  • WELCOME TO CCWTA

    Promoting Women’s Tennis since 1978

    Congenial, Competitive, Convenient

Greetings from our CCWTA President, Terry McKay...

    To Our Volunteer Captains,

On behalf of the Board of Directors, I want to express our sincere gratitude for your time, effort, and dedication on behalf of CCWTA. You, as Captain, are our Ambassadors in the field. You are the voice, image, and cheerleader for women’s tennis and CCWTA.

CCWTA has been in existence since 1978 sponsoring league play, tournaments, and promoting women’s tennis at all levels. Our impressive founders transitioned casual play at local Collier County parks in the late 70s into the highly regarded organization we are today. And for those of you who play at some of Collier County parks, you can thank several of our founders for leading the charge to pass the vote to add five additional parks in Collier County in 1982. Our founders built a strong foundation and our current Board is committed to carrying on that tradition of integrity, dedication, and passion on behalf of all our members.

The Captains and Players Handbook has been a labor of many hours of revision, editing, and proofing by board members: Dee Wharton, Patty Doran, Linda Meyer, and Christine Siciliano. They painstakingly reviewed every rule, guideline, and requirement for clarity, fairness, and applicability. The Handbook will be available to all CCWTA members.

CCWTA is fortunate to have talented and dedicated women and we appreciate your leadership and efforts. We would not enjoy our continued success if not for you.

    See you on the courts.

    Sincerely,

    Terry McKay, President

  • MISSION STATEMENT

Our mission is to advance the positive image of women’s tennis and provide competitive women’s doubles tennis.

    Goals:

Promote women's doubles tennis for all levels of play in a friendly, competitive venue.

Provide a friendly environment to develop and improve tennis skills. Facilitate accessibility to, and involvement in tennis for women in Collier and Lee Counties. Contribute to local charities and organizations that support local youth tennis, and other issues important to our members.

    About CCWTA:

CCWTA was started in 1978 in Naples and has continuously offered competitive women's doubles tennis since then.

CCWTA sponsors three, seven-week sessions (winter, spring, and fall).  Each week, each team member will play three sets with different partners from her team in a round-robin format. Captains record the scores and at the end of the seven-weeks, CCWTA invites two players from each team to compete in a tournament.

CCWTA is a 100% volunteer organization. In addition to organizing women’s tennis, we support local charities such as Laces of Love, Special Olympics, Boys and Girls Club, and the Salvation Army.

REGISTERING FOR THE CORRECT TEAM RATING LEVEL

To ensure competitive play on the CCWTA teams, new members must use their earned rating from USTA, CTA, or BTA when registering for the first time. Entry-level 2.5 and 3.0 players may self-rate if they do not have an earned rating from one of the listed leagues. Self-ratings are not accepted at the 3.5 or 4.0 level. Players wishing to join CCWTA as either a 3.5 or 4.0, who do not have an earned rating from one of the listed leagues, must be rated by the tennis professional at their community or club, and submit the signed rating form to the CCWTA League Rating Coordinator. This form is available by contacting the League Ratings Coordinator. If a new member does not have access to a tennis professional, the Ratings Coordinator will assist with this process.

  • MATCH INFORMATION: COURTS, SCHEDULES, TEAM ROSTER REQUIREMENTS

    COURTS

    • Captains are responsible for securing two courts for each match.

    • Matches may be scheduled for any day or time during the week.

    • Captains should work with their tennis professional to reserve the courts.

    • Contact your League Director if you need assistance in securing courts.

MATCH SCHEDULES, WEATHER CANCELLATIONS AND RESCHEDULING MATCHES

    • Each session (fall, winter, spring) is 7 weeks long.

    • Inclement weather is the only reason a match is cancelled and matches should be made up ASAP.

Each court can be made up on different times/dates to accommodate the team.

    • Teams MUST complete 6 of the scheduled matches in order to qualify for tournament. The

rotation schedule set up gives each player a fair and equal opportunity to play with everyone, so when less than 7 matches are played, it can have an unfair effect on the team standings.

