Welcome

Welcome to boarding at Monmouth School for Boys. For some of you this may be your first time as boarders whilst others will have been boarding for some time either at Monmouth or other schools. Whatever your previous experience, this will be a helpful booklet for pupils and their parents.

The aim of this booklet is to provide a guide to explain procedures, routines and policies of the senior boarding houses; New House, School House, Weirhead House and Buchanan House. It is therefore strongly recommended that parents and pupils are familiar with its contents.

We want to ensure that your time at school is a happy and productive one; where your personal expectations and enthusiasms are encouraged. In order to achieve this you must expect to contribute by abiding by the regulations, by adopting an honest and tolerant approach towards others, by sharing the burden of duties and by putting forward constructive ideas for further improvements.

This booklet is not intended to be exhaustive and it will be subject to review and modification when and where it is felt necessary.

The Aims of Boarding at Monmouth School for Boys

In boarding we aim to:-

• develop the whole person, a desire for truth and a respect for others;

• produce an open and trusting ethos in which each boarder feels able to approach anyother member of the community (staff or pupil), confident in the knowledge that he willbe treated and respected as an individual;

• create an atmosphere of tolerance, openness and trust in which teasing, harassment andbullying would find great difficulty in developing;

• provide the conditions for boarders to develop their intellectual talents through well-structured prep conditions, access to staff and other pupils, participation in activities andin an atmosphere which values effort;

• provide a range of activities, hobbies and opportunities related to age and maturity thatwill assist in the personal, social and cultural development of each boarder;

• safeguard and promote the welfare of each boarder by providing an environment that is,as far as possible, free from physical hazards and dangers of any sort;

• provide accommodation that is comfortable and suited to the needs of boarders,according to age and maturity and which provides adequate levels of privacy;

• develop each boarder’s responsibility for self, for others and for his environment;

• develop boarders’ qualities of leadership and ability to work as part of a team;

• provide suitable conditions in which boarders feel able to turn to members of staff toshare the good things in their lives as well as being able to turn to them for advice, counselling and support during times of difficulty.

Personal Items

Clothing

School uniform (though not the jacket and trousers), sports kit, towels, pyjamas and bedding are washed weekly by the School laundry. Jackets and trousers should be dry cleaned each holiday. Casual clothing (mufti) should be ‘smart casual’ and is normally washed at home and exchanged as regularly as necessary. Mufti is normally worn outside of school hours and so boys should have sufficient changes of mufti for the week; please note however that there is limited storage facilities and so mufti should be restricted to what is needed. Please make sure every item, including mufti, is clearly labelled with sewn name tapes. All clothes must be marked washable and can be tumble dried.

Personal Items

These should be clearly marked and a record should be kept of serial numbers etc. of anything valuable. You are welcome to bring favourite games books etc., but these should be sufficiently small to fit into lockers. All pupils are covered by the Pupils’ Personal Effects Insurance and details are contained in the Welcome Booklet with New Boarder Information. Otherwise, parents’ personal insurance can cover all valuable items. The school cannot take responsibility for loss or damage and you are urged to avoid keeping very valuable items or large amounts of money. Earrings or other body-piercings are not permitted at school.

Mobile Phones

The widespread ownership of mobile phones among young people requires that teachers, pupils, parents and guardians take steps to ensure that mobile phones are used responsibly at school. The Acceptable Use Policy for Mobile Phones is designed to ensure that mobile phones can continue to be enjoyed by our pupils without causing issue for or disruption to others. The Acceptable Use Policy applies to pupils during the school day and whilst on school trips, camps, extra-curricular activities and for boarders, during the evenings and the weekends. The policy also applies to iPods and tablet computers. Note: Those with non-UK phones are advised to purchase a UK SIM card. Otherwise they will incur high charges for the caller and the receiver.

Mobile phones must be switched off during all school lessons and functions.

Electrical Appliances

Portable appliances, extension leads and plugs can be the cause of fires, serious or fatal injuries. It is therefore vital that items brought to school are safe and in good repair. Appliances brought into the boarding house should comply with the relevant British Standards. Our maintenance staff will check appliances during September each year using portable appliance test equipment. Certain appliances are permitted: Computers, chargers, hairdryers, electrical toothbrushes and lens sterilizers, shavers, portable audio equipment. We do not permit: Kettles, fridges, toasters, heaters, microwaves, TV sets, irons, fans. The lists are not exhaustive and pupils should ask their Housemaster for advice. Cooking in rooms is not permitted and may only be done in House kitchens.

14

Pocket Money

Parents must ensure that boys have sufficient money for personal needs (e.g. toiletries) and for travel at leave-outs etc. It is advisable for boys to have their own cash-cards or account to withdraw money, which may be controlled by parents paying in a certain amount each month. Alternatively, the Housemaster or House Tutor can bank and distribute each boy’s pocket money, thereby trying to keep spending under supervision.

Lost Property and Insurance

Most Lost Property is taken to the Porters’ Lodge and stored so boys should check with the Porters if an item has been lost. If you lose anything, you should report this to House Staff. The School cannot accept responsibility for any losses incurred on the premises. You are advised to arrange for valuable items to be covered by an insurance policy. DO NOT LEAVE MONEY AND VALUABLES lying around. Use lockers properly and report broken locks. Your own padlock may be required on some lockers, so bring one to school.

Pets

There is no provision for pets of any type to be kept by boarders at the School.

Meals

All boys are expected to attend the three main meals in the School Dining Hall. They should try to eat a balanced diet i.e. fruit and vegetables and regard it as a social occasion. All boarding houses have kitchens with microwaves, fridges and cookers. The School provides bread, butter and milk. Adhere to the health and safety rules at all times. Drinks, sandwiches and snacks may be purchased during first morning break from the School Dining Hall.

The School has an extensive computer network running Microsoft Windows. There are computers and printers in all of the Boarding Houses for communal use. There are also computer network sockets for pupils’ use in most of the studies for those in Forms III-VI.2 and pupils may bring their own laptops or PCs if they wish. The School uses a range of software, both general purpose and subject specific. It is strongly advised that your home system should have a word processor and a spreadsheet. It is part of School Policy that you have up-to-date anti-virus software installed and running on your computer when it is connected to the School system. Every boy in school has a School e-mail address. The School Internet service is actively monitored and automatically filtered to try to prevent access to undesirable materials. Wi-fi has been installed into boarding houses and the School Library.

Please note: • All students are bound by the School’s acceptable use policy. This requires pupils’

computers to meet the minimum standard of security i.e. up-to-date antivirus softwareis running at all times.

• ICT Support will collect device identification details for monitoring and filtering purposes.• The school network is actively monitored for misuse/abuse with any and all breaches of

the acceptable use policy dealt with most severely by the Second Master or theHeadmaster.

• Network cables will be available in the School Shop for boys to purchase.

