Getting Started

Introduction CarMaster™ provides availability and descriptive information on over 4Ø car rental companies worldwide. All information is updated directly by the car rental companies ensuring that the details displayed are current and accurate.

CarMaster is the simplest and fastest way to process a car reservation.

Using minimal keystrokes, you can locate the car and rate that best meets your client’s requirements and in most cases advise immediate confirmation.

Most major car vendors offer you a CarMaster Best Rate facility that ensures you are able to confirm the best available rates to your clients. Likewise your agency's preferred rates and corporate clients preferred rates can be confirmed instantly through CarMaster.

Confirmation Process There are three communication processes by which a Vendor may confirm a car reservation. It is important that you are aware of these processes.

Inside Links (*)

Inside link is the most sophisticated type of link available on CarMaster today. It provides an interactive communication between Galileo CarMaster and car rental companies central reservation systems. Your sell message will be instantly updated prior to ending transaction.

Once the car segment is sold the booking message is sent to the car vendors central reservation computer. The car vendor will then return any one of the following:

• Confirmation number - prior to end transaction

• An alert message requesting additional information for the sell to be successful

Please note that at this stage the booking is held in the car vendors central reservation system and may not yet have been communicated to the rental location. Car rental companies differ in their methods of communicating bookings through to the rental location. Some rental locations are automated and may receive the booking immediately. Others may not be linked into the central reservation system and the communication may take a bit longer. This means that if you phone the rental location immediately after you have made the booking it may not have reached the location yet

In the case that the inside link is down all booking Messages are sent via the next level of functionality which is known as “Teletype”.

Teletype

Once the car segment is sold with a teletype vendor a CarMaster rules display will be returned with the sold segment. The sell message is sent to the vendor by "AUTOMATIC TELETYPE" once the booking has been End Transacted. The confirmation number will be added and returned by the car vendor automatically AFTER End Transaction. In the case that the teletype link is down all booking messages are sent via the next level of functionality which is known as “Line Drop”.

Line Drop

After a car segment is sold with a line drop vendor a CarMaster rules display will be returned with the sold segment. The sell message is sent to a vendor printer once the booking has been End Transacted. The confirmation number is then manually added to the booking by the vendor. This confirmation process may take 24 hours.

Important Note A car rental booking should never be confirmed to a client until after a Confirmation Number appears in the car segment.

Car Index (CAI) For help enter: H/CAI

CarMaster provides an index of all car rental locations featured in the system for a specified location. The Index function DOES NOT check availability.

An index request may be made using a;

• 3 letter IATA airport code

• 3 letter IATA city code

• Full city name

• Reference point.

If a 3 letter city code is used and it is the same as the airport code, CarMaster will display the airport location first followed by other locations, eg. city, suburbs.

Rental locations are displayed according to distance with the closest to the requested point shown at the top of the display. Where mileage/kilometres are the same, the system will display the locations alphabetically by vendor name and then by direction.

CAISYDNEY Car Index for Sydney city (full city name used).

CAISYD Car index for Sydney Airport (3 character IATA airport code used)

Screen Description

1. Repeat of entry. As no date specified in original input the system defaults to today’s date.

2. City/Airport name, day and date of display request.

3. Area Alpha identifier followed by area type title.

4. Line number followed by two letter vendor code and vendor name.

5. Paging command CAI*PD - Page down CAI*PU - Page up

6. Vendor Name * - indicates “Inside Link Vendor” + - indicates franchise operation (the check-in desk, pick up office may be operated by another company - check CAD(line number)/TITLE to see who the operator is.

7. Location code

8. Address field - may be terminal or street address

9. Distance and direction from reference point.

Hints • Distance/direction indicators will be taken from the airport unless a

reference point is nominated.

• To redisplay the last accessed index enter CAI*R.

• Car index displays show Location codes which are especially useful when booking one-way rentals

No code?...............................................No problem!