    • Rescheduled matches may be played at anytime during the season and must be completed by the Saturday morning one week before the start of the tournament. Both courts must be played in order to count, but do not need to be played at the same time. Only enter the scores IF AND WHEN both courts have made up their match.

    TEAM ROSTER REQUIREMENTS

    • Six of the eight members on a team ladder must be rated at level. The other two members may have a rating one division lower or higher than level. Players who are rated lower (i.e. 3.0 playing on a 3.5 team) are eligible to advance to the tournament. Players rated higher (i.e. 4.0 player on a 3.5 team) are not eligible to advance to the tournament. Players who are not of the rating level of their team are listed on the roster as “Out Of Level” (OOL).

    • CCWTA does not have a rule mandating that club members take precedent over established team members. Individual clubs, however, may require that their members bump non-member players, or have rules regarding the number of non-residents allowed on a team. Captains will need to check with their tennis professional for their club’s requirements.

    5

  • SUBSTITUTES, REPLACEMENT PLAYERS AND PERMANENT SUBSTITUTES

    SUBSTITUTES

It is understood that a player occasionally may be unavailable for a scheduled match.

    • The player is responsible for informing her captain of the absence and for finding her own substitutes.

    • Substitutes should be registered CCWTA players whenever possible, with non-members only being used as a last resort.

    • The League Directors will provide the captains with a list of substitutes each season. Captains should share this list with their teams. It will also be posted on the GTN website at https://www.globaltennisnetwork.com/network/pages/viewPages/2501-ccwta.

    • At the start of each season, Captains are encouraged to ask their players for the dates they know they will be absent, so rescheduling can take place if necessary.

    • There can be no more than ONE substitute used per court. See “Score Entry” for how substitute information is entered on GTN.

    • If more than one player will be absent on a scheduled court, captains may do one of the following:

*Switch the week’s lineup sheet to a week that works, playing the scheduled match later in the season. (Example: You have two substitutes on a court during Week 1, but

on the Week 2 lineup schedule the two missing players are on different courts. Play Week 2 first and Week 1 the next week.)

*Ask the four scheduled players to find a different time when they all can play. Many

times if one court is moved just a day, or even just to a different time on the scheduled

day, all players can be available. *Reminder to Captains: Scores are not entered until

both courts have completed the match.

*Contact your League Director for assistance in working out either of these solutions.

*Reminder: Players must compete in a minimum of six of the scheduled matches to advance to the tournament.

    REPLACEMENT PLAYERS

If a rostered player is unable to continue the season after completing only ONE match, the person taking her position for the remainder of the season is a Replacement Player. In this case, the originally rostered player will be deleted from the team and the new player will be added to the roster. The first match played by the original player will be considered the new player’s “one allowed substitute” for qualifying for advancement to the tournament.

    6

    https://www.globaltennisnetwork.com/network/pages/viewPages/2501-ccwtahttps://www.globaltennisnetwork.com/network/pages/viewPages/2501-ccwta

  • PERMANENT SUBSTITUTES

If a rostered player is unable to continue the season after completing more than one match, the person taking her position for the remainder of the season is a Permanent Substitute. In this case, the originally rostered player’s name remains on the roster, and all points earned by the Permanent Substitute are entered on GTN as zeroes.

CAPTAIN’S CONCERNS – SCORING AND POSTING ON GTN

    SCORING AND POSTING OF SCORES

    • Use paper score sheets for each session of play which will have numbers 1-8 for players.

    • Each player will have the same number for all 7 weeks which will form the weekly schedule.

    • Post the scores each week on GTN using the same date for both courts, even if one court plays on

    a different day.

    • Only one substitute is allowed on each court, i.e. when this is known in advance, you may move

the weeks around to make certain that there is only one substitute per court which allows for less make ups.

    • List the substitute’s name on the paper score sheet above the player who is out (Suggest highlighting the sets when a substitute is used.)