Where to get help: If you have any queries at all regarding use of the School network, please do not hesitate to contact IT Support, [email protected]

For queries regarding Computing and ICT facilities in general, contact Lyndsay Hope, Head of Computing, [email protected]

Leaving the House

Boarders are generally allowed to visit Monmouth town after lessons have finished according to the following rules. Boys may not go to town before the end of period 8 and must return by 5.20pm, in time for registration and first prep. Boarders in Years 7 and 8 may visit town in groups of three boys only and must seek the Duty Tutor or Matron’s permission each time they visit. Boarders in Years 9 – I0 must go in groups of two boys but do not need to seek the duty tutor or Matron’s permission each time they visit town. Boys in Years 11, 12 and 13 do not need to seek permission and may go to town individually. All boys must sign out on leaving the house after school. When signed out, all boys must stay within the permitted bounds (see Monmouth School Bounds Map).

During and after prep boys in Year 7-8 may not leave the boarding house unless accompanied by a member of staff. On certain evenings during the week groups of Prep, Year 7 and 8 boarders are accompanied to the Sports Centre for activities on the astro-turf, the swimming pool or to Monmouth School for Girls (MG) for social activities with School House boarders.

Boys in Years 9 - 11 may only leave the house after second prep if they have permission from the duty tutor and must sign out if they gain permission. Permission will normally only be given to boys to leave the house to use sports facilities either on the main site or at the Sports Centre, or to visit other boarding houses. On Tuesday evenings there are organised social activities with MG boarders for boys in Years 9 and 10. Permission will not normally be given to Year 9 - 11 boarders to leave the site for other reasons, such as town visits, unless there are exceptional circumstances.

Boys in Year 12 may leave the boarding house after second prep, but must seek permission from the duty tutor, and must sign out if in the normal way. They must return to the boarding house by lock up time (10.15pm).

Signing Out

Whenever you leave the House – except for meals and lessons, you must “sign out” in the signing out book. Write your name, time of departure, destination and expected return time. On your return, remember to sign back in. Do not sign out on behalf of others. Year 9 pupils should ask the Master on duty for permission to go into town. The front door of the boarding house will be on a digital lock during the day. For security reasons, it is important that the door is not left open and the number should not be given to those outside the House. Remember that 10.30pm is lock-up time.

Town Leave

Weekdays 4.00 – 5.20pm Saturday 1.00 – 5.30pm Sunday under House arrangement

After 5.30pm Years 7 – 11 Boys will not generally be granted permission to go to town after

5:30pm Sixth Form Boys may go to town in the evening “with permission”

Exeats/Leave-Outs

In the first and second half of each term, there is a fixed occasion which boys spend at home with parents or guardians.

In the Michaelmas Term and the Lent Term, these are called Exeats and extend from Friday 4.00pm to Sunday evening (returning from 7.00pm onwards) or Monday morning.

In the Summer Term, this is known as a Leave-out and extends from Saturday 12.30pm to 7:00pm Sunday evening / Monday morning – except for the early May Bank holiday where boarders return from 7:00pm Monday morning or Tuesday morning before School.

Otherwise, boys may take leave-out after school commitments on any weekend they wish with parental and Housemaster’s consent, i.e. letter/fax/telephone call to the Housemaster by Thursday evening to confirm. This is particularly important if your son is planning to stay at a friend’s house.

Whilst on any Leave-out/ Exeat a boy is under parental/guardian responsibility from the time that they leave the School premises.

Suitable Accommodation Arrangements During Exeats/ Leave-outs it is expected that boys stay with their parents or a reliable guardian. Other arrangements may be made with the Housemaster. However, it is not acceptable for boys of any age to stay where a responsible adult (over 25 years of age) is not present and able to accept the duty of care expected of a host. Examples of accommodation arrangements which we do not permit include (but are not limited to) staying with a sibling in their university accommodation, with a friend where parents are not present for the weekend, unaccompanied by an adult in hotels or B&Bs. You will appreciate that Housemasters must have confidence in the arrangements made for weekend Exeats/ Leave-outs before handing over their responsibility for a pupil, specifically that a responsible adult will accept the duty of care for boys entrusted to them for the break from school. It is therefore essential that Housemasters are informed in good time before an Exeat/ Leave-out to ensure that arrangements can where necessary be confirmed.

Transport Please ensure that Housematers and Matrons are aware of the transport arrangements made for These Exeats/Leave-outs.

The Summer Ball and Private Parties

Permissions for Boarders to attend partidies and the Summer Ball. Sixth Form parties Friday/Saturday Nights including the Summer Ball.

Boarders attending Friday or Saturday evening parties are expected to:

• be signed out to parents or a guardian until Sunday at 12 noon. The rationale behind this isthat Housemasters cannot be in loco parentis for pupils attending off site parties which donot end until the early hours of Saturday/Sunday morning. Guardians or hosts must acceptresponsibility for their wards until Sunday noon. It is hoped that this measure will ensure thatparents and boys make suitable and safe arrangements for parties and in particular theSummer Ball weekend.

• following the Summer Ball, boarders should return directly to their boarding house at thetime agreed by the Housemaster, this will be 00:15 or there about. Medical

Under the National Health scheme, all boarders must be registered with the School Doctor, Dr Watson at Castle Gate Surgery, which will be done by the School Matrons. If you are ill or injured, you must report to the Medical Centre, House Matron or member of staff on duty. If you are unable to participate in a school activity you will need an absence note from the nurse or house matron. Minor ailments are dealt with in-house, more troublesome ones by the School Nurses and the School Doctor. Please ensure that routine medical and dental appointments are made during the School holidays, so that they do not disrupt your academic work during term time. Parents should make certain their son’s House Matron is informed of any medical treatment or course of drug that a boy might have received during the holidays and even more important if it is continuing during term time. Pupils should hand over all medicines to House staff for safe-keeping; in the case of certain emergency treatments for example inhalers, Epipens or diabetic treatments, please discuss these with the Housemaster, Matron or the School Nurse.

House Surgeries

Each house matron has her own arrangements for surgery as shown on the notice board.

School Surgery

The School Doctor, Dr J Watson is based at Castle Gate Surgery - 01600 713811. He holds a surgery in school on a Thursday at 1.30pm. Appointments with him are to be booked with your House Matron by 9.00am that morning or at the Medical Centre.

School Nursing Sister

She is available in the School Medical Centre during school hours; Monday – Friday 9.00 – 5.00pm Saturday 9.00 – 1.00pm Tel: 01600 710407 Mobile: 07702 001774

House Matrons must be made aware of all visits, treatments or prescribed medication.

NEVER SHARE YOUR PRESCRIBED MEDICINE WITH ANYONE

All boys should hand over all medicines to House Staff for safe-keeping (unless routine medication e.g. Ventolin). House Staff must be aware of all medicines that boys are taking.

Counselling

If you experience problems where you feel that it would be helpful to talk to an adult then there are people in school to whom you can go - e.g. House Staff, Staff Counsellors, Nurses, School Doctor or a teacher.

