SSECTION 1 - GENERAL INFORMATION

About Cahn Auditorium

HISTORY Cahn Auditorium, built in 1940, is the largest performance space on campus, with 1,007 seats. Cahn Auditorium was designed by architect James Gamble Rogers as an aesthetic extension of his Women’s Quadrangle to the west, and as a complement to the Deering Library. In keeping with the intention of Scott Hall’s planners to make it a cultural center, an auditorium seating over 1,200 (later dropped to 1000 seats to accommodate sound and light booths) was built on its north side to host musical and theatrical events and guest speakers. The auditorium was named after the civic leader Bertram Cahn, NU donor, trustee, and alumnus (Law, 1899), and chairman of the clothier B. Kuppenheimer and Company. Since its inception, Cahn auditorium has been the site of distinguished dramatic productions, annual dance concerts, and appearances by nationally important speakers.

COMMUNITY Cahn Auditorium plays a large role in the journey of Northwestern Students. The Auditorium hosts many events during Wildcat Welcome each year, and is one of the first places that students experience on campus. Many of the students then finish their collegiate careers at Cahn, as the auditorium hosts several convocations and commencement events. Cahn Auditorium presents a dynamic slate of events throughout each year. Dance, music, and speaker presentations entertain and educate both the Northwestern Community and the greater Chicago area. Recently, Cahn has also hosted luminaries and events that have been livestreamed around the country and world. Many student organizations and departments reach out to host their event in Cahn because of the local and national reputation the venue has achieved.

SSECTION 2 – EVENT BOOKING

Use of Cahn Auditorium

1. Cahn Auditorium may be reserved by Recognized Student Organizations, University Departments & Administrative Units, Sponsored Affiliates, and External Organizations. Norris University Center defines organizations in the four types as follows for purposes of determining room rental charges:

Recognized Student Organizations: Any student group formally recognized by the Associated Student Government, the Vice-President for Student Affairs, University schools or departments, the University Chaplain’s Office, the Athletic Department, Residential Colleges, Residential Life Office, Fraternities, Sororities and groups which are not yet recognized but are formally seeking ASG recognition.

University Departments and Administrative Units: Northwestern faculty and staff organizations and administrative units (i.e. departments, centers, schools, committees, colleges and divisions) which regularly receive university appropriated funding.

Sponsored Affiliates: Groups outside the University (who do not receive appropriated funds) whose functions or activities involve affiliation with a University department or unit, are sponsored by the respective department, and utilize University resources and services.

External Organizations: Any business, organization, or community group that is not affiliated with the University.

2. Cahn Auditorium is equipped and suitable for theatre productions, operas, concerts, speeches,

convocation ceremonies, and other large scale events.

3. Cahn Auditorium does not have pre-function space. Receptions and meals cannot be accommodated.

4. Cahn Auditorium is available to be booked year-round for events from 8:00am through Midnight.

Reservations outside of these hours must be approved by the Cahn Auditorium Staff and may incur an Extension of Hours fee.

Reservation Deadlines and Procedures

2. Norris University Center and the Performance Venues (including Cahn Auditorium) host thousands of

events each year. Demand is great and space is limited. To ensure the process is as equitable and efficient as possible, Norris manages the Advanced Scheduling process each year. After Advanced Scheduling is complete, the books for general reservation requests open for the following academic year.

3. You can make general reservation request by calling the Norris Performance Venue office at 847-

491-7285 or email [email protected]

4. Reservation requests must be made aat least six weeks in advance of the event date. Requests made with less than six weeks’ notice will be reviewed by the Performance Venue Office for approval.

5. An Event Meeting must be scheduled with the Performance Venue Office aat least four weeks prior to the event date. Failure to schedule and complete the Event Meeting four weeks prior to the event date may lead to the cancellation of the reservation.

6. At least two weeks prior to the scheduled event, user must provide Cahn Auditorium facility staff with final and completed information on set-up specifications, technical requirements and a schedule of activities for the event. Any changes to the schedule wwithin two weeks will be at the discretion of Cahn Auditorium staff. There may be additional fees on top of the hourly rate for adjustments within two weeks.

7. All event rigging requirements must be two weeks in advance of performance date. All rigging must be coordinated with Performance Venue Office.