** “Schedule for Weekly Play” worksheets, sample and blank, are available in the Appendix.

    RECORDING MATCH SCORES ON GTN

    • Go to your team on GTN to the “submit a match” screen. Record the actual doubles set scores using the same date for all 6 sets.

    • Next go to the “ladder matches” screen where scores are recorded as individuals.

    • When a team player uses a substitute for a second time, her individual scores are entered as zero

    (0) for that match and all remaining matches in the season. These zeros (0) are recorded in the “ladder matches” noted above and apply only to that player and not her partner in each set.

    • Recording the names of substitutes and tiebreak scores can be noted under the comment tab OR click on the grey box in front of the scores in the “ladder matches” screen for the player with a substitute or the Tiebreak score.

    7

  • TOURNAMENTS

    ELIGIBILITY

The players with the two highest scores will represent their team at the tournament. If either, or both players are not available for the entire three days (beginning as early as Friday afternoon) the captain will offer the spot(s) to the next highest scoring player(s).

Any player who has completed at least six matches and has not used a substitute more than once during the session is eligible to advance to the tournament.

Due to the large number of teams, special scheduling requests cannot be honored.

    TOURNAMENT DRAW

The draw will be done by the tennis professional hired to oversee the tournament. Seeding will be used for each of the brackets. The top seed will be determined by each team’s “doubles team ranking”. This ranking is determined by adding the finishing place of each player on their team, along with the sum of the End-of-Season ranking for each of the players.

For example: Player A finished number 1 on their team ladder.

Player B finished number 3 on their team ladder.

The sum of their end of season team ranking would be 4.

Player A finished the season with an average team ranking of 1.28

Player B finished the season with an average team ranking of 3.72

The sum of their end of the season average team ranking is 5.00

When submitting the tournament team, a captain will send the names, cell numbers, and the ranking numbers. In the example above, that number would be 4-5.00

In the case of an emergency, player substitutions may be made up to two hours prior to the team’s FIRST match. The team captain is responsible for informing both the League Director and the Tournament Director of any player change and the reason.

    DAY OF PLAY

Players must arrive a minimum of 15 minutes prior to their match time. If a player has not arrived by match time, she will forfeit the match. Once the tournament has begun, the Tournament Director (TD) may alter the starting times of the draw sheet in order to keep the tournament moving.

All players will be required to show a photo ID as part of the tournament check-in process.

A photo of each team will be taken at check-in holding their team name plate.

    8

  • FORMAT

Matches are the best 2 out of 3 tie-break sets. A match tie-break (10 point) is played in lieu of a third set.

In sets, a 7 point tie-break will be played at 6 games all.

During all tie-breaks, players will use the Coman Sequence, changing ends after the first point and then after every four points.

In the case of inclement weather, the tournament director, referee, and CCWTA board have the right to alter the match format to ensure completion of the tournament.

    SPORTSMANSHIP

Players will follow the rules and regulations of the current Friend At Court.

Players are expected to demonstrate good sportsmanship at all times by calling out the score when serving, and making fair and honest calls. If a team feels their opponents are not being fair they will stop play and ask for the official to come to their court.

Prior to the match, the players should remind their spectators that they are not part of the match. They may not assist in score disputes nor make, or overrule line calls. Spectators are not allowed on the courts at any time.

    AFTER THE MATCH

Following the match, all four players should go to the tournament desk to submit and verify the match scores. The winning team will return the match balls and their name plate to the tournament desk.

    9

  • UPWARD MOBILITY

...DUE TO CHANGE IN USTA, CTA or USPTA (BTA) RATING

Players must use their current USTA, CTA or USPTA (BTA) earned rating for CCWTA unless they have earned rating advancement through participation in the CCWTA Tournament Finals.

It is the player’s responsibility to inform the CCWTA BOD when a rating change has occurred.

A player may be disqualified from CCWTA participation for knowingly using an incorrect rating.

Contact your League Director for assistance in ensuring your rating is listed correctly.