Counselling Service

There is also a completely independent option in the form of a Counselling Service. Mrs Sarah Rogers, The School Counsellor, a Child Psychotherapist, visits the School every week. If you wish to make an appointment, this may be done confidentially via the Medical Centre, using the cards/envelopes there. Otherwise, with your agreement, you can be referred by your House Staff, the Nurses or by any teacher you trust. The Service is strictly confidential between the Counsellor and you.

The School Chaplain

Our school Chaplain, Revd Clifford Swartz regularly visits each boarding house to get to know the boys and give them the opportunity to talk to someone in addition to the House staff and tutors. The Chaplain will also be available to meet the boys on a one-to-one basis outside of these visits if requested.

Transport to and from Newport Railway Station (Exeats, Leave-outs and Half-Terms only)

We organise transport to and from Newport Railway Station at half terms and on exeat and leave-out weekends (not at the beginning and end of each term). The charge for this service is £8.65 one-way.

The coach departs from Monmouth School for Boys at 16:15 on the Fridays before exeat weekends and half terms and at 13:00 on the Saturday of leave-outs. We recommend that train travel is not booked before 17:30 on Fridays and 14:15 on Saturdays. For the return journey on Sunday evenings, the coach departs from Newport railway station at 19:00 and pupils must ensure they arrive in good time for this.

Any parents who would like to book a place for their child on the Newport Railway Station transport should complete the Holiday Information Form and email it to [email protected]. Please note that cancellation will require 48 hours’ notice to avoid the charge.

Transport to and from Airports (and London)

We also organise transport to and from London Heathrow Airport at the beginning and end of each term and half term in accordance with the published term dates. The last day of each term or half term is deemed a ‘travel day’ for boarders and your child is free to leave school throughout that day although the later the flight, the less disruption to their lessons.

Travel Arrangements

32

Page 33: Boarders’ Handbook - Haberdashers' Monmouth Schools · Monmouth, NP25 5SW 01600 716273 Fine country restaurant and holiday cottage accommodation The Old Court Hotel Symonds Yat,

We allocate vehicle sizes in accordance with the requests received before this deadline. After the deadline has passed, places are allocated on a first-come, first-served basis so if one of the coaches is fully booked your child may need to travel on an earlier vehicle from Monmouth-Heathrow or on a later vehicle from Heathrow-Monmouth. Please note, however, that while we will endeavour to assist late requests, it will not always be possible to do so and in these circumstances parents may need to make their own travel arrangements.

The cost of travelling to or from Heathrow on one of these scheduled journeys is £42.50 each way and this charge will be added to your school bill.

We book vehicles on the assumption that each child will be travelling with one piece of hand/cabin luggage and up to two suitcases for the hold. If your child needs to travel with more luggage than this and will exceed their airline’s ‘normal’ luggage allowance, please inform us in advance via the Holiday Information Form. If we need to book an additional vehicle to accommodate this extra luggage parents may need to be charged for two seats, ie £85 each way.

If your child’s flight falls outside these scheduled journey times we can book a taxi for them. Similarly, although the majority of our pupils fly into and out of Heathrow, we can organise taxi transport to Birmingham, Bristol, Cardiff, Gatwick and Stansted airports but pupils travelling to these other regional airports will generally need to travel in a taxi on their own. The cost of individual taxi transfers is as follows:

Airport Transport Cost* Approximate Journey

Time**

Cardiff Airport £106.80 1¼ hours

Bristol Airport £116.40 1¼ hours

Birmingham Airport £136.80 1½ hours

London Heathrow Airport £237.60 2½ hours

Gatwick Airport £274.80 3 hours

*Please note, if your child requires assistance with check in or if their arrival is delayed, car parking and driver’s waiting time may be

charged as extra.

**Please note, these journey times are based on normal traffic conditions, we allow more time during the rush hour.

General Guidance: Arrival in the UK

1. We recommend that parents provide their child with a letter giving their contact details and confirming

that their child is attending boarding school in Monmouth. Your child should carry this letter in their

passport so that they can present it to UK Border Control if required. Please see the sample attached.

2. The first time your child travels to the UK we recommend they also carry with them a copy of the

original offer letter from the school. On arrival the school will issue them with a letter to confirm they

are a full-time student boarding in Monmouth and they should also keep this in their passport.

3. Please ensure that if your child has a mobile telephone, it is fully charged prior to departure and

remind your child to switch it on as soon as they land in the UK.

4. Your child will have been informed about the arrangements for their onward journey to Monmouth

and once they have cleared UK Border Control and collected their luggage, they will need to make their

way to meet their driver or Travel Escort.

5. Unless you have been informed otherwise, our usual meeting place at Heathrow Airport is the seating

area between the 'Giraffe Stop' café and the 'Tourist Services' desk in Terminal 3 Arrivals (please see

the attached map). For children arriving in Terminal 2, it is a short walk to Terminal 3 but those

children landing in Terminals 4 or 5 will need to transfer to Terminal 3 via the Heathrow Express

underground train. There is no charge for travelling between terminals.

6. If your child is travelling to Monmouth via coach they need to register with the schools’ Travel Escorts

at the meeting place. They will be holding signs to identify themselves as school representatives.

33

Page 34: Boarders’ Handbook - Haberdashers' Monmouth Schools · Monmouth, NP25 5SW 01600 716273 Fine country restaurant and holiday cottage accommodation The Old Court Hotel Symonds Yat,

7. If your child’s flight is delayed, please inform us. If an incoming flight is delayed, we will consider

holding the departure of the school transport but we are unable to wait for flights that have been

delayed for long periods. In these circumstances your child may need to wait for a later transport but if

there is no later transport then they should have the means with them to pay for alternate travel.

8. Finally, please remind your children to keep a close eye on their luggage at all times.

General Guidance: Departure from the UK

1. A few days before departure, please remind your child of their luggage allowance (both hand luggageand checked luggage) to ensure they know how many bags they are able to travel with and theirsize/weight.

2. The school transport will drop your child off at the appropriate departure terminal at HeathrowAirport, either Terminal 3 (also for Terminal 2),Terminal 4 or Terminal 5.

3. Your child will need to make their own way to the check-in desk unless they are a Young Traveller orbooked to fly as an Unaccompanied Minor.

Young Travellers (up to and including 13 years old)

The schools will provide a Travel Escort to accompany any Young Travellers travelling alone (ie not accompanied by an older sibling) to check-in and also meet them again on arrival back in the UK. The Travel Escort will either be an employee of the schools or a driver from one of our local taxi firms.

