Special Event Frequently Asked Questions When do you offer site tours? Site tours are offered by appointment only, Monday through Friday between the hours of 11:00am and 7:00pm. We offer after-hour appointments on Tuesdays and Thursdays between 7:00pm and 9:00pm. All tours must be scheduled at least 24 hours in advance. Please contact us at events@BlueValleyVA.com to set-up your venue site-tour. Where will the bride get ready? The bridal party may begin their day at 4:00pm in either the Heritage Room or our Loft*. Both rooms offer modern furnishings, a luxurious fireplace and a full-length mirror. Pop a bottle of Blue Valley Vineyard and Winery bubbly and soak in the amazing views. *The Loft is used as your ceremony back-up space for events under 150 guests. If you experience inclement weather, the Loft will no longer be an option as your bridal suite. Blue Valley Vineyard and Winery is currently building a new bridal suite, and is expecting to have this private space available for rent in spring 2017. Do you have an outdoor ceremony location? We have two gorgeous outdoor ceremony sites, both offering amazing views of the Blue Ridge Mountains. The Sunset Terrace is our most popular ceremony location; it is built off of the Heritage Room and perfect for your grand entrance. We also host intimate ceremonies on the Private Veranda which is to the right of the Tradition Room. During off-season weddings (or in most cases of inclement weather) the panoramic Loft is an extraordinary indoor location to tie the knot. We also offer our Barrel Room as an alternative back-up option for an additional cost of $1,000.00. Where would my cocktail reception take place? After your ceremony, guests can enjoy cocktails either in the Tradition Room, which includes a private veranda, or upstairs in the Loft. Both locations offer incredible views of the Blue Ridge Mountains. Some couples want the complete Blue Valley experience and host their cocktail hour down in the Cave & Barrel rooms, available for an additional fee.

Where will the Reception take place? Blue Valley Vineyard and Winery offer three wedding events packages. The most popular wedding package is our Celebrations Package which includes the entire main level, two outdoor spaces and the Loft. If you book this package, your reception will take place in the main tasting room. This room offers two beautiful reclaimed wood bars, high wood-beamed ceilings, rustic chandeliers, modern furnishings and a luxurious fireplace. It seats up to 225 guests with room for a dance floor. It is the perfect location to host any event. If you select one of our smaller packages (The Panoramic or Vault), the main tasting room is not included in your package. Do you have an in-house caterer or a list of preferred caterers? We do NOT have an in-house caterer here at Blue Valley Vineyard and Winery but we do have seven approved caterers that you must select from. Our caterers are licensed, insured and provide excellent food and service to our clients. We will also provide you with our list of preferred vendors. If our list does not meet your needs, we are open to working with other vendors (excluding our caterers). All vendors must be licensed and show proof of liability insurance. This is a requirement for all vendors and there are no exceptions to this policy. What is your alcohol policy? Blue Valley Vineyard and Winery wines must be purchased for your guests and no other brands of wine are allowed on-site. We contract a wine minimum purchase of one 12-bottle case of wine per 25 guests. Beer and liquor are also permitted with the use of an ABC Banquet License. Your caterer and their bartenders must serve all alcohol and meet our requirements for alcohol safety training and service. Blue Valley Vineyard and Winery will provide one staff member per event to pour your Blue Valley wine. We recommend one wine pourer per 75 guests. If you require an additional wine pourer, we charge $50/pourer/hour. If you add wine tastings to your event, there is a per person charge depending on the number of wines you select. You will be charged based on your final head count (excluding anyone under 21 years of age) and you will be required to add additional wine pourers. How long may our event last? When can set-up begin? The bridal party is welcome into the Heritage Room beginning at 4:00pm on your wedding day. Vendor set-up also beings at 4:00pm. Vendors have two hours to set-up your ceremony site, cocktail hour and reception space. We suggest a ceremony start time of no earlier than 6:00pm to ensure the transition into your cocktail hour goes smoothly. Per local ordinances, all amplified music must be turned off at 11:00pm and the event completed by midnight. Vendors are welcome drop off/pick up supplies prior/after the rental period when coordinated with the Events team.

Do you allow multiple events? Blue Valley Vineyard and Winery will remain open the public on the day of your event. We will begin to shut down the main tasting room prior to your vendor arrival time estimated at 4:00pm. Our patrons will be directed down to the Cave and Barrel rooms during our normal business hours (11:00am-7:00pm). Blue Valley Vineyard and Winery has the right to book multiple events. Cave and Barrel rooms have a separate entrance which allows Blue Valley to host multiple events with no impact on wedding packages or special event clients. Where are the hotels nearby for out-of-town guests? The closest hotels are located in Warrenton, Middleburg and Gainesville, Virginia. Please see our list of preferred vendors for a list of area hotels. When do you require a deposit, etc.? One-half of the total rental fee(s) is collected in order to secure your reservation when you sign your rental agreement. Your remaining 50% will be due 3 months prior to your event date. You will also be required to pre-purchase your wine minimum beginning 2 months prior to your event. We will hold and store your wine on your behalf once it has been purchased. Are there any service fees or costs that I should be aware of? Our rental fees include the service of a Blue Valley Vineyard & Winery onsite event planner and one wine pourer. A 15% Gratuity is applied towards your wine purchases. We do not have corkage fees or any other hidden costs. Wine sales, taxes and applicable fees will be applied when necessary. What is your cancellation policy? Blue Valley Vineyard and Winery offer a sliding cancellation schedule. It is always in your best interest to try to find an alternative date to avoid cancellation fees. Cancellation fee schedule is as follows: Cancellation six months prior to event, 50% of revenue required Cancellation three months prior to event, 75% of revenue required Cancellation one month prior to event, 100% of revenue required Is there a discount for booking an off-season date or weekday? Blue Valley Vineyard and Winery does offer discounted rates for off-season, weekdays and Sunday events. We also offer two smaller packages: The Panoramic Package (perfect for weddings with 80 guests or less) and the Vault Package (for 125 guests or less) Both packages include an “month-of” event planner to help you finalize your wedding details.
