DESTINATION INFORMATION

Park CityGlobal Meeting & Incentive Travel Exchange is excited to be bringing you to our new home for 2019: Park City Utah! Be sure to bookmark our website so you can continue to see updates about the locations for activities during our event. We want you to experience a taste of this wonderful venue while you are working there.

Park City features 30 meeting properties with over 125,000 square feet of meeting space and 4,000 sleeping rooms. If variety is the spice of life, then Park City Utah is a very zesty town. Park City is home to many award-winning restaurants reflecting many different culinary styles and influences. With more than 150 restaurants and bars in Park City, there’s something for every taste and every mood. You will have a chance to experience Main Street’s culinary offerings when our group experiences a dine-around on April 10.

We will be in Park City at the end of ski season before the summer mountain hiking season begins. Approximately 10 days prior to our event dates you should be able to get a good idea as to the weather and snow conditions on the mountain. It would be smart to bring some clothing for colder weather, as the evenings are likely to be chilly.

ResortOur event is hosted at the beautiful Grand Summit Hotel, a Rock Resort. This area is referred to as “Canyons Village”. The meetings and daily meals will be enjoyed throughout the property. Note that there is a spa, swimming pool, hot tubs and a mini-town at the base of the mountain where the resort is situated, so you can plan some apres-meeting activities. Closest Airport to Park CityNote that Salt Lake City Airport is the closest airport to our event location in Park City. It is approximately 35-40 minutes travel time. There are several services available at the airport with car transportation options, shared ride options. Stay tuned as we are working with a local supplier to offer discounted rate transfers to the Grand Summit in Park City.

On April 13th, GMITE will have motorcoaches to the airport from the Grand Summit approximately every two hours. You will be asked in a future communication to send your flight information to us. If we have that, we can include you in those transfers by motor coach from Grand Summit to the Salt Lake City airport on the 13th.

Optional PRE FAMUnder separate cover, if you have applied to participate in the PRE FAM April 9 in Salt Lake City, you will receive your confirmation and more details. It is $315 per person with limited availability. Contact your sales account representative to sign up if you are interested and have not done so.

Meeting ScheduleAccess to begin making meeting selections will begin in March for buyers and suppliers. You will receive an email with instructions once the system opens for meeting selections. Be sure to list us as a safe sender to avoid communications generated from the appointment system from getting caught in spam or junk folders. This process will be different than in years past as we have moved on to a ranking system for the appoint-ments. To begin the process, you will now simply rank the buyers that you wish to meet with and a schedule will be generated based on your selections with mutual selections as a priority.

Meeting SpaceYour company will have a designated private deluxe meeting room to conduct your one-to-one meetings with pre-qualified buyers. We encourage you to bring marketing collateral, gifts and décor for your meeting room. For suite ideas, please reference page 9.

GENERAL SUITE INFORMATION

General Suite InformationYou will find below general rules and regulations for meetings, which occur in the suites at Grand Summit Hotel in Park City. You must adhere to the rules and regulations. If any damage is done to the rooms, charges will be billed directly to your credit card.

1. Furniture in the suites may not be removed and/or relocated.

2. Taping, nailing and/or hanging any signs or banners from the walls, decorations or furniture in the suites is strictly prohibited.

3. Signage is not allowed in the guestroom hallways or public foyers.

4. All houseware items must remain in the guestroom.

5. Grand Summit Hotel will not allow the removal of televisions from the armoires or entertainment centers.

6. While you are allowed to connect to the television to display a presentation or video, under no circumstances shall any guest disconnect or reconfigure any Grand Summit Hotel television.

Grand Summit Hotel and Sundial Lodge Resort Fee The resort fee includes the following hotel amenities:

HousekeepingBecause meetings will be taking place in your suite, Grand Summit’s Housekeeping department will provide daily service on Thursday and Friday between the hours of 6 p.m. – 9 p.m. In addition to the daily service, Housekeeping will stop by each Supplier’s suite between the hours of 7:30 a.m. – 9:15 a.m. on Thursday and Friday for a quick refresh of the living area and the visitor’s restroom. Per the request of your group to ensure privacy during your meetings, Housekeeping will not be available between the indicated refresh and daily service times. If you should need additional assistance please feel free to contact Housekeeping from the phone in your room.