Securing a reservation Requires:

- Active Northwestern University Chartstring or approved payment method - Signed copies of the Cahn Auditorium Use Agreement - External Groups: Certificate of Liability Insurance on file - Agreement to attend a pre-event meeting to finalize event details

Cost Estimates The Event Planning Manager will provide a written estimate of costs upon request. The estimate should not be construed as reflecting the actual and definite costs; the estimate is an approximation based on details and information a renter provides the Auditorium.

Rental Fees

1. The Performance Venue Office reserves the right to add additional charges if more staffing is required than was planned for.

2. Presentation and Performance Rates begin 2 hours prior to the event start, and continue until 1 hour post-event. Event setup time and fees will be determined by the Norris Performance Venue office at the Event Meeting prior to the event.

3. Additional charges may occur for damage resulting from the misuse, loss, or poor treatment of the space and equipment of Cahn Auditorium.

4. Cahn Auditorium reserves the right to structure special rates for events. Fees for space usage not covered by the above schedule may be negotiated with the Performance Venue Office.

5. Rental, Staffing, and Facility rates are subject to change. Current Pricing is listed below:

Safety is priority for Cahn Auditorium and Northwestern University Police. Levels of security and police presence are at the discretion of University Police.

* All time blocks must be inclusive of all load-in, pre-event preparation, post-event strike and load-out time. (Full day = up to 12 hours, overtime applicable).

LLabor rates are for a minimum of 4 hours per day and a maximum of 12 hours per day.

Hours worked in excess of eight hours per day, as well as before 8am and after Midnight, may be subject to overtime paid at the rate of one and a half times the normal rate.

EEquipment and Staffing

1. The Performance Venue Office professional and student staff provide management oversight and technical support, such as lighting and sound, to organizations using Cahn Auditorium. The Performance Venue Office will determine the minimum staffing necessary to support events at Cahn Auditorium. A Production Assistant assigned by the Performance Venue Office shall be in attendance whenever the auditorium is occupied. This individual will be responsible for securing the auditorium, adjacent spaces, and their contents, and for the maintenance of house equipment. An additional technician at extra charge may be required if additional technical work is necessary.

The Performance Venue Office retains the right to determine if extra technicians are required. Groups acknowledge that PSV staff members are scheduled to work only the scheduled reservation time and agree to end their event on time. Groups that run over their reserved time may be subject to a fine.

2. All Cahn Auditorium events and activities must be supervised by auditorium staff. Without staff present, the auditorium is closed to users.

3. Cahn Auditorium and staff are available for a maximum of 12 hours per day.

4. There is an extension of building hours fee is $150/hour for any events that plan to go past

midnight. Events that stay past midnight without prior approval will be assessed a fine of $200/hr. This fee is assessed starting at 12:01 a.m.

General Policies

1. Communication of Policies: User is responsible for informing all patrons, guests, caterers, et cetera about all relevant policies described in the Cahn Auditorium Reservation Policies and all other applicable University policies.

2. Alteration to the permanent structure of Cahn Auditorium, including walls, ceilings,

seating, floors, drapes, fixtures, screens, and electricity is not permitted. This includes taping or fastening things to the walls, floors, and ceiling. Any damage to Cahn Auditorium will be charged to the group at the replacement/repair cost.

3. Any and all items to be sold (including - but not limited to - merchandise and concession

sales) must be approved ahead of time by the Performance Venue office. Items not pre-approved for sale will not be permitted. Approved sales items are subject to a 10% commission on gross receipts, payable to Northwestern University. Northwestern University reserves the right to withdraw permission for merchandise or concession sales at any time.

4. Alcoholic beverages are not permitted in Cahn Auditorium. All violations of this policy will be reviewed by the Performance Venues Office and may result in sanctions, including suspension of the sponsoring organization’s right to reserve Cahn Auditorium, and referral of the incident to NU’s Office of Student Conduct & Conflict Resolution.

5. Food and beverages are not permitted in the seating areas or lobbies of Cahn.

6. The Performance Venues Office must approve the posting of signs, setup of displays,

counters, tables, or any other uses of the lobby.

7. No unauthorized people are allowed backstage or in the green room before, during, or after a performance unless approved by the Performance Venues Office

8. The seating areas and lobbies may not be used for storage, or for production

work (construction, painting, sewing, etc.)

9. Helium Balloons are not permitted in Cahn Auditorium. They can interfere with the Fire Alarm system. Groups must monitor incoming guests for helium balloons, and check them into the box office.