...DUE TO ADVANCEMENT TO THE CCWTA TOURNAMENT FINALS

A player who advances to the Tournament Finals twice in a rolling two-year period will have two choices:

    • A player who advances to the Tournament Finals twice in a rolling two-year period may choose to move up to the next rating level. i.e. 3.0 to 3.5, or 3.5 to 4.0. If she so moves, her rating will change to the higher level within the CCWTA system. If she then chooses to “play down” she will not be eligible for the tournament at the lower level.

Example: A 3.5 player advances to the finals in the tournament twice in two years and chooses to move up to 4.0. Her rating will be changed on GTN to a 4.0. She will play 4.0 and be eligible to advance to the 4.0 tournament. She may also choose to play on a 3.5 team, but will NOT be eligible for the 3.5 tournament, and will be one of the 3.5 team’s OOL players.

    • A player who advances to the Tournament Finals twice in a rolling two-year period may choose to remain at her current rating level and will continue to be eligible for advancement to the Tournament at that level. If this is her choice, she cannot play “up” on a higher rated team.

*Furthermore, if this player advances to the finals a third time, she will be automatically advanced to the higher level without exception.

Example: A 3.5 player advances to the finals in the tournament twice in two years and chooses to remain at the 3.5 level. She may do so, and be eligible to advance to the 3.5 tournament. However, as a two-time finalist, she may not play up on a 4.0 team as that would change her rating to 4.0 in the CCWTA system.

    • If a player who has earned, and accepted, advancement to a higher rating based on tournament wins does not participate in CCWTA for two calendar years, her rating will default back to her current earned USTA, CTA or BTA rating. If no earned rating exists, the player will go through the CCWTA rating process.

    10

  • CCWTA CODE OF CONDUCT

    1. The CCWTA Board assures ethical decisions to be made on behalf of all CCWTA members with respect to age or ability level.

    2. The CCWTA Board members will work on behalf of players to provide competitive, congenial, convenient and fair play for members.

    3. CCWTA Captains and Board Members will not use their title or position to abuse rules or influence others to do so.

    4. To ensure consistency, integrity and fairness of play, CCWTA will follow USTA guidelines for play. The following rules are adopted from the USTA policy in “The Code”.

The USTA Code of Conduct guidelines may be found at USTA.com.

    Search “Code of Conduct”

The Code may also be found in the current USTA “Friend at Court” handbook.

    5. All players are expected to be respectful on and off the court to other players, captains and CCWTA Board members. All disputes should be reported in a professional and concise manner to the team captain or any CCWTA Board member for resolution. If a player does not practice respect and courtesy while playing during the week or the tournament, the player may be permanently banned from CCWTA. The CCWTA BOD has the right to exclude players that do not practice the USTA guidelines for integrity, consistent and fairness of play.

    11

    http://USTA.com

  • ETIQUETTE ON THE COURT

    1. All players are expected to be respectful on and off the court to other players, Captains and CCWTA Board members. If a player does not display courtesy to other team mates and other players on or near the courts, or during tournament, the Captain will remind her of the obligation to be courteous. If this behavior continues after the first reminder, the Captain will consult with the League Director about the possibility of replacing her with a permanent sub or other action.

    2. A player who does not demonstrate respect and courtesy during team ladder matches or tournament, may be permanently banned from CCWTA. The CCWTA Board has the right to exclude players that do not practice the USTA guidelines for integrity, consistent and fairness of play.

    3. Players will not talk loudly or make noises that are disruptive to adjoining courts. Conversations, including on changeovers, and those regarding disputes among players must not interfere with other’s play.

    4. If non-CCWTA players are interrupting your game, the team Captain should politely intervene.

    5. Do not walk on to another court during a game. Allow players to finish the game, or minimally the point, before walking onto their court. To avoid disrupting a game in progress, cross their court after the game is finished and go around the court, not through the middle. It is common courtesy not to disrupt players on court during a match. If your ball rolls onto an adjacent court, wait for the game to finish and kindly ask for their assistance to return your ball.

    6. Players must turn off cell phone devices or silence ringers prior to the match start. A ringing device is a deliberate hindrance. If an opponent’s device rings during a point, the players may immediately stop and claim the point. Players may check their devices between sets, however, keeping within the changeover or set break time limit to avoid delay of play.

