Welcome to BoardingAt Waikato Diocesan School we aim to promote a safe, caring and challenging environment where students can grow into confident, responsible young adults. We see our work as a partnership with parents/caregivers and students – with all parties complementing the work of the others.

This handbook is designed to provide information for boarders and their families regarding rules and expectations. Please read all the information carefully and discuss it as a family so that you understand what is expected.

Our main objective is to ensure that each student has a safe and productive experience in boarding.

Boarding operates on the basis of:

Boarding staff are committed to ensuring the well-being of each individual and the smooth running of the boarding school as a whole. Students (and parents/caregivers) should feel free to discuss any issues with a House Parent or the Dean of Boarding.

Behaviour Expectations and Responsibilities in the Boarding HouseAt Waikato Diocesan every boarding student has the right to live and learn in a friendly and respectful environment. It is expected that students will:◆◆ Demonstrate respect for oneself and others.◆◆ Model and place value on mutual trust.◆◆ Demonstrate cheerful acceptance of difference.◆◆ Be willing to live communally in harmony with others.◆◆ Behave, speak and listen in a respectful way to boarding staff and other students.◆◆ Be willing to participate and contribute positively to life in boarding.◆◆ Adhere to boarding rules and expectations.◆◆ Encourage and support each other.◆◆ Follow instructions given and take personal responsibility for asking appropriate questions

Students who are unable to meet the expectations above can expect their House Parent to talk with them about areas of concern. If no improvement is noted a student's parents will be contacted and the Dean of Boarding will be informed. The House Parent may issue a consequence as a result of inappropriate behaviour.

Respectful Relationships At Dio we believe that positive relationships are the key to a happy school environment. When people are happy they learn well, and enjoy the things they are doing. Good relationships are based on respect, fairness, honesty and open communication. Sometimes, however, things don’t always go as we would like and problems occur between people. More often than not these problems start off as little problems and if they are not dealt with they tend to become big problems. Restorative Practice is central to Dio's philosophy and is based on the development of respectful relationships and the awareness of how our behaviour affects others.

The core of Restorative Practice is the coming together of all people involved in the problem to discuss a way forward. Problems within school and between people occur at different levels of seriousness and this means that one type of restorative discussion does not fit all situations.

If a student feels uncomfortable or unhappy about how they have been treated by a friend, another student, a coach or a member of staff they need to tell someone about this. Students can talk with a member of the boarding staff, the Dean of Boarding, their form teacher, a classroom teacher, a year level dean, a counsellor, a nurse, an Assistant Principal or a Deputy Principal about their concern. These people will help find the right person to help sort out the problem. If you want to find out more about this process check out the Restorative Practice page on the school website.

Disciplinary ResponsesAll staff at Dio base their practice in the boarding house and classroom around the principles of respectful relationships. However, if a student breaches any of the rules or expectations set out in this Boarding Handbook they can still expect possible consequences for their actions as outlined below. Please note the seriousness of the offence will determine which of the following consequence(s) will be administered.

Please note: this is not an exhaustive list but merely a guide to the discipline pathways for boarding students. Re-offending or serious incidents may lead to a student being suspended from the boarding house pending a Proprietor's Board sub-committee disciplinary meeting.

AbsencesPlease contact the House Parent if a student is unable to return to the boarding school at the required time on their office extension or via email.

Please note: permission for planned absences from the day school must be made via the Parent Portal to the Assistant Principal in charge of leave. Students are required to bring a note from home for any unplanned absences eg. illness.

Boarding Precinct AccessAll Boarding Houses are closed to students and to visitors during school hours. If family members are collecting or returning students, we ask that the boarding entry on River Road is used as the point of access. Please note that the boarding gate is open for site access at the following times:

Monday-Friday: 7.00am to 8.00am and 3.00pm to 8.45pm Saturday: 7.00am to 12.00pm Sunday: 4.45pm to 8.45pm.

Access to Holland/Johnston is by swipe card only. It is very important that students look after their cards as any cost associated with replacement will be disbursed to the students’ school account.