Parents need to be aware that children aged 14 years or older, who are not booked to fly as Unaccompanied Minors, require a level of maturity to travel independently. The schools will ensure that your child is dropped off at the correct terminal at Heathrow but your child will then need to make their own way to check-in. On arrival back in the UK, your child may need to transfer to Terminal 3 via the Heathrow Express underground train in order to reach our usual meeting place. If you have any concerns about your child undertaking these steps on their own, we recommend that you book an Unaccompanied Minor ticket and the schools will then provide a Travel Escort:

Unaccompanied Minors

‘Unaccompanied Minor’ is a special airline service that is pre-booked and for which a fee is usually payable. Depending on the age of your child, the airline may require that your child is booked to fly as an Unaccompanied Minor; for older children the service is optional. You will need to make enquires with the airlines as to their policy in this regard.

If a child is booked to fly as an Unaccompanied Minor the airline is responsible for assisting with their check-in, supervising them throughout the flight and then through immigration and baggage collection on arrival. The airline will only release the child to the adult who has been authorised to collect them.

Please note that certain airlines, including British Airways, EasyJet and Ryanair, do not offer an Unaccompanied Minor service.

Travel Duty Mobile

If you need to contact the school urgently in relation to your child’s travel arrangements eg to inform us of a flight delay or cancellation, the Travel Duty Mobile number is 00 44 7841 586842. This telephone is manned on scheduled travel days only and not at any other time. We recommend that this number is also programmed into your child’s mobile telephone.

Guardianship for Pupils

Parents who do not reside in Great Britain or who may be abroad for a period of time on business or holiday, and who have children in British boarding schools, are required to appoint a guardian. We also strongly advise that, in line with the Boarding Schools Association’s recommendation, the guardians live within a suitable proximity to the School. This person must be available at all times to act on their behalf and respond to the needs of both the child and the school. This is someone with whom the pupil can stay during exeat/leave-out weekends and half-term holidays, provide the necessary support and who would be able to act in case of an emergency.

Some pupils have relatives/ friends in Britain to take on this responsibility. However, other overseas students will have no suitable contacts in Britain and will need to nominate a guardian whom they feel they can trust. Whilst the School can provide the attached list of guardianship organisations, it is the parents responsibility to arrange a guardian for their son. Overseas students will not be allowed to join the School unless they have a guardian.

AEGIS aims to promote high standards and best practice in guardianship in order to safeguard the welfare of overseas students in Britain. They may be contacted as follows for more information: AEGIS – Association of Educational Guardians for International Students website www.aegisuk.net for further information. The list below is not exhaustive, but gives the names of independent Guardianship organisations that have looked after our pupils and will be able to place them with a host family close to the Monmouth area.

Promoting Good Behaviour Policy

Our aim is to provide an ordered and disciplined environment where pupils will respect authority and in which they can improve their self-discipline and good manners and become more tolerant and learn to respect the rights of others. The School believes that good example and commendation are more important than punishment in promoting good behaviour.

Overall Aims The school aims to

• Provide good adult and peer models of caring, co-operative behaviour• Use positive reinforcement at all times• Celebrate of a wide range of achievement• Ensure that all pupils and adults accept a common responsibility for maintaining

good discipline and creating a positive, caring environment• Foster an ethos in which each person knows that their worry, concern and complaint

will be taken seriously and that appropriate action will be taken.• Encourage every boy to work to the best of his ability across the curriculum• Reward good effort, outstanding work and good behaviour• Raise academic standards by conspicuously valuing outstanding effort and

achievement• Encourage good behaviour and citizenship through positive reinforcement

The School’s expectations are passed on to pupils through the behaviour of the staff and prefects, through messages in School Assemblies, Chapel Services, Chaplain’s Assemblies and House Assemblies. The School Rules are short and easy to understand and are reviewed annually by the new Prefects. They can be found in the School Diary alongside guidance about avoiding plagiarism. PSHE courses help to promote good behaviour, tolerance and understanding. Tutors will also address behavioural issues with their tutees from time to time. Pupils should be aware that their behaviour on or off the School grounds, either during term time, or in holidays, must reflect positively on the School, and behaviour which is liable to bring the School into disrepute will be investigated, regardless of when or where it takes place, and may result in sanctions.

Members of staff are asked to commend pupils whenever the opportunity arises in class and during the wide range of sports and activities outside the classroom. Commendations are entered on 3Sys; Housemasters and tutors check this regularly so they can reinforce praise. Pupils who gain commendations are also invited to a weekly meeting with the Headmaster. Pupils can also be commended in the classroom through appropriate oral feedback and comments on written work. The House effort cups, based on effort grades and commendations, are awarded each term to encourage application.

The Headmaster celebrates the achievements of current and past pupils at weekly Headmaster’s Assemblies. Colours, medals, trophies and other awards are used to commend success in sport, music and drama. The outstanding achievements of pupils in external examinations is celebrated and rewarded at the start of each School year. There is an annual Commemoration Service and Speech Day which includes a prize giving.

Pupils are encouraged to strive for their House Colours and there are Governors’ Awards for Contribution and Commitment for pupils in Years 7 and 8.

The School believes that close cooperation and communication with parents is important in promoting good behaviour in their sons. This starts with our induction programmes and continues through communication between parents, Housemasters and Tutors and, when necessary, between parents and the Second Master and Headmaster. Parents are invited to

40

share their concerns about behaviour and discipline. There are occasions when it is in a pupil’s interests to use the Counselling Service to help to improve his behaviour. Details of this service can be found in the School Calendar and School Diary.

Commendations Members of staff are encouraged to commend pupils for good work, performance and behaviour. For outstanding work, or outstanding performance in other fields, members of staff are asked to award a commendation via 3Sys; this is for the information of his Tutor, Housemaster and the Headmaster. Boys who receive commendations should also record their commendations in their diary to provide an overview. Boys who receive commendations are invited to see the Headmaster on a weekly basis.

Classroom Behaviour All members of staff are responsible for maintaining good discipline in their classrooms. The Classroom Code, which clarifies the School’s expectations, is printed in the School Diary. Pupils should arrive punctually with all equipment required for the lesson. Work, including preps, must be completed to a suitable standard. Behaviour in the classroom must allow all to make good progress.

Professional judgement will enable teachers to deal with most minor problems in the classroom. The advice of Heads of Department should be sought when a teacher has any doubt about classroom discipline or punishment. Pupils can be brought back at lunchtimes although this should not interfere with Protected Activities, as listed in the calendar, or with music lessons.

If a pupil fails to produce prep then a green card should be issued via 3Sys. This is for the information of the boy’s Housemaster and tutor. The prep must be done and it is the responsibility of the subject teacher to make sure that work is completed. The School’s expectations in relation to Homework/Preparation can be found in the School Diary.

Behaviour outside the classroom The following points are important for pupils to bear in mind as they move between lessons, wait for lessons to begin and use changing rooms.

• Respect for each other’s personal space at all times but particularly on stairways• Respect for each other’s property at all times• Respect for the school environment, ensuring facilities are left clean and usable for other

members of the school• Exercising self-control

The Complaints Form A member of staff or School Prefect who has persistent problems with a pupil, or who catches a pupil breaking a school rule, is asked to complete a simple pink Complaints Form and pass this form to the Housemaster. This form should be completed if a pupil fails to produce prep on more than one occasion during a half term. It is good practice for teaching staff to inform the Head of Department about work or classroom issues and specific problem pupils. If it is preferred, an email can be sent instead of the complaints form; colleagues should copy in the pupil’s tutor when writing to his Housemaster.

