CALOOSA GOLF AND COUNTRY CLUB BOARD OF DIRECTORS MINUTES FOR OCTOBER 19, 2015 MEETING. Board Members attending: John Tormoehlen, President; Gene Welper, Director of House; Jim Griggs, Secretary; Barb Struble, Treasurer; Steve Chesley, Director of Greens; Vicki Franks, Director of Membership; Joe DeFelice, Director of Publicity. Directors not able to attend: Russ Stutz, Director of Golf; Nancy Juhasz, Director of Activities. Loren Hofer, Advisor was not in attendance either. President Tormoehlen call the meeting to order at 8:25 President Tormoehlen asked for a motion to accept the Minutes for September 28 th Meeting. A motion to amend the September meeting was made to add the following: The membership application for Richard Mooney was denied; No Votes – 6 Yes Votes – 1 (DeFelice) Abstained by Proxy – 1 (Griggs) Director Welper made a motion to accept the September Meeting with the correction added. Director Struble seconded the motion. Motion Passed unanimously President Tormoehlen asked for a motion to accept the Minutes for September 28 th Executive Session. Director Struble made a motion to accept. Director Defelice seconded the motion. Motion passed unanimously. President Tormoehlen asked if there were any revisions to the Organizational Chart – there were none. BOARD OF DIRECTORS MINUTES FOR OCTOBER 19, 2015 MEETING.

Board Members attending: John Tormoehlen, President; Gene Welper, Director of House; Jim Griggs, Secretary; Barb Struble, Treasurer; Steve Chesley, Director of Greens; Vicki Franks, Director of Membership; Joe DeFelice, Director of Publicity.

Directors not able to attend: Russ Stutz, Director of Golf; Nancy Juhasz, Director of Activities. Loren Hofer, Advisor was not in attendance either.

President Tormoehlen call the meeting to order at 8:25

President Tormoehlen asked for a motion to accept the Minutes for September 28th Meeting. A motion to amend the September meeting was made to add the following:

The membership application for Richard Mooney was denied;

Treasurer Struble reviewed the current financials with the Board and will post on the bulletin board.

Ms. Struble advised that monies were being re-allocated from within the budget to the Greens Budget. Tropical Signal grass is invading the course, $10,700 was re-allocated to fight this weed. As a result, Greens Superintendent Eric Joy was asked to increase his budget for 2016 to continue the eradication of this weed.

We are in the process of updating our merchant account software to process Credit/Debit cards with the new credit card fraud chip. This has to be done to protect the Club from liability in the event someone’s identity is compromised.

Director Welper has turned over the responsibility for Tee times to the Director of Golf and the change will be reflected in the Duties and Responsibilities of the different departments.

President Tormoehlen gave an update for Director Stutz who was absent;

New score cards are in and seem to be well accepted.

Opening Day Tournament is scheduled for October 24th.

All the sanctioned groups have been notified to turn in their player list to the pro shop. This is a safety issue so that we know who is on the course in case of an emergency.

After some rain delays, the Ladies Member/Member Tournament was completed.

Director Chesley reported to the Board that the Greens Superintendent and his crew are working very hard to kill the Tropical Signal grass that is invading the course. It takes at least 2 applications of the herbicide and each application needs to be a week apart and no precipitation between applications. This weed can be spread very easily, whether you walk in it while in the rough, or drive your golf cart through it, the seeds will be picked up on your shoes or wheels and deposited around the course. It is asked that members only use the designated entrances coming to the club. The designated entrances are the main front entrance, Ashton Gardens and the entrance on Winterbrook. Please use only those entrances.

Sand traps are an ongoing process.

A need to repair a 4” pipe crossing between Holes 8 & 9 and the Bridge between Holes 13 & 14 exists. Mr. Chesley will be getting estimates for the repairs. In the meantime use cation on the Bridge between Holes 13 & 14.

Director Chesley and Superintendent Joy are working on finalizing the 2016 budget for the upkeep and

maintenance of the course. Along with the weed issues we are also fighting 4 different funguses that invade the greens.

Director Franks would like to remind all Members to review the Dress Code for the Club and dress appropriately to conform to our dress code.

A New Member Orientation will be scheduled for December. All new members are encouraged to attend and ask any questions that they might have regarding the Club.

Director DeFelice gave some ideas on making Caloosa more appealing, both inside and out.

We will have a presence at the Chamber of Commerce Expo on October 22nd.

Mr. Defelice would like to come up with some ideas to project a “Wow Factor” for the Club that will attract new members. If any members have ideas that they think could project the “WOW” factor, please give your ideas to Director DeFelice.

Mr. Defelice brought up the idea of hosting Charitable Events at the Club. The idea behind this is, as always with a Charitable event, is to aid in raising funds for the Charity, and to promote Caloosa through the participants of the event.

Director Juhasz was unable to attend and did not have any items to discuss.

Secretary Griggs discussed the electronic voting process by the Board for new members and procedures were adjusted and set.

A discussion was held and consensus was reached on how voting results will handled in the future for issues the Board votes on. We will break down how the Directors voted on issues when the vote is not unanimous.

A suggestion was made to have a plaque for those who “Shoot Your Age”. It was decided that Mr. Griggs would talk with Director Stutz on this issue and work out the logistics.

The Board reviewed the suggestions that were left in the Suggestion Box.

Mary Ellen Laprade asked if we had a directory for Cable channels for the TV. Director Welper will respond.

Sandy Gaither asked a question about the number of golf carts a group can have. That was

answered at the September Board meeting.

Ellen Offenbach presented a form she believes would make issues easier for Mixers when members are looking for partners. Mr. Griggs as Chairman of the Sunday Mixers will discuss this issue with Director Stutz.

Bob Clapp asked a question and suggested that the Fairway grass is too long. Director Chesley will follow up with Mr. Clapp.

Randy Anderson asked why the perimeter of the greens are not cut. Director Chesley will follow up with Mr. Anderson.

Syd Kolls asked about the viability of the Club buying rakes for members to keep in their carts and the Club would be reimbursed through a charge for the rakes by charging the cost to the members Club Accounts. He would also like to see the first cut of rough eliminated as a means for cost/labor savings. Mr. Kolls suggested greens employees keep their cell phones at the maintenance area and not use them while performing their work assignments. He also suggests that the greens employees driving in the work carts pick up tree trimming and other trash as they perform their assignments. Director Chesley will follow up with Mr. Kolls.

Bill Lloyd presented a letter concerning pace of play and various ways to speed up the pace of play. Director Stutz will follow up with Mr. Lloyd.
