/Unmerging of the forms and Digital Signature

The Process

Check the box to merge the Part A and Part B. Uncheck if you want to send the forms unmerged.

Don’t forget to save your settings

Upload digital signature (PFX file)

Generating Form 16

The Process

Select Employees

Go to Form 16 tab

Generate, Download or Email the forms to the employees

Release to publish forms in Employee portal