Network Usage Pupils are expected to use the School network, the internet and email in the ways explained in the Network Usage Policy which can be found in the School Diary.

Detentions Housemasters have the authority to place pupils into School Detentions. The response to inappropriate or unacceptable behaviour will depend on:

Page 42: Boarders’ Handbook - Haberdashers' Monmouth Schools · Monmouth, NP25 5SW 01600 716273 Fine country restaurant and holiday cottage accommodation The Old Court Hotel Symonds Yat,

42

• the nature of the inappropriate behaviour• the student’s previous behaviour profile• any mitigating circumstances

Housemasters speak to pupils and, as necessary, will instruct the pupil to attend a specific detention. Parents are informed before a pupil is required to stay behind after 4:00 p.m. or on a Saturday afternoon. The relevant Housemaster or the Second Master will enter the boy’s name and details of the detention in the detention list on the M Drive. Usually work is specified on the complaints form and this is done in the detention. Occasionally community service tasks are set by Housemasters or members of the detention team. The Detention Administrator publishes the detention list to the Common Room and on the pupils’ detention notice board. A copy is given to the Second Master. Records are maintained of all School and Headmaster’s Detentions.

School Detentions for pupils in Forms I and II are given by the Housemasters of Wye, Dean and Chapel Houses and are administered by the staff of these houses. The detentions usually take place on Tuesday and Thursday lunchtimes.

School Detentions for pupils in Forms III-VI are administered by the staff Detention team. These detentions usually take place on Friday lunchtimes (for minor offences) or Friday after school (for more serious offences).

Headmaster’s Detentions take place on Saturday afternoons, usually from 1:00-3:00pm, for serious or repeated offences. The Headmaster or Second Master will see the pupil and will write to his parents. The detentions are administered by the Staff Detention team. Pupils are set work, tasks or Detention Papers.

Very serious offences are discussed by the Second Master and Headmaster and others as necessary. On rare occasions the Headmaster will temporarily exclude a pupil or, on very rare occasions, he will impose a reverse suspension and require a pupil to come into the school when the pupil would otherwise be on holiday. The Headmaster has the right to exclude a pupil permanently for persistent offences or for an extremely serious offence.

There are some separate sanctions for boarding pupils which can be seen in the Boarders’ Handbook. Serious offences are recorded in the punishment books in each Boarding House.

Bullying is not tolerated at Monmouth School. There is a School Anti-Bullying Policy which is available to all staff, parents and pupils.

Questions about commendations and detentions, rewards and other punishments, should be addressed to the Second Master.

Anti-Bullying Policy

Statement of intent Monmouth School is committed to providing a caring, friendly and secure environment for all our pupils. Bullying of any kind is unacceptable. We take responsibility for helping pupils understand what bullying is and the harm it can do. If bullying does occur then all pupils should be able to tell and know that incidents will be dealt with effectively. Anyone who knows that bullying is happening is expected to tell a member of staff.

Key Principles • No one deserves to be a victim of bullying.• Everyone has the right to work and to learn in an environment free from intimidation

and fear, and to be treated with respect.• Everyone in the school community has a responsibility to respond promptly and effectively

to issues of bullying.• The needs of the victim are paramount.• The school will not tolerate bullying behaviour.• Individuals who feel that they have been bullied will be listened to and supported.• Reported incidents will be taken seriously and thoroughly investigated.• The School will act swiftly and decisively• The School will monitor incidences of bullying• Bullies, as well as victims, have the right to support from the school and will be

counselled to improve their behaviour

What is bullying? Bullying is deliberately hurtful behaviour repeated often over a period of time, where someone deliberately intimidates, makes unhappy, humiliates or harasses another. Bullying can include active or passive aggression which causes embarrassment, pain or discomfort to someone. It can take a number of forms; physical, verbal, making gestures, extortion and exclusion. It is an abuse of power. It can be planned and organised, or it may unintentional. It may be perpetrated by individuals or by groups of pupils. Bullying includes discriminatory activity of any form based on race, religion, culture, sex/sexuality, special educational needs or disability.

Bullying can be: • Physical violence such as hitting, pushing or spitting at another pupil.• Interfering with another pupil’s property by stealing, hiding or damaging it.• Using offensive names when addressing another person.• Teasing or spreading rumours about another pupil or his/her family.• Belittling another pupil’s abilities and achievements.• Writing offensive notes or graffiti about another pupil.• Excluding another pupil from a group activity.• Ridiculing another pupil’s appearance, way of speaking or personal mannerisms.• Misusing technology (internet or mobiles) to hurt or humiliate another person.

Sub-categories include: Emotional being unfriendly, excluding, tormenting, mimicking, hiding/destroying possessions. Physical pushing, kicking, poking, flicking or any use of violence Racist race-based discrimination Sexist gender-based discrimination Homophobic discrimination focused upon sexual preferences Verbal spreading rumours, name calling, teasing, sarcasm, stirring, mocking Cyber All areas of internet, such as email and social media misuse.

Mobile threats by text and calls. Misuse of associated technology such as Cameras and video.

Page 45: Boarders’ Handbook - Haberdashers' Monmouth Schools · Monmouth, NP25 5SW 01600 716273 Fine country restaurant and holiday cottage accommodation The Old Court Hotel Symonds Yat,

45

Indirect Spreading nasty stories about someone, being made a subject of malicious rumours, being excluded from social groups, being unfriendly, spiteful looks

Disability Children with special needs or disabilities are far more likely to be victims of bullying

Banter Banter is defined as “the playful and friendly exchange of teasing remarks” in the OED. All members of the school community should exercise caution in using banter; a remark that is intended to be playful and friendly may not necessarily be taken that way by its intended recipient. Banter can easily become bullying and if there are reasonable grounds to assume that the recipient would find a remark offensive or upsetting then it will be regarded as bullying. Banter should never contain language which is related to perceived ability, race, religion, sexuality, appearance or family circumstances.

Objectives • All members of the School community should have an understanding of bullying.• The ethos of the School should instil mutual respect and decent behaviour.• Every pupil should know to whom they can talk about bullying incidents.• Clear procedures for reporting bullying should be understood and followed.

Procedures • Pupils should report bullying incidents to staff. Pupils are reminded that there is a range of

people to whom they can turn in the first instance: Housemasters, Tutors, Teachers, theChaplain, the Nurses in the Medical Centre and the Second Master.

• In cases of serious bullying, the incidents will be recorded by staff and the Second Master willbe informed. The Second Master keeps a central record of all bullying incidents.

• Parents should be informed (in serious cases) and will be asked to come to a meeting todiscuss the problem.

