To Whom It May Concern:We are hosting an Ice Carving Competition called “Carve for the Love of the Game” at the Sand Harbor Park on the North Shore of Lake Tahoe on September 5, 2009. On this day up and coming ice carvers get a chance to participate in teams of two and three to sculpt a fun and creative sports related piece of ice work. This family oriented event is a day to expand your business and get in touch with the community while helping out our youth pursue their artistic talent. Your contribution will also go towards the preservation of the Sand Harbor Park. All community members are encouraged to attend. Your participation in our event will result in your businesses logo printed on t-shirts as well as banners throughout the event. Complimentary admission to our event along with one additional guest will be provided. There are four different packages at which you could choose to purchase. The Platinum package for $3,000, the Gold package for $2,000, Silver $1,000 and Bronze package for $500. Children will take pictures with carved sports players and sit in large carved chairs.
Carved basketball hoop where children will be able to throw bean bags into the hoop.
Carved baseball player with baseball bat where children can throw rings around the bat.
Eskimo where children can put there heads through hood. Large chair where people can sit.
Jeff will be coming with his whole crew to allow him to set up. Jeff and crew will start on sculptures between FSAFDSFDSFDSF!!! Each sculpture will cost us $750.00 He will start the night before because the Baseball Player and
Eskimo will take him 3 hours to make and the other sculptures will take him approximately one hour,
When children arrive they will be given 5 coupons each. This will allow them to take pictures with the ice sculptures (Eskimo and big chair), along with play the games provided.

Pictures will be posted day after event.All trophy winners will receive a free 8x10
photo of themselves with their trophy and sculpture.
We will be sending a complimentary gift basket of chocolates and cookies to the photography teachers class room for letting his student use his camera for the day and for promoting our event in his classrooms.
When you walk into the ice sculpting competition after attendees pay their entrée fees or register, there will be a large 10ftx3ft vinyl banner:

There will be approximately 50 to 60 volunteers for this event from 3 local high school community service clubs
They have received a list of all the possible positions and have reported that all the positions are filled with extra volunteers still willing to attend the event as extra helping hands.
A Volunteer Acknowledgment and Release of Liability form has been collected from every volunteer.
This form includes Description of the event Their roles as volunteersRelinquishes their right to take legal action
against the event hosts or any sponsors in the case of personal injury or harm.
4) volunteer’s school and contact information.
Every volunteer will be given a Volunteer t-shirt when they arrive at the event so they can be easily recognized.
The teacher liaisons of each club are asked to arrive 15 minutes before the rest of the volunteers so they can be given more detailed instructions on the duties and check-in procedures associated with the volunteers.
Volunteers have been notified that after the event there will be a thank you party, for each individual club, funded by one of our food vendors.
At each of the clubs’ next meeting, they will have a free pizza party as a reward for their time and efforts.
Seven off-duty police officers Rent through Off Duty Officers.
Their rental fee is normally $40/hr per officer but they are donating 3 officers services free of charge.

Securing the entrance and over-seeing ticket and money collecting procedures.
Policing high traffic areas such as the parking lot at the beginning and end of the event and the entrance and exit to the event.
Patrolling the event and surrounding area to ensure security and safety.
Communicating problems such as lost children, crowd control issues, emergencies, etc. via radio or any other effective means.
Escort one of the event coordinators to the bank straight from the event to deposit all of the checks and cash collected at the event.
There is a designated gravel lot near the stage area that we are roping off and adding signs to in order to create a more SAFE and EASY parking experience.
By directing the flow of vehicles and pedestrians we can eliminate the risk of accidents.
Volunteers in the parking lot also have reflective vests as a safety precaution.