AppointmentsDentist and other appointments should be made during school holidays. If on-going work is required, please make appointments after school so time out of class is minimalised. House Parents will require notification of appointment times and can arrange transportation if needed.

AwardsThere are a number of boarding awards that students can strive for during the year. They include:

◆◆ Peacocke Cup – awarded to a Year 13 boarder for service to boarding.

◆◆ Fullerton Smith Cup – awarded to a Year 13 boarder who has displayed positive role modelling in boarding and who has supported the head boarder, boarding staff and the special character of the school.

◆◆ Bianca Flintoff Memorial Cup – awarded to a Year 12 boarder who has displayed a positive and consistent commitment to boarding and who has supported the special character of the school.

◆◆ Senior and Junior Boarder Cups – these awards are for the students who actively participate in boarding life and act as positive role models for others.

◆◆ The LipSync Cup – awarded to winning House of the LipSync Competition.

Students are also able to apply to join the Boarders Council which is run by the Head Boarder and Dean of Boarding.

Banned itemsThe following may not be brought into any boarding house:

Being in possession of any of the above items without consulting with staff is considered to be a serious offence and will result in immediate confiscation of that article and appropriate consequences for those concerned. Smoking, alcohol and other illegal drug taking and the possession of tobacco, alcohol or other drugs or solvents are forbidden. Incidents involving these are dealt with according to the relevant School Policy.

Beginning of TermBoarders returning after holidays must be signed in by 7.00pm on the evening before school starts. Term dates will be advised through the School Calendar. There are no meals provided on these nights and there is no scheduled chapel service for students to attend.

BicyclesStudents may bring their own bicycles to school or use boarding bikes. The bike may be stored in the bike sheds at school (see Director of Sports for code/key) or in the indoor locker rooms. All students must obey the road rules and wear a helmet when riding their bicycles. No student will be permitted to cycle on her own, off school grounds, without written permission from her parents/caregivers. Cycling after dark is not permitted. Failure to comply with these expectations will result in the bike being sent home for a designated period of time.

Boarders’ EventsWe aim to provide students with a variety of planned boarding events and fun based bonding activities during the year. Themed dinners are always very popular and well supported. Other events include end-of-year functions with Houses, buddy and House nights, In-weekends and the yearly LipSync which we encourage boarding families to attend. If you are concerned about any of these activities or require additional information, please contact the Dean of Boarding.

BudgetingIt is important that your daughter knows how much money she will have as pocket money or what she is able to put on the account at the School Shop. All students need to manage their own money via a bank account. It is recommended that boarders have an Eftpos card. Learning how to make choices about what to spend money on and budgeting is a vital life skill.

Any money students may need to bring to school must be handed into the office for safe-keeping. The school does not take responsibility for any money lost or taken that was not handed in to the boarding office for safe keeping.

Cell phonesCellphones are subject to the same policies as other devices in the school in regards to security and digital citizenship. All cellphones must be clearly named and girls are required to adhere to the cellphone rules for each boarding year level. Misuse of the phone or failure to follow staff instructions will result in disciplinary consequences such as confiscation or restricted use of the device.

Year 9 students’ phones must be handed in to the House Parent on Sunday evenings and will be issued for limited periods of time throughout the week. This is to ensure that the students devote their time to building relationships with each other rather than texting and talking with people outside of the school. Students will have use of their phone for off-site outings.

Year 10 students’ must hand in their phones for prep and they are collected before bedtime. This also applies to students in Year 11 for part of the year. Year 12 and 13 students’ phones will only be collected if use of the phone interferes with their study or if it is a disruption to staff or students.

ChapelBoarders’ chapel is an integral part of being at Dio. All boarders are required to attend all scheduled boarders’ chapel services at 7.30pm on Sunday evenings. All students must return to their boarding house in full school uniform by 7.00pm. Parents, family and friends are welcome to attend all chapel services. Please be aware that the entire boarding establishment is locked whilst we are in chapel. A roll is taken for each service. Non-attendance is a breach of boarding expectations and students will be required to make up for a missed chapel service during the week.