• If necessary and appropriate, the Police will be consulted.• The bullying behaviour and threats of bullying must immediately stop.• An attempt will be made to help the bully/bullies change their behaviour and to discover the

reasons for it.• The bully will offer an apology and other appropriate consequences may take place.• In serious cases, suspension or even exclusion will be considered.• If possible, the pupils will be reconciled.

Prevention The best prevention is a proactive course, which is pursued among other ways through the PSHE curriculum, the example set by pupils and staff of the School in their dealing with each other, and by references to the subject at School and House Assemblies.

Staff should be in the lookout for potential victims of bullying and areas and times when bullying might occur.

Signs and Symptoms A pupil may indicate by signs or behaviour that he is being bullied. Adults should be aware that these are possible signs and that they should investigate if a child: • is frightened of walking to or from school;• is unwilling to go to school;• begins to do poorly in school work;• becomes withdrawn, starts stammering;• regularly has books or clothes destroyed;• becomes distressed, stops eating;• cries easily;

Page 46: Boarders’ Handbook - Haberdashers' Monmouth Schools · Monmouth, NP25 5SW 01600 716273 Fine country restaurant and holiday cottage accommodation The Old Court Hotel Symonds Yat,

46

• becomes disruptive or aggressive;• has possessions go “missing”;• continually loses money;• starts stealing money (to pay bully);• is frightened to say what’s wrong;• attempts suicide or runs away;• has nightmares.

These signs and behaviours could indicate other problems, but bullying should be considered a possibility and should be investigated.

Incident Management Investigations of bullying incidents will be the responsibility of the Housemaster, Second Master or a member of the Senior Management Team. In The Grange it may be the Form Teacher, Deputy Head or Head of The Grange. The following procedure will be followed. Every case will be different and the procedures will need to be tailored to suit the individual circumstances.

1. Investigation: Interviews followed by written statements, if appropriate, from the victim, the alleged bully and any third parties should be taken being careful not to single outanyone publicly. The investigator will ensure that all parties are treated with sympathy, respect and understanding.

2. The incident will be recorded and placed on the pupil’s file and reported to the SecondMaster, who will record it in the central bullying log book. The victim needs to beconsulted as to what would help them before a course of action is decided. Some victimsmay only want to be supported from a distance or only require someone to listen. Otherresponses may include:

• Immediate action to stop the incident and secure pupil safety/wellbeing• Reassurance that the victim is not responsible for the behaviour of the bully• Strategies to prevent further incidents• Sympathy• Counselling• Action over use of technologies• Assertiveness training• Extra supervision/monitoring• Peer mentoring• Informing parents• Adult mediation between the perpetrator and victim• Specific sessions in the PSHE programme• Encouraging the victim to keep a log of incidents

3. Once a course of action has been agreed this should be recorded on the pupil’s file andparents informed as appropriate. Ongoing support should be given to the victim. TheSecond Master/Head of The Grange must be fully appraised and consulted.

4. There should be a follow up to check that recurrence has not taken place. Regular reviewupdates will be agreed.

The school will respond to bullying incidents in an appropriate way. The perpetrators will be supported to enable them to behave in a more acceptable way. When sanctions are felt to be necessary the following options will be considered:

• Detention or Headmaster’s Detention (at the Second Master’s discretion)

Page 47: Boarders’ Handbook - Haberdashers' Monmouth Schools · Monmouth, NP25 5SW 01600 716273 Fine country restaurant and holiday cottage accommodation The Old Court Hotel Symonds Yat,

47

• Removal from class• Parents informed• Counselling• Mediation between the victim and perpetrator• Exclusion or suspension.

Strategies for Pupils The pupil may not recognise their actions as bullying or intimidation. The following questions/pointers for pupils may help prevent bullying in school.

• Are you trying hard to work co-operatively with everyone else in your class, including those who are not your close friends?

• If you accidentally offend or upset someone do something about it – be bigenough to say sorry.

• Include new pupils in your group.• Try to get to know all people in your class and appreciate their good qualities.• Seek help if you know someone is being bullied.• Encourage each other to not get involved in unpleasant behaviour.• Get help to deal with a situation before it gets out of hand.• Never join in bullying or encourage it in anyway.• Don’t accept name calling.• Express your disapproval when you see someone doing something unkind.• Treat others as you would like them to treat you.• Share any problems by telling someone – your parents, a teacher, your friends,

an older student, matron.• Remember the school will investigate claims of bullying in a sensitive way.• Support those who experience bullying.• Help eliminate bullying by reporting incidents you see.• Value people’s individuality.

Advice for Parents • Parents who believe their children are the victim of bullying should share their concerns

with the School at the earliest opportunity and be prepared to work with the School to dealwith the issues

• Fall-outs and changes of friendship groupings are not uncommon, however, efforts shouldbe made to ensure this does not result in individuals becoming isolated

• It is important that you do not advise your son to fight back. This will usually make mattersworse. Parents should advise their son to seek help from a member of staff, prefect orfriend.

• Make sure your son is aware of the school policy concerning bullying, and that they shouldnot be afraid to ask for help.

• If you have a complaint regarding the action by the School to a bullying incident pleaserefer to the Complaints Procedure.

Review of anti-bullying This policy is reviewed regularly and any pupil or member of staff who has views to contribute is asked to contact the Second Master. The policy should be considered in conjunction with the Promoting Good Behaviour Policy, School’s Child Protection Policy and Procedures.

Substance Abuse Policy

Definition of Terminology

For the purpose of this policy the term “substance” is something people take to change the way they feel, think or behave. This includes:

1. An illegal drug (controlled by the Misuse of Drugs Act 1971)2. All illegal drugs, including alcohol, tobacco, volatile substances, keratin, alkyl nitrates and

New Psychoactive Substances3. Over-the-counter drugs and prescription drugs

This policy extends to the supply and use of New Psychoactive Substances, which are sometimes referred to as as “research chemicals” or “legal highs”, and which were, in fact, made illegal in Spring 2016. These often mimic the effect of other illegal substances and can pose great dangers to mental and physical health if consumed. The School takes a firm stance against all recreational drug use, whether or not the drug being used is covered by current legislation.

Statement of Policy

1. The School forbids the abuse of substances2. The School is committed to the health and safety of its members and will take action to

guard their well-being3. The School acknowledges the importance of its pastoral role in the welfare of young

people, and through the general ethos of the School, will seek to promote an awarenessof the consequences of abuse of substances

4. The School is committed to a comprehensive education programme in respect ofsubstance abuse

5. The PSHE programme must reflect this policy and this is monitored by the PSHE Co-ordinator

The School takes a strict view of the law regarding the supply and use of illegal substances and will take steps to protect those members of the community who are felt to be at risk. Guidance is provided through the PSHE syllabus and occasional lectures from outside speakers, e.g. police liaison officers. All staff should be on the lookout for signs of use of illegal substances by pupils.

