o Would like something published for non-livestock contests that includes general timelines for signing up for them – we have a lot of participation in the following contests:

▪ Consumer Decision Making ▪ Food Challenge ▪ Food Show ▪ FCH/Food & Nutrition Quiz Bowl ▪ Fashion Show & Storyboard ▪ Duds 2 Dazzle

o Teacher workdays where the kids are out of school work well for day practices

o How do we recruit and develop more volunteers so the same people are not leading everything? ▪ If your kids are involved, you’re in it ▪ We may have to break down tasks so we set our practice schedule and have a parent sign up to

do tasks such as the following:

• Pick up supplies

• Create scenario

• Lead/supervise practice – easy especially when older kids are leading activity

o Working on developing a true Rabbit Project seminar with guest speakers that will be an annual event and will be an in-depth look at nutrition, management, health, & showmanship

o Working on a livestock exhibitor handbook

• Reminder: Attendance Requirements for Livestock Shows o Club Managers requested that this get sent out in email blast, too o All youth must physically sign in on the sign-in sheet AND stay for the business meeting o IF youth do not sign in, they have no proof that they were there o IF youth miss a portion or all of the business meeting, the club manager has the right to strike their

name out (write your initials by it so we know)

o Bastrop 4-H Meeting Requirements: ▪ Enrolled in 4-H by November 1st of the current 4-H year ▪ Brand New 4-H members must attend 3 regular 4-H meetings before February ▪ Returning 4-H members must attend 5 regular 4-H meetings before February (They do allow you

to count any regular meetings attended after last year’s show)

o Elgin Requirements for Payout: ▪ Enrolled in 4-H by October 31st of the current 4-H year ▪ Paid regular ELSA membership by November 1st ▪ Attend 4 ELSA meetings OR completed tasks as assigned by an ELSA Officer ▪ Attend 1 barn clean up ▪ Complete Thank You Letters

o Smithville Requirements ▪ Enrolled in 4-H by October 16th of the current 4-H year ▪ Must attend 4 regular 4-H meetings between September & March to be eligible to show ▪ A $100 fine will be assessed to any 4-H exhibitors who do not meet these requirements

• Financial Guideline/Training Updates:

o Financial Training for Club Managers has been assigned in 4-H CONNECT ▪ Everyone was assigned the training earlier this afternoon (Monday, 11/18/19) ▪ Please be sure to complete this training, we’ll wind up doing it every year ▪ Training should cover some of the fundraising updates, as well

o Training: Fundraiser Approval Forms ▪ All fundraisers currently taking place (Jeep Raffle Tickets) do not need to complete this form ▪ This is a new form the District and State that we are going to be required to complete to help

Agents answer questions regarding fundraisers and keep on hand for your records ▪ They need to be completed and emailed/turned in to me 30 days before you start the

fundraising event(s). ▪ Clarification on Fundraisers:

• You can technically have as many fundraisers as you would like

• Only 2 of your fundraisers may be counted/recorded as tax-free, the rest would need to be taxed

• The Wild Game Dinner counts as a donation since that is an event where the group’s decision to donate back to the 4-H Clubs that helped at the event is dependent on how well they did and other factors

▪ If you have any questions about it, please let Mellanie know!

• Club Manager Homework & Next Meeting: o Meeting is mandatory to recharter your club

o Date: May 4, 2019 from 6:00 PM to 7:00 PM at the CEO

o Primary Topics: Chartering & Planning for next 4-H year ▪ start, stop, continue activity ▪ Set major county dates & projects ▪ volunteer development planning

• Communications & Staying in the Loop o Email blasts – have been sent through 4-H CONNECT as well as the blog and Facebook

▪ Seems to be going well, have seen some Club Managers sharing them on Facebook ▪ Mangers like it better when the livestock project emails are sent separately from the general

email blasts

o County Extension Office (CEO) is scheduled to be closed on the following dates: ▪ November 28-29 Thanksgiving ▪ December 16-20 Office organization & cleaning ▪ December 23-27 Holidays & Staff Vacation

o County Extension Agents (CEA) will be out of the office for D10 Fall Roundup December 4-6.

2019-2020 Youth Livestock Coalition Contact Information Dear Bastrop County 4-H Livestock Exhibitors, Our Livestock Ambassadors have been hard at work creating some fun and educational opportunities for everyone this year and wanted to be able to answer your livestock questions! 2019 Bastrop County Pecan Bake Show Rules

The Bastrop County Pecan Bake Show & Sale serves as a fundraiser for the Bastrop County Pecan Growers Auxiliary 4-H Scholarships. Please see the details below and help us support our local 4-H Program through this fun opportunity!

Location: First National Bank Civic Room 489 West Highway 71 Bastrop, Texas 78602

How to Enter: Any youth or adult from Bastrop County may enter. Bake your entry and package it. Print a copy of your recipe on an 8.5” x 11” paper with your name and the year written on the back of the recipe. Entries must be brought to the First National Bank Conference Room, Second Floor, 489 West Highway 71, Bastrop, TX 78602 between 7:30 A.M. and 8:30 A.M. on the date of the show

Rules of Play: a) Pecan baked products must have been prepared by the person exhibiting them b) Must contain at least ½ cup of pecans - Make sure pecans are clean, no hulls. c) Mixes may be used d) Be sure to use disposable container & Cover all entries with plastic wrap. (You will not get your plate back)

Age Divisions: Clover Kids Kindergarten through 2nd grade - Ribbon Award for Entry Junior 3rd Grade through age 13 Senior Age 14 through high school Adult Adults are welcomed and encouraged!

Entry Class Descriptions:

A. Cookies - 14 or more displayed on a paper plate 1. Ice Box and Cut-out 3. Brownie or Bar Type 5. Cookie pizza - around 12" 2. Drop 4. No-Bake

B. Pastries 1. Traditional Pecan Pies 3. Cobblers 2. Other Pies using pecans 4. Tarts (7 tarts on a plate)

C. Cakes 1. Fruit 3. Loaf/Bundt 5. Other cakes using pecans 2. Layer 4. Sheet Cake

D. Breads 1. Yeast 3. Coffee Cake - Yeast 2. Quick 4. Coffee Cake - Other

E. Candies - 14 or more pieces on a paper plate. At least ½ pound.

F. Sugared, Salted or Other Pecans - One cup displayed on a paper plate.

G. Miscellaneous Foods - Salad, Vegetable, Meat, Cheese, etc. that do not require refrigeration.

H. Novelty Table - Craft items made with pecans.

Awards: Ribbons will be awarded to each judged entry based on merit. Grand and Reserve Champion in Junior, Senior, and Adult Division will receive an award.

NOTE: ALL ENTRIES WILL BE FOR SALE. PROCEEDS GO TO THE 4-H SCHOLARSHIP. PECAN AUXILIARY COOKBOOKS WILL BE FOR SALE AT THE PECAN BAKE SHOW.