ChemistBasic chemist items can be bought at the School Shop. Prescriptions are delivered daily to the Nurse and disbursed to boarder’s accounts.

ComputersStudent devices are brought to school primarily for learning and all internet use is subject to the policies and guidelines of the school. This includes use of devices after hours and on weekends; all internet use is scrutinised and monitored by the school I.T. Department. It is important that students understand this and comply with the Student Use Agreement that they sign at the start of the year. Disciplinary steps will be taken if girls abuse their internet agreement.

As with all property, student computers are not covered by the school insurance. It is important therefore that you note the serial number and description of your daughter’s device for your

own record. Students are discouraged from sharing or borrowing devices and are expected to take responsibility for the safe storage and regular charging of their devices. Updates and virus protection should be kept current, but are not able to be done on the school network. A school bag that can safely transport these devices is also an important consideration.

Damage to Property Students who are found to be involved in graffiti or damage to property will have the cost of the repair disbursed to their account. There will be a minimum charge of $20.00 for any such damage. Graffiti of any form is not acceptable.

Dining Room and MealsAttendance is compulsory at meal times. Where students are continually absent due to being late, town privileges may be withdrawn. Dinner is at 5.45pm. The dining room is reopened from 6.30pm till 7.00pm each evening for those who miss dinner due to sport or other extracurricular commitments. Students arriving back after this will have a plated dinner saved for them.

Morning tea and afternoon tea, as well as fruit, bread and spreads are provided. Many parents/ caregivers choose to provide a ‘tuck’ box for treats to avoid students spending regularly at the school canteen. We encourage students to make healthy food choices.

Year 13 students may have breakfast in Johnston House in the mornings and can cook their own meals in the weekend. Year 12 students may have breakfast in their dorm on weekends but must attend all other meals in the dining room.

DisbursementsBoarding-based activities and transport costs are disbursed, as well as any costs associated with the In-weekend. House Parents may take students out for dinner or other planned activities throughout the year. Provided the cost for this does not exceed $25.00 the cost will be automatically disbursed to your account. Feel free to discuss this system with the House Parent. Please discuss your expectations with your daughter regarding trips and taxis. Parents will be contacted regarding any activities or functions that will exceed $25.00 prior to disbursement being made.

Dress StandardsSchool uniform must be kept freshly laundered (see School Dress Code Requirements in the School Handbook), be clean and in good order. In exceptional circumstances an exemption may be obtained from the appropriate House Parent. Parents will be contacted by House Parents if a student’s uniform is not of an acceptable standard or an item needs replacing.

Boarders are expected to change out of their uniform into mufti after school and mufti is to be worn in the dining room for the evening meal. Revealing clothes, hats and wet clothing are unacceptable in the dining room and shoes must be worn at all times. It is essential that all clothing is named.

All boarders must wear full uniform home on Friday afternoons and return in full uniform on Sundays. This dress code applies to everyone and on all modes of transport, both private and public. There will be consequences for students who do not adhere to this requirement.

DutiesStudents are encouraged to take responsibility for themselves and therefore are responsible for maintaining the tidiness their own living space and the house in which they live. Duties are done on a rostered system and checked daily.

Electrical EquipmentStudents are not to bring electric blankets, televisions, fridges, electric coloured lights, lava lamps and fans, extension cords or power boards.

Exeat WeekendsOn an Exeat weekend students are expected to have left the school premises by 5.00pm Friday and return between 5.00pm and 8.00pm Sunday evening. Students who have school-related sports or cultural activities on Saturday morning, may remain in boarding overnight. All students must depart by 10.00am on the Saturday. There are no dinners provided on Exeat weekends, and no scheduled Chapel services to attend. Written leave is still required for Exeat leave travel arrangements.

The boarding house takes no responsibility for the behaviour or safety of students during Exeat Weekends. Please ensure that you are comfortable with your daughter’s plans when not in the care of boarding.