When using the full city name and there is more than one place of the same name a similar name list will be displayed. A selection can then be made from the list by using the displayed prompt and adding the line number required.

Index Search Qualifiers

For help enter: H/CAQ

Add search qualifiers to the basic CAI entry to narrow the search and save time.

Just some examples of the most commonly used search qualifiers:

CAIDRW/ZE Car Index Darwin Airport (IATA 3 character airport code used) for vendor ZE.

CAIJEDDAH Car Index Jeddah City (Full city name used)

CAIFRA/L-C Car Index in Frankfurt for city locations.

CAISFO/L-T Car Index in San Francisco for Terminal locations only.

Hint

Modifiers can be combined in any order to narrow your choice to a few properties:

CAIDUBAI/ZE/L-A Car Index for Dubai, requesting vendor ZE, airport locations only.

Basic Availability (CAA) For help enter: H/CAA

Basic availability displays car types available at a location, NO rate information is returned to the screen. Pick-up time (ARR) and Drop off time (DT) are mandatory in all availability requests.

Without Air Segment

1. Repeat of input.

3. Column (maximum 6 per page).

4. Car Vendor Names * indicates Inside Link, + indicates franchise. The first 6 car companies at the pick up location are listed across the screen in a random order.

When an air segment is present on your Galileo screen, CarMaster will make use of the segment information to complete a car availability request.

CAA/DT-1500 Request Basic car availability for arrival date and city of last air segment. Default is 1 day. Drop off time must be entered.

CAA-22FEB/DT-1000 Request Basic car availability for arrival date and city of last air segment with a specified drop-off date and time.

/2+CAA/DT-0900 Request Basic car availability for arrival date and city of segment 2 (ie. insert availability after segment 2).

Low to High Availability displays car types available at a location with rate information showing from the least expensive to the most expensive.

Without Air Segment

CAL15JUN-17JUNAKL/ARR-12ØØ/DT-Ø9ØØ Low/High car availability 15-17 June for Auckland Vegas, arriving 12ØØ, drop off time Ø9ØØ.

Screen Description

1. Pick-up point, pick-up day of week/date/time, return date, rate category (Standard and Promotional) and local currency code.

2. Line number and Vendor Name * - indicates “Inside Link Vendor” + - indicates franchise operation (the check-in desk, pick up office may be operated by another company - check CAD(line number)/TITLE to see who the operator is.

This field provides a total for all “day” and “time” related charges based on the booking period input. It serves to provide a total approximate cost for the rental, excluding taxes, surcharges, fees and other optional or required charges.

Please remember that this is only an estimation of the approximate rental cost and may differ to the final charge..

With Air Segment

When an air segment is present on Galileo screen, CarMaster will make use of the segment information to complete a car availability request.

CAL/DT-1500 Request Low/High car availability for arrival date and city of last air segment. Default is 1 day. Drop off time must be entered.

CAL-25JAN/DT-1000 Request Low/High car availability for arrival date and city of last air segment with a specified drop-off date and time.

/2+CAL/DT-0900 Request Low/High car availability for arrival date and city of segment 2 (i.e. insert availability after segment 2).

Upon selling an air segment the Galileo screen will provide a prompt for you to easily make use of this facility.

Tab to the prompt then input the Drop-off date (if more than 1 day required) and time eg. -23JUL/DT-0900.

Hints

• Distance defaults to miles (not kilometres).

• To convert the index display to kilometres simply enter CAU/D-K, the ‘MI’ heading will change to ‘KM’.

A Car Availability request can be qualified to cater for your client’s specific requirements by using Search Qualifiers.

Some examples of the most commonly used search qualifiers are listed below. However, you should refer to H/AVQU for a full list of possible search qualifiers.

/DO- When the vehicle is not being returned to the pick-up depot you can add the drop-off location into the availability request. When doing this a vendor code must also be included, eg. /DO-BNE/ZI.