Any member of the School who is found to be selling, distributing, in possession of, or consuming, illegal substances on or off the School grounds, either during term time, or in holidays, will be considered to have committed an offence, an assessment of which will lead to disciplinary action, up to and including permanent exclusion.

Each incident will be dealt with on its own merits. Full consideration will be given to the circumstances involved. The School will act on any incident which involves its pupils, including incidents which take place during the school holidays. The Second Master and Headmaster must always be informed where there is a suspicion of substance abuse.

Procedure

1. Suspected Substance AbuseIf substance abuse is suspected the Headmaster or Second Master should be informed.

Page 49: Boarders’ Handbook - Haberdashers' Monmouth Schools · Monmouth, NP25 5SW 01600 716273 Fine country restaurant and holiday cottage accommodation The Old Court Hotel Symonds Yat,

49

2. Suspected Substancesi. When illegal drugs are found on a pupil or on school premises the law allows staff to

take temporary possession of a suspected substance e.g. the substance should beput in a sealed container in the presence of a witness.

ii. If the identity of the substance is not known it should be taken to the police station.iii. It is not permissible for staff to try to analyse or taste an unidentified substance.

Nor is it permissible to retain the substance, as this would be an offence against theMisuse of Drugs Act 1971.

iv. If a substance has been discovered the Police and the boy’s parents should beinformed immediately.

3. SearchesIf there is well founded suspicion, a search of the boy’s locker, wardrobe and drawersmay be made. Two members of staff in addition to the boy concerned should bepresent. Boys may also be asked to hand over substances voluntarily e.g. by turning outtheir pockets or a bag. Physical searches of boys by staff are not allowed by law. If a boyrefuses to turn out pockets, etc. he should be advised that this could lead to seriousrepercussions, and could be regarded as a tacit admission of guilt

4. Fact FindingPreparation

Careful preparations should be made in advance before the Headmaster or hisrepresentatives begin to interview suspects or witnesses.

i. A draft timetable should be drawn upii. Consequences for the suspect, school staff and for the whole school should be

considerediii. The School’s PR representative should be contactediv. The School Chair of Governors should be kept fully informedv. Parents or guardians should be informed as soon as the official investigation begins.

If they cannot be contacted immediately the attempts to do so should be recorded

Interviewing Witnesses

i. Witnesses will normally be interviewed by the Second Master together with anothermember of staff as witness

ii. Explain that wherever possible confidentiality will be preservediii. Witnesses may wish to give a written account and should be encouraged to do soiv. Either a resume of the interview by the interviewer or a written account by the

interviewee should be signed with date and time by all parties presentv. Beware hearsay

Interviewing the Suspect(s)

i. Suspects will normally be interviewed by the Second Master together with anothermember of staff as witness

ii. The boy should be offered the opportunity of having a member of staff, anappropriate adult or his parents present during her interview

iii. Invite the boy to give his version of events and explain that what he says will besummarised at the end of the interview

iv. Explain what has been alleged and unless there is good reason for confidentiality bywhom

v. Read over the statement and offer the boy the opportunity to add anything else. Allparties should sign with the time and date

Page 50: Boarders’ Handbook - Haberdashers' Monmouth Schools · Monmouth, NP25 5SW 01600 716273 Fine country restaurant and holiday cottage accommodation The Old Court Hotel Symonds Yat,

50

vi. Tell the boy of the next stages which will probably include information as towhether anyone else needs to be seen, possible searches, other consultations, andthe timing of the decision. Every effort should be made to settle the matter asquickly as possible

vii. If parents have not been present earlier and if the boy has admitted a seriousbreach likely to lead to expulsion, he should be segregated and parents/guardiansasked to attend without delay. In the case of a boarder, accommodation outsidethe House may need be sought

viii. The School reserves the right to carry out a drug test, only if it is an integral andimportant part of an investigation (see Appendix 1)

5. Reviewi. Assess the facts – is there a case to answer?

ii. Decide whom to notify

6. Meeting with Parents and Boy

i. Offer the parents and boy time alone together to talk things overii. Tell parents of the allegations and evidence obtained and the decision made or the

time at which a decision will be made following reflection on the informationgained. If the decision is made to exclude permanently, parents should be told thatthey have the right to appeal to the Chairman of the Governors in writing

• Pupils who voluntarily admit to the use of illegal substances will be offered the option ofsupportive counselling and pastoral care. This will be provided on a confidential basis. The pupil must agree to abstain from further use. The individual will be advised thatsubsequent incidents would be dealt with by suspension or exclusion.

• The act of providing illegal substances to pupils of the School is totally unacceptable and, unless there are extreme mitigating circumstances, the pupil could expect to be expelledfrom the School.

• It is the policy of the School to consult with the Police and relevant agencies at all times. The School is duty bound to inform the Police of any instances of the use of illegalsubstances by its pupils of which it becomes aware.

• The School is committed to a programme of education about substance abuse. This isreviewed regularly and there are also opportunities for parents and staff to learn aboutcurrent developments in substance abuse.

Haberdashers’ Monmouth Schools Statement on Drug Testing

For the purposes of this policy ‘the School’ includes Monmouth School for Boys, Monmouth School for Girls, both Prep Schools and Monmouth Schools Pre-Prep School.

A member of staff who suspects that a pupil is involved in drug abuse should report concerns to the Headmaster, via the normal pastoral channels. Suspicion may arise from behavioural signs such as declining school performance, excessive tiredness, or mood swing; rashes or sores, especially around the nose and mouth or a lack of interest in appearance. When a suspicion is reported to the Headmaster, he will decide whether further investigation is required, which may include drug testing.

• The suspected pupil will be interviewed by the Headmaster or Second Master, togetherwith a member of staff as a witness. The pupil in question may ask a member of staff, hisparents, or a friend to be present. A record of the interview will be kept. The pupil willusually be asked to write a statement.

• If the pupil denies involvement but suspicions remain, the Headmaster may decide toinstitute a drug test. All possible efforts will be made to contact the parents/guardians ofthe pupil to explain the situation to them, before the test is conducted.

• Every effort will be made to ensure that the drugs test is conducted as fairly and openlyas possible, and in accordance with the strict procedure laid down by the School. Testswill be supervised by School medical staff.

• The results of the test will be communicated as soon as possible to the pupil and hisparents/guardians.

• If the result of the test is positive, the pupil will be offered appropriate counselling andsupport and there will be further tests at the Headmaster’s discretion. Any furtherpositive test result is likely to lead to immediate expulsion.

• The School will meet the costs of the first test. The costs of any subsequent tests will beborne by the parents of that pupil.

• Unless there are substantial mitigating circumstances, a refusal to co-operate with thedrugs testing policy of the School is liable to lead to expulsion.

• Appeals concerning the implementation of this policy should be made to the Headmasterin the first instance, and thereafter to the Chairman of the School Governors.