Expressing ConcernsIt is important that boarders learn to express any concerns, difficulties or problems (as well as the joys and achievements) to staff so that: correct information can be given; they can be referred on to the right person; and their concerns can be fixed. Problems that can feel quite daunting for a boarder are often easily solved when staff offers support and clarify information. Students may talk about their concerns to the House Parents, Assistant House Parents, Gap Tutors, Nurse, Guidance Counsellor or the Dean of Boarding.

Extracurricular ActivitiesStudents will receive an extracurricular guide to assist them in exploring the Arts, Cultural, and Sporting activities available at school. This guide includes details and information about the commitment each activity requires. Sports and Arts registrations are completed on return to school each year. Students are briefed on this procedure, with special care and guidance given to new students around this process. For further information students can see the Director of Sport or the Arts Administrator. Queries relating to activities not offered within the school should be referred to the relevant House Parent.

It is important that parents/caregivers are aware of cost associated with students’ extracurricular activities. At times, students will need to use taxis for transport and this cost needs to be factored into decision making with your daughter before she makes a commitment to an activity.

JobsDue to the large amount of school and extracurricular activities that students undertake we do not encourage them to have after school jobs. While we appreciate that some will be seeking independence, ideally, any part-time jobs should be restricted to weekends so that they are able to meet boarding and school requirements (this includes baby sitting). Please feel free to discuss this matter as the need arises with the Dean of Boarding

LaundryBed linen, towels and uniform items must be sent to the laundry on a weekly basis. Each house has its own laundry day. All personal washing is done by students in the facilities provided. Please make sure that your daughter is aware of any hand-washing requirements (eg. woollen jerseys). Students must supply their own laundry powder, stain remover etc for personal use.

LeaveDairy LeaveStudents are able to go to the dairy after school, up until 4.30pm. They must be out of uniform and must be in a group.

Week Day LeaveThis is a privilege and will be granted at the House Parent’s discretion. Students must request and be granted permission from the House Parent before they go. They must be back at the boarding house by 5.00pm. Students (Years 9 to 12 inclusive) must travel and remain in a group the whole time. No student may sign out for longer than 1.5 hours unless it is for sport/school activities, unless this has been discussed and agreed to by boarding staff.

Students may bus, walk or taxi to Westfield Chartwell. All students must sign themselves out and be honest about travel arrangements and destinations. We work on the basis of trust and if students break that trust it is viewed very seriously. Breach of any leave rules may result in serious consequences.

If a student is returning later than expected, it is her responsibility to contact the House Parent on duty immediately. If a student is more than 15 minutes later than expected, steps will be taken to locate her. Emergency services, coaches and parents/caregivers may be contacted.

When students walk to Westfield Shopping Centre they are not permitted to cut through any part of Donny Park. They must use River Road and Comries Road. This is a safety issue and students not following this instruction may have leave privileges reviewed. We cannot ensure the safety of students when they cut through the park.

Special LeaveStudents may be granted leave for the following types of activities, all of which are viewed as exceptions to normal leave. Permission must be sought and granted from the appropriate House Parent in advance. These include:

◆◆ Afternoon outings with parents or friends provided that they return by 6.15pm for Prep.◆◆ Year 13 night coffee leave. Students must travel and remain in groups of two or more

and must return to the boarding house by 9.00pm. ◆◆ Mid-week special family events such as family birthdays, visiting relatives and friends, as

well as end of season team events.

With all these special leave requests we require students to be back at the boarding house in time for usual bedtime routines and to ensure that their homework does not suffer. Students are not permitted to arrange group outings with other boarders during the school week. This often causes problems for students not invited and disrupts the running of the house.

Overnight LeaveParents may seek occasional overnight leave for their daughters during the school week. This is for exceptional circumstances only and will be granted at the discretion of the House Parent.

Weekend LeaveBefore leave is approved we require a written/emailed leave request. This must be received by the Wednesday prior in order for us to make arrangements with staff and the dining room.