Geo-Coding A vendor can have many rental locations in large cities, at airports, downtown and in the suburbs. They may also have depots in small towns near this city which could make it difficult for you to quickly locate a non-airport or specific city location. CarMaster has been designed to make this task easy for you.

Cities are broken into 6 main geographical areas; Airport, City, Northern Suburbs, Southern Suburbs, Eastern Suburbs, and Western Suburbs. A rental location will fall into 1 of these areas.

Availability can only be displayed for one area at a time. On occasions when an availability is requested for locations in more than one area CarMaster will respond with an index.

In the example above an index was shown because CarMaster could not determine which area to give availability for. Three locations within an area can be accessed or one area can be accessed.

Displaying Topics

From the Car Description menu, topics can be viewed by tabbing to the CAD/ prompt, then adding either the topic number or keyword. Then press ENTER to display the topic.

Keywords can be used in place of topic numbers. As they are descriptive codes they are easier to remember than topic numbers. For a full list of Keywords refer to H/CKWD.

CAD/02 Display the topic on Car/Vehicle types

CAD/INS Display the topic on Insurance/Coverage from the menu.

CAD/INS+DROP+18 Access multiple Keywords (Maximum 3)

Screen Description

1. Summary Information Summarised details of the rate requested. Shows car type and the estimated total rental cost (Estimated Base Rate) based on the period requested.

2. Rate Detail Break up of the rate information showing the standard daily charge, and if applicable, the charge for any extra days and extra hours.

3. Taxes Indicates if any taxes are included in the rates or directs you to where this information can be found.

4. Surcharges/Fees and Other Required Charges All related surcharges and associated costs applicable to the rental.

5. Coverage Insurance coverage information where applicable.

6. Advance Booking and Pickup/Return Rules This area will indicate any advance purchase booking period which may apply to this rate, the minimum and maximum rental days permitted and if one way rental are allowed.

7. Pickup/Return Location Summary The pick up and rental details for the rental showing depot name and operating hours.

8. Credit Cards Accepted Where applicable this field will display a list of credit cards which are accepted by the vendor.

9. Reservation Deposit Requirement Indicates any deposit requirements.

10. Special Text Comments Any additional information that may be helpful to the client or the travel consultant.

A maximum of 1 car may be sold in one entry and will be automatically sold under the first passenger name in the Booking File. The first passenger name can be overridden by using the /NM- option field in the initial sell entry.

Reference Sell The sell command can be made from either the Low to High Availability (CAL)or the Basic Availability screen (CAA).

• A rental car is required for pick-up on 3 November at 12noon to be returned at 9am on 7 November. The client wishes to use the car rental company XE and requires an ECMN type car with unlimited kms.

• Sell the car then *R to view the confirmed car segment.

• Add a phone field, a received field then END TRANSACTION.

Take a note of the Record locator, as this Booking File will be needed again later.

The development of a Best Rate sell modifier offered by many car Vendors now allows you to sell the best available rates.

The /RC-BEST function is supported by the following Vendors, ALAMO, AVIS, BUDGET, DOLLAR, HERTZ, THRIFTY. These Vendors Guarantee that you will not get a better rate by ringing them directly.

When you sell a car it may be necessary to generate additional information to the car company. To generate this information at the time of sell you can use a number of OPTIONAL INFORMATION FIELDS. The optional fields are appended to the normal sell entry;

One Way Rentals Often a client will collect a car from one depot and drop it off at another.

For example, your client is flying into Sydney and wishes to collect a car from Avis at Sydney airport, but will drop it off at the city depot. The Drop Off /DO- modifier is added to the sell entry to advise the car vendor of the one way rental.

Once a car segment has been sold through CarMaster, it is possible to modify the booking by using the Car Modify entries (CAM).

Every CarMaster field can be modified except the /NM- field. If this needs to be changed then the segment must be cancelled and a completely new booking made.

Only one field may be modified at a time.
