Arup needed to introduce IT standardisation to maximise the efficiency of its worldwide workforce. Partnering with HP has created a unified environment backed by global support.

ChallengeNeed for seamless connectivity

Global design and engineering firm, Arup, has left its imprint across the world for over seven

decades. Arup’s iconic projects are always noticed because it is good at thinking differently.

Technology is the launchpad for delivering Arup’s services to its customers. It’s vital for

demonstrating visual impact, ensuring building safety, geotechnical work, mechanical engineering

and a multitude of other disciplines and is absolutely business critical to the whole operation.

“The importance of technology to Arup is profound. We have offices all over the world and

most of our projects are all 3D in nature so there is lots of rendering and real-time graphics,”

says Gavin Cockburn, global service leader for workplace and automation, Arup. “If we can

produce seamless connectivity using those same tools, that’s really powerful.”

Arup needs compute power to provide its clients with the best service and the quick

turnarounds they require, but it faced a challenge. It had amassed a complex IT environment

with more than 270 different laptop and desktop computer models in its worldwide fleet of

over 20,000 devices. There was a huge overhead on device maintenance and no consistent

user experience, so the company needed to introduce standardisation. This would mean that

its transient workforce could operate the same way anywhere in the world because they would

already be familiar with the devices.

To achieve this, Arup sought a partner that shared its own evolution vision, could provide

strategic consultancy on IT provision and deliver the latest IT solutions. It also had to do so

on a worldwide scale.

SolutionFirst fully global single vendor partnership

“We chose HP because of its global delivery solution, its technology and commitment to innovation,

along with the strategic relationship and importantly, the shared goals on sustainability and ethical

business,” adds Cockburn. “We don’t know what tomorrow’s going to bring and we are already in a

huge digital revolution where the whole industry is evolving. As we change as a business and as we

evolve, we need partners like HP to evolve with us.”

Entering into a global contract with HP was also based on trust; having confidence that it could

deliver what is required where it is needed and having confidence in the products themselves.

It was hoped that partnering with HP would enable Arup to gain useful insights into the industry

and the strength of the commercial proposal was another important factor.

Consolidating the device landscape was one of the first tasks of this association and after extensive

benchmarking, HP worked with Arup to reduce the number of models from 270+ to just seven.

Arup now has 18,000 HP devices which it uses for a range of tasks and its two preferred products are

the HP EliteBook and the HP ZBook Studio.

The portable HP EliteBook is used for standard mobile office work and the HP ZBook Studio

provides the power and portability for Arup to run its CAD applications. The company also uses

the HP Z VR Backpack to visualise its projects and as a useful collaboration tool.

After conducting a proof-of-concept exercise with 400 of its devices across the EU, Arup also decided

to deploy HP TechPulse globally. HP TechPulse uses machine learning, preconfigured logic and

contextual data to deliver device, application, and usage insights that help users rapidly diagnose

and fix problems to keep systems running.

Standardising its products has helped Arup reduce the overhead of managing its fleet of

devices. It also provides a single experience for employees who are familiar with the devices

and can request support anywhere in the world.

“The HP ZBook really does offer that next level of performance, making sure that people can

collaborate across the world,” says Cockburn. “Also, HP TechPulse turns our support model

upside down. It’s a tool that provides us with the information and analytics to make proactive

change and ensure that our devices are running optimally.

“Having the foresight to change a hard drive that is about to fail is a very different story to

someone finding out that their hard drive has failed and they have lost everything on there.

That has huge beneficial savings in time and expense and the data that could potentially have

been lost. HP TechPulse provides us with that level of analytics that we have never had in our

client space.”

Consolidating the device fleet has reduced strain on the IT department with less configuration

work. Updating software, drivers and operating systems is much simpler and model

standardisation ensures a consistent and seamless user experience anywhere in the world.

It has led to an overhead saving of 30% on device management.

The HP Z VR Backpack enables multiple teams and multiple disciplines across multiple offices

to come together in one VR space.

“There is nothing more powerful than visualisation. They always say a picture says a thousand

words. However, experiencing it prior to the first spade in the ground is a really compelling

story,” adds Cockburn.