Leave requests that arrive late may be refused. We have a legal requirement to hold records of leave and expect that parents/caregivers will comply with supplying weekly written leave. Students who have weekend leave must return in full school uniform and sign in by 7.00pm Sunday ready for house meetings and chapel.

We also require notification of travel for Exeat weekends and written confirmation if students are staying in over the weekend. Students staying in boarding on the weekend who require leave for a particular day, must arrange this with their House Parent prior to that weekend. Students staying in are allowed to attend movies and other activities. Provided the cost does not exceed $25.00 it will automatically be disbursed. Please advise if you are not happy with this arrangement.

No one is granted leave for the In-Weekends as these are an important part of boarding life. The dates are clearly sign-posted and we ask for your support in not arranging other activities for your daughter at this time.

Holiday LeaveBoarders are not permitted to leave for holidays earlier or to come back later than the stipulated times on the term calendar unless permission has been requested in writing from the Assistant Principal in charge of leave, and have had their request approved. All possessions must be removed each holiday as the boarding house is often hired out during these times.

Reminder: Boarding staff cannot give permission for absence from the day school. Leave must be applied for via the Parent Portal to the Assistant Principal in Charge of Leave to comply with MOE requirements. If leave includes day and boarding absence the Assistant Principal will approve both and inform the boarding house.

LibraryThe Library is open after school until 5.00pm Monday to Thursday so that boarders are able to use the resources available to support their Prep. The Library and computer labs may also be available for Prep during the evenings.

LicenceWe are a licensed boarding hostel and comply with the Education (Hostels) Regulation Act 2005. Should you wish to inspect a copy of this Act or our licence, please ask the Dean of Boarding.

Medical CareAll new boarders must have all the medical and hospital consent forms completed and returned before they arrive at the boarding house to take up their position. All boarding staff have First Aid Certificates and training in emergency and non-emergency care.

Food Allergies/ Special Dietary Requirements

Proof of medical diagnosis supporting special dietary needs (eg. Gluten intolerance, nut allergy) must be provided to the School Nurse in order for us to provide a diet and environment to support special needs.

MedicinesPlease note: that ALL medicines must be handed in to the School Nurse who will decide what a student may keep in her personal possession, eg. inhalers. All other medication will be dispensed from the sick bay as per school protocols.

The Nurse is available from Monday to Friday. She can be contacted on extn 3780.

If students require more urgent attention, they are sent directly to the appropriate professional. The cost of medical appointments and pharmacy items will be disbursed to your daughter’s account.

NewspapersCopies of the Waikato Times and the New Zealand Herald are provided in each boarding house from Monday to Friday.

Parent InvolvementWe encourage you to be actively involved in the care of your daughter. You are welcome to visit your daughter should you be visiting Hamilton. You are welcome to stay for chapel each Sunday, especially your daughter’s House Service. Please also feel welcome to attend school and boarding events listed on the term calendar or published throughout the year.

Personal HygieneIt is important that boarders know the importance of showering daily, changing underwear and socks/pantyhose regularly, changing shirts, having clean uniform, using clean towels, changing sheets, the need for soap, shampoo and deodorant. Lack of personal hygiene in a boarding situation can lead to a girl being ostracised, creating a difficult situation for all concerned.

Personal PropertyStudents must take responsibility for their own property. In a boarding situation there are a lot of people sharing communal living areas which increases the potential for the misplacement of items. Boarders need to be aware of the importance of taking care of their own property; everything must be named and care must be taken not to leave personal belongings lying around.

Borrowing and lending is discouraged. Borrowing without permission is never acceptable and may result in further action being taken. The school takes no responsibility for any loss or damage to students’ property or for any item that she may have loaned to someone else. Student lost property is not covered by the school insurance policy. All boarders need to have their own insurance to cover personal belongings that may be misplaced or damaged while boarding with us.

All boarders have a lockable area they can store their valuables in, however we do not encourage them to bring expensive items or large sums of money into the boarding house.