10. Spray paint may not be used inside Cahn Auditorium.

11. Candles, incense, pyrotechnics, or open flames are not permitted in Cahn Auditorium.

12. Special effects of any kind must be approved in advance by the Performance Venues

Office.

13. The use of confetti and glitter is prohibited, due to the difficulty of cleaning the seating and carpeting. Any exception must be approved by the Performance Venue Office. Unauthorized use will be subject to extra custodial charges of at least $500.

SSecurity

1. The Performance Venue Office and University Police reserve the right to set and modify security and staffing calls up to the time of performance at the cost of the sponsoring organization. All Security staffing requirements should be discussed and approved tthree weeks prior to the date of the event. The Performance Venue Office reserves the right to assign and direct all security personnel in and around the facility at all times. The provision of security services by University Police, if any, is not intended to be, and shall not be construed to be, a guarantee of the safety or security of the premises and/or its occupants.

CClient Event Staffing and Expectations

1. Staffing requirements will be finalized at the Event Meeting. Sponsoring Organization will provide its own programs, tickets, ushers, and box office staff. Approximately 6-15 volunteers may be needed, depending on the event’s requirements.

2. The Norris University Center Box Office may be used to sell tickets. For more

3. At least one NU staff member must attend any event sponsored by a Student

Group. Typically, this is the group’s advisor.

4. All event materials such as programs, flyers etc. must be removed from the building as part of the event cleanup. The event sponsor will be charged for the total cost of removal of materials left in the lobby or any other part of the building, including staff time used to make arrangements for the removal.

Ticketing and Lobby Sales

1. All events must be ticketed. Events can only forgo ticketing if another tracking device is approved (counters, programs, etc) by the Performance Venue Office. Contact the Norris University Center Box Office to arrange ticketing.

2. The sponsoring organization is solely responsible for the handling, securing, and storage

of any cash, credit card information, merchandise, tickets, or other valuables.

Contracts and Insurance

1. Any contract between a NU student group and an outside entity (a performer, for example) must be submitted to the Campus Life Office at least six weeks before the event for review and signature. Academic departments should route contracts through their schools’ Dean’s Office for approval and signature. Copies of the contracts and technical riders should be sent to Performance Venue office prior to being signed.

2. If a non-university entity is engaged for an event, the Office of Risk Management must be

consulted to determine whether there are insurance requirements. The sponsoring organization is responsible for seeing that insurance requirements are met.

CCancellation Policy

1. You may cancel your event any time up to sseven days before your event. Full charges will apply to all scheduled events that were not cancelled before this time frame. You will receive a cancellation confirmation when you cancel your event. AAPPENDIX B: Cahn Inventory

PROSCENIUM DIMENSIONS The building plaster proscenium is 25'h x 50'w. The Permanent Portal is 18' h x 42' w.

The Grand Drape hangs just downstage of the Permanent Portal. It is 50' wide and completely covers the Permanent Portal when flown in. Its out trim is 20' - 10" The Fire Curtain hangs downstage of the Grand Drape. It is 52' wide and completely closes the Proscenium opening when flown in. Its out trim is 20'-6". The portion of the fire curtain that is visible is painted black.

GGENERAL INFORMATION Grid Height is 49'-0" Max out trim for the Battens is 47'-6" except as where noted.

Battens on line sets #1 – #4 are 54’-0" long.

Battens on line sets #5 – #50 are 59’-0" long.

Battens on linesets 17, 18, 21, 30, 34, and 40 have double mounted pipes (two pipes running in parallel for added strength). This decreases the maximum out trim as noted.

Battens on either side of the electrics have decreased maximum out trims to accommodate the size of the motors.

All line sets have 6’ arbors except the permanent electrics (#4, #16, #27, & #39) which are motorized.

6’ arbors support 1000 lbs.

Motorized permanent electrics support 2000 lbs.

A note about linesets: as shown below, many of the linesets are set very near to each other, as close as 4". The reasoning behind this is to provide linesets in as many useful locations as possible, not to provide the ability to hang 50 separate items. It is not to be assumed that two linesets 4" apart can both be used at the same time.

The Grand Drape hangs just downstage of the Permanent Portal. It is 50' wide and completely covers the Permanent Portal when flown in. Its out trim is 20' - 10"

The Fire Curtain hangs downstage of the Grand Drape. It is 52' wide and completely closes the Proscenium opening when flown in. Its out trim is 20'-6". The portion of the fire curtain that is visible is painted black.