Anti-Smoking Policy

The School policy on smoking is clear and unequivocal. The School seeks to discourage smoking through its PSHE programme and by declaring that the School is a no-smoking area. The School Rules state that boys are not allowed to smoke or be in possession of cigarettes or smoking materials while under the care and supervision of the School. Possession or use of e-cigarettes or vaping materials is treated in exactly the same way as other smoking materials.

If a boy is caught smoking or in possession of smoking materials the incident must be reported to his Housemaster.

The following guidelines for punishments should be adhered to by Housemasters, unless there is prior agreement with the Second Master.

1. On the first occasion that a boy is caught smoking or in possession of cigarettes he is tobe punished by his Housemaster with an AS detention and the incident is to be recordedon his House file. Smoking materials should be confiscated and destroyed, unless thereis anything of significant value, in which case it should be passed to parents. TheHousemaster will also write to the boy’s parents explaining the offence and thepunishment. He should inform them of the details of the incident and of theconsequences if the boy commits a second offence.

2. On the second occasion that a boy is caught he will be interviewed by the Second Masterin the presence of his Housemaster. The boy will be punished with a Headmaster’sDetention. Again the incident must be recorded on his House file and parents must bewritten to. The letter must include detail of the incident, punishment and consequencesof a further breach of the rules.

3. On the third occasion that a boy is caught the matter will be interviewed again by theSecond Master in the presence of his Housemaster. The boy will be punished with aHeadmaster’s Detention, as well as a period of gating, in the case of a boarder, andparents will be written to. The Second Master will take appropriate action which mayinclude calling parents for a meeting at School or sending the boy to the Headmasterwho may exclude him from the School for a period of time.

All cigarettes and smoking materials found in a boy’s possession will be confiscated and destroyed on each occasion. Boys found smoking within School buildings will be deemed to be causing a fire risk as well as breaching School rules about smoking, and are thus liable to be punished for this additional offence.

Sixth Form Dress

The school uniform rules for pupils in Years 7-11 also apply to all Sixth Formers. However, there is a desire to recognise the Sixth Form as a distinct part of the School and to allow some choice about what may be worn to school.

Sixth Form boys are expected to dress for a smart business or professional environment; there should be no extremes of style, material, colour or fashion.

Throughout the working week Sixth Formers should wear a suit, or a combination of blazer and smart trousers which should be conservative in style and pattern. A school colours blazer (chocolate jacket) may also be worn. Shoes should be polished. On formal occasions, such as Speech Day, a dark suit is recommended.

Shirts must have a standard collar; top buttons should always be done up. All Sixth Form boys should wear a school tie.

Jumpers can be worn underneath jackets; they should be V-necked in design, dark in colour, and plain (no pattern or stripes).

In cold and/or wet weather a coat or overcoat can be worn which should be dark in colour and reach down to below waist level. Sports training tops are not acceptable. A scarf can be worn in cold weather. It should be a Monmouth School scarf or a Colours scarf.

Students are expected to be clean shaven.

In choosing what is worn to school, Sixth Formers should ensure that all aspects of their dress complement each other and that colours chosen are subtle. The final arbiter of what is acceptable is the Headmaster.

Sixth Form Boarders’ Drinking Rules

In order to encourage a sensible and responsible attitude towards the consumption of alcohol, the following rules apply to senior boarders:

With parents’ consent and Housemaster’s permission, boarders over the age of 18 are allowed to buy and drink alcohol at a public house under the following conditions: Boarders in the Upper Sixth Form may visit public houses in Monmouth if they have written consent from parents and Housemaster’s permission. They can visit on Friday or Saturday evenings, after 8.00pm, and on one other evening each week. Pupils must drink in moderation and must obey the law. Only those over the age of 18 are permitted to purchase and consume alcohol, and alcohol cannot be bought for those who are under age. Boarders in the first year os the Sixth Form are allowed to visit public houses in the Summer Term, on the same conditions as above.

Alcohol is not permitted within the boarding house other than that provided for consumption at house receptions or special occasions in the presence of House Staff. Boarders must seek permission from the duty tutor on each and every occasion for permission to visit a public house and must inform the tutor in person of their return. Visits should be logged in the house duty book.

Some Guidelines for Year 12 Boarders Supervising The Junior Boarders’ Prep

Aims

To ensure the smooth running of prep for all boys in Chapel House and for you to use that time wisely and in a constructive manner. Please arrive at Chapel House by 5.30pm to have supper with Chapel House boys and staff. Please ensure that the boys are seated by 6.10pm.

• As there are two of you, one should sit with The Prep and Year 7 boys; the other should sitwith Year 8. It is vital that you bring work with you and that you are seen by all to be hardat work. This will help you establish a quiet and studious atmosphere.

• Ensure quiet is kept at all times. If a boy asks you a question be polite and helpful but do notdo his prep for him.

• If any boy finishes prep early encourage him to read or do something useful, quietly. i.e.write a letter home. Prep lasts until approximately 7.15pm.

• DO NOT punish a boy for any misdemeanour. Please report instances to the Master on Duty.Persistent offenders can be sent to stand outside the duty master’s door and will completetheir prep later and in their free time.

• Finally, after prep, feel free to stay and socialise with the boys, perhaps over a cup of coffeeor a game of pool or table tennis.

Guidance for Sixth Form Duties

As a member of the Sixth Form, you will be expected to take on your share of duties and responsibilities to ensure the smooth running of the House.

Here are some tips: • Know in advance when your day of duty is.• Liaise closely with Head of House and House Staff, particularly when unsure of anything.• Begin your day of duty properly i.e. Help to get the House ready for Assembly etc. in the

morning.• Make sure you are ready to start on time. Don’t be late and don’t wander along with no

work yourself – it won’t help you in your task. Maintain quiet.• Make sure boys behave properly at tea time. Again liaise with the adult on duty.• After prep, encourage the younger ones to tidy things away and to pack up books etc.

ready for the following day.• Help at bedtime by letting year groups know that it’s time for bed. Do talk to them if you

feel that you can.• Help the Master on duty by turning of lights and closing windows when the evening has

come to an end.

Throughout, it is vital that you try to foster a happy and positive atmosphere amongst the younger ones by adopting a sensible and sensitive approach to your in your role. Be firm but not dictatorial. Try to be encouraging rather than punitive.

DO NOT PUNISH ANYONE without consulting the Master on duty. Never Physically Attach or Verbally Abuse Anyone.

End of Term Departure Arrangements

At the end of each term boys should leave their rooms tidy with floors, desks and window sills clear. This is to permit these areas to be thoroughly cleaned.

Packing evenings will be arranged by Housemasters; it is recommended that boys begin early, possibly taking some items home before the end of term, if possible, to reduce the task in the last few days.

At the end of the Summer Term rooms will need to be completely cleared of possessions. The room should be left in the same condition as found on arrival in September with walls clear of posters or marks. Any remedial work required in rooms which is beyond that of general cleaning may incur a decorating/ repair charge. Any damage should be reported to the house staff before departure.

In all cases boys must ask the duty house staff to check their room with them before departure.