    7. Players are expected to arrive at least 10 minutes prior to scheduled match time so that warm up and games can begin on time, with adequate time to complete all three matches.

    12

  • CCWTA MATCH FORMAT

    WARM UPS

Warm up is NOT practice. Warm up time is 5 minutes, including serves. There is no ‘first serve in’. (5 minutes is the USTA standard)

    WEEKLY MATCHES

Each weekly match consists of 3 full tiebreak sets with each player partnering once with the other three players on her court.

If a match becomes tied at 5 games all, a 7-point Coman tiebreak will be used with players following the continuous serve rotation.

    · A Coman tiebreak is the first team to win 7 points, by two points.

    · The first point is served by the next player in the service rotation.

    · After the first point is served, the players change ends. Teams change ends after the 1st, 5th, 9th collective points and every 4 points thereafter. This allows players to continue serving from the same side that they served on during the match.

    Example:

    Ann/Betty vs Serena/Venus

Betty serves 1st point of the tiebreak. (only the first server gets to serve 1 point. Thereafter, the server serves 2 points).

Venus serve the next 2 points – 1st from the add court, 2nd from the deuce court.

Ann serves the next 2 points – 1st from the ad court, 2nd from the deuce court

Serena serves the next 2 points – 1st from the ad court, 2nd from the deuce court

    HANDLING DEUCES DURING A GAME

Prior to the first team match, the captain needs to decide, with input from her team if she wishes, the number of deuces that will be played out in a game. Due to court time limitations, some teams will find it beneficial to limit the number of deuces played. Whatever decision is made must be used for the entire season.

    13

  • CHANGEOVERS

The changeover is the 90-second period after the end of every odd game (other than the first game) of every set. (After the first game, players change sides, but do not take a 90 second break). During tiebreaks, CCWTA best practice recommends that a quick drink is appropriate on changeover, but no sitting down during tie break game.

    RECORD SCORES AFTER EACH SET

Following each set, the four players on a designated court should confirm the set score and record the set score under the proper player’s name on the captain’s roster. Players switch partners according to the roster and proceed to play the next set.

DISPUTES ON COURT AND PROBLEM RESOLUTION

The captain will arbitrate any disputes on the court. Once the captain has made a decision, players will comply with that decision and immediately resume play. For clarification purposes only, the decision may be appealed to the Division Director. **During CCWTA Tournaments, the assigned USTA Official on court will arbitrate any disputes on the court.

    14

  • FREQUENT ISSUES AND RESOLUTIONS

    a. Making correct calls - Players make calls on their side of the net.

    b. Player asking opponent to verify a call – A player may ask her opponent to verify a call, but must then accept the opponent’s call.

    c. All points treated the same - Regardless of their importance, all points should be treated the same. Fair calls should always be made.

    d. Ball touching line – If a ball touches any part of the line, it is as a good ball.

    e. Ball hitting net, net posts, score device - If a ball hits the post or top of net and lands in proper court, it’s a good ball. If the ball hits the scoring device and lands in the proper court, it is a lost point.

    f. Calling Lets – The let call can be made by any player on the court, and is made before the return shot has gone out.

    g. Touches – A player must concede the point and make a call against herself when:

o A ball touches her body, her clothing, or any part of her racquet

o A ball coming toward her bounces more than once before it is returned.

o She touches the net with her body, shoe or clothing while the ball is in play.

o She touches her opponents’ court while the ball is in play.

o She hits the ball before it crosses the net.

o She deliberately carries or double hits a ball.

    h. Showing ball marks – A player is not required to show her opponent a ball mark and the opponent CANNOT cross the net to check a mark. (Note: The ball can strike the line, jump and leave a full ball mark behind the line. That point should be given to the opponent as a good ball).

    i. Partners disagree on a call - Any point that is disputed between partners is a point given to the opponent. Any call in question - The receiver gives the benefit of the doubt to opponent and awards them the point. All points played in good faith are counted.

    j. Making calls promptly – A call should be made either before the player’s return shot has gone out of play or before an opponent has the opportunity to return the shot.