PrepPrep is a vital part of the boarding house routine. Student activities and outings need to be managed in order to minimise disruptions to Prep. Girls who are unduly absent, may have their activities reviewed by their House Parent.

Prep is done under the supervision and guidance of House Parents with support from Prep Tutors. Any request to miss Prep must be cleared with the House Parent. Please do not contact your daughter during Prep; this time is for school work and study.

RecordsHouse Parents should be notified of any alterations in a boarder’s personal circumstances, such as change of address or phone numbers or cell phone numbers or that parents/caregivers are overseas/on holiday. We need to be able to contact you should an emergency arise.

RunningStudents are encouraged to keep fit; however there are some necessary guidelines which must be observed by the students in order to ensure their safety. For safety reasons students must run in groups on pre-approved routes. In no circumstances is running permitted before light or after dark. Running in Donny Park or on the river bank is not permitted at any time.

Students are not permitted to run alone: however Year 13 students may be granted permission to run alone if their parents/caregivers lodge a special request with the Dean of Boarding. Established running routes are available from House Parents.

SecurityExternal doors are alarmed every evening. When House Parents are not in the building such as during chapel or dinner time the boarding house is locked for security reasons.

Please note: parents and students are unable to access the boarding house facilities during the school day.

SwimmingBoarders may use the School pool when supervised by a staff member on duty. They are only permitted to swim under the supervision of an approved adult.

TelephonesEach student has access to a pin number which enables her to make calls, which are then disbursed to your daughter’s school account. Unfortunately the school is on business rates so every time your daughter keys in her pin number there is a charge whether the call is correct, is answered or not. Please do not ring your daughter during meals, Prep or after lights out.

If there is a death in the family/friends or a loved pet, please contact boarding staff so that we can be prepared to support your daughter.

TransportStudents are encouraged to book trips (via the booking system) for most travel needs using the boarding van. All students are entitled to use the van and a one-off annual cost for this resource is included in the boarding fees. Trips are prioritised around the purpose of the trip and the number of girls travelling. Parents will need an account with Taxi Charge New Zealand in order for their daughter to have and use a taxi card. Taxi charge forms are available from House Parents. If you do not wish your daughter to have a taxi card, she will need to have sufficient cash on hand to pay for her portion of taxi trips.

Turning 18Many students will turn 18 during their time in boarding. While this allows them to participate in a range of activities legally, these activities are still unacceptable while they are in the care

of boarding. These include such things as smoking, drinking alcohol, visiting clubs and bars.

Any participations in such activities will result in disciplinary action. We do however encourage

students to exercise their right to vote!

TutorsIf you require a private tutor for your daughter we prefer the tutor to come to the boarding house rather than have the student travel to them. This allows us to ensure the safety of students and provide supervision of the tutors while they are with the students. Should students wish to use a private prep tutor on site, this person must be Police-vetted and approved by the Deputy Principal and by the Dean of Boarding before permission is granted. Tutors must complete a School Tutor Agreement Form.

VehiclesUnder no circumstances is a student permitted to bring a car to school without first gaining

permission from the Dean of Boarding. Students must apply to be considered for this privilege.

A letter of permission from a parent or guardian must be attached to the official application

form detailing the type of activities for which permission is sought. The type of activities must

be permitted under the boarding rules eg. travel to and from home or to sports trainings/events

off site. As parking space available is limited priority will be given to Year 13 boarders. Car parks

will be individually assigned to specific students and those students only will have the exclusive

right to those parks.

VisitorsParents and friends are welcome to visit during the week after school. All friends must be

introduced to the House Parent on arrival and be signed in (parents may veto any visitors at any

time). Students may have visitors at the discretion of the House Parent in the afternoon until

5.00pm. Boyfriends must visit in the common rooms –not in the school grounds. Students who

choose to ignore these requirements will have their visitors refused. Any visitor not meeting

our expectations around acceptable behaviour and common courtesy will be asked to leave the

premises. Visitors are not permitted access to any of the dorms without permission from the

House Parent.

Please note: fathers, male relatives or boyfriends are not permitted in the dormitories.