    15

  • HINDRANCE CALLS

...Movement of players on court during serve – The server’s partner can change position while the server is tossing the ball but players cannot make any other movement or sound with the purpose of distracting the opponent, such as waving the racket or jumping up and down. (This also applies to intentional distraction to players on an adjacent court caused by loud grunting or outbursts).

…During a point, a ball or other object was laying on the player’s side of the net when the point started. The opponent now claims this is a hindrance after losing the point. This is NOT a hindrance. (This issue comes up frequently).

… If a player’s hat falls off, that player cannot call a hindrance, but her opponent can, but does not have to call one.

…If a ball falls out of your pocket, your opponent can call a hindrance, but you cannot. These are USTA policies. However, for CCWTA, we suggest that Captains inform players to call a “let” if this happens during play. That ensures that no one trips on the court, and allows any player on that court to call a ‘let’.

    l. Scoring Disputes and Resolutions - All four players should gather at the net to discuss in a non-argumentative manner. Players should recall all standing points in the game that they agree on. If they cannot come to agreement on the disputed point, they should proceed with their match starting from the agreed upon point score. All existing points stand, and they do not replay the disputed point. Rather, move on from the agreed upon score based on points played. In CCWTA Tournament, a USTA Official should be called to the court to handle the dispute.

    m. Correcting Errors on players in wrong positions -

…Serving from wrong half of court – During a standard game or tie-break game, if a player serves from the wrong half of the court, this should be corrected as soon as the error is discovered and the server shall serve from the correct half of the court according to the score.

…If players are at the wrong “ends of the court” - The error should be corrected as soon as discovered and the server shall serve from the correct end of the court according to the score.

…If a player serves out of turn during a standard game - The player who was originally due to serve shall serve as soon as the error is discovered. If the game is completed before the error is discovered, the order of service shall remain as altered. If the partners of one team serve out of turn, a fault that was served before the error was discovered shall stand.

    16

  • …If a player serves out of turn during a tie-break game and the error is discovered after an even number of points have been played - The error is corrected immediately. If the error is discovered after an odd number of points have been played, the order of service shall remain as altered. A fault that was served before the error was discovered shall stand.

…An Error in order of receiving - During a standard game or tiebreak game in doubles, if there is an error in order of receiving (partners switched position on court), this shall remain as altered until the end of the game. For the next game in which they are the receivers in that set, the partners shall then resume the original order of receiving.

  • HANDLING ILLNESS AND INJURY ISSUES DURING A MATCH

In a CCWTA match, the number of games won is critical as the top two players at the end of the season earn a spot at Tournament. This is different from USTA matches where a win or loss determines progression/rating and if a player cannot finish the match, they retire due to illness and their opponent earns the win.

In CCWTA, when a player becomes ill or is injured and cannot complete the match, the following recommendations are provided to ensure that the other three players on the court are not disadvantaged by loss of points in any uncompleted sets, and not punished by having to replay an entire match.

    • Record all scores and games played as well as the ending positions on the court when play stopped. Reschedule to play the remainder of the match within the next 7 to 10 days and before the end of the session. All points played stand. Depending on how much of the match needs to be completed, recommend that players come early on a regular scheduled date and finish this match before their designated match for that day/night.

    • If the injured player cannot play for the remainder of the session, she can schedule a sub to play in her place, and again, the match starts at where the score left off from the original match.

    • If the match is not completed by the Saturday morning prior to the start of the tournament, all four players on that court will receive the scores from where the match concluded. (i.e. An incomplete set would be entered with the scores at the time of retirement, such as 3-4. If a set has not begun, all four players will receive zeroes for that set. Captains will have to enter the scores manually on the paper score sheets, as less than six games for a winner is not accepted by GTN. Contact your League Director if you need assistance entering the scores.

**Whichever solution is chosen from above, the captain must wait until both courts have completed the match before entering the match scores.