SignageSignage is not permitted in the guest room hallways, elevators, main lobby areas, or the building exterior. The hanging of any item from a Fire System detector and/or sprinkler is strictly prohibited. Suppliers will be held financially responsible for all damages for items hung on the Fire System detector and/or sprinkler.

Business CenterThe business center can be found on the ground floor next to the conference center. Guests will be able to use computers and print small quantities. The front desk staff can also assist based on availability on a first come first served basis. Copies are charged at 10 cents for black and white and 25 cents for color. There are costs associated with using the computers and printers. For larger printing jobs, the hotel recommends going to the Staples located in Kimball Junction. They can be contacted at (435) 604-3608.

Storage The Grand Summit Hotel will accept shipments without storage fees up to 5 days before the event. Any shipment arriving greater than 5 days in advance will be charged a $25.00 per shipment per day.

Shipping DetailsAll packages may be shipped to the following address to the attention of the individual who will be signing receipt of the package. Once the packages arrive to the hotel, recipients may contact the Bell Staff for package retrieval and delivery. Complete Park City shipping information can be found on page 4.

A Drayage Registration form, found on page 5 must be completed and returned to Jennifer Keller at the Grand Summit Hotel prior to the shipment arriving on site.

Catering You are encouraged to order refreshments to have available during your meetings. Please see page 6 for our In-Suite catering menu. Catering orders must be placed in advance by March 21st, 2019. Orders placed after March 21st will be charged a 25% late fee. Orders will not be accepted after April 1st. For additional information or to place your order, please contact a catering specialist at (435) 615-3336.

Audio / Visual Suppliers can connect to in suite televisions by using a HDMI cable. Connection ports are located on the side of the monitors for easy connectivity. It is recommended that you bring your own cables if you plan to use the in room monitors. If you have any other Audio/Visual needs, please refer to the pricing guide. Floral / Room DécorFloral arrangements are offered through Harvest Moon Events. You can contact their office at (435) 901-3625, and find them on the web at www.harvestmoonevents.com.

Signage PrintingYou will be provided with a sign outside of your door with your company logo to identify your meeting suite. Printed signs can be ordered through a local vendor, Park City Sign Company. you can find their information at www.parkcitysignsinc.com, or by calling (435) 649-1235.

Suite Billing Methods For all groups, Food & Beverage is arranged through the Grand Summit Hotel and will be billed to your room. All charges must be settled upon checkout. All orders must be placed by April 1st at the very latest.

Audio/Visual is through Five Star Audio Visual and must be 100% prepaid.

Floral orders are through Harvest Moon Events and must be 100% prepaid.

PACKAGE SHIPPING INSTRUCTIONS

ArrivalFreight must arrive between the hours of 8:00 a.m. and 4:00 p.m., Monday – Friday and may not arrive more than five (5) days prior to the start date of the conference. Any shipment arriving greater than 5 days in advance will be charged a $25.00 storage fee per shipment per day. All shipments are delivered to the Grand Summit Loading Dock.

We understand that some freight requires special delivery. There is a freight delivery door located in the Kokopelli Ballroom. Please check with the Conference Services Manager to see if the door is available to accept the deliveries. Only deliveries with prior approval by the Conference Services Manager will be accepted at this location.

Due to the heated pavement leading up to this door, there are weight restrictions on vehicles delivering to this area only. Semi Trucks are prohibited to enter the Grand Summit Hotel Arrival Drive. Forklift services are also available for special deliveries and must be pre arranged a month in advance. Please note this is only for items that cannot be moved through the hotel.

Each item should include the following information on their labels:1. Recipients name i.e., hotel guest, function attendee. Please

only address packages to the Hotel Contact Person if the package is specifically meant for their use.

2. Function/Event Name3. Return Address. All items not claimed within 15 days are

returned to the sender. If a return address is not listed on the package, the item will be disposed of.

Packaging Requirements2 ½’ L x 2 ½’ W x 4’ H100-pound weight limit per crate or box

Freight may not be moved through the hotel by pallet jack or forklift. When preparing your shipment, please keep in mind that all freight will need to be moved by hand or on a bell cart and must be able to fit in a standard hotel elevator.

Guests will be responsible for their own packaging. The packaging must meet the carrier’s standards or they will not pick up the item.The Hotel will not be responsible for damages due to improper packaging or shipping costs of items returned to us by the carriers of non-deliverable items.

Any item that is not picked up by the carriers or returned due to improper information will be disposed of after 15 days if we are unable to contact the shipper. Inbound ShipmentsDelivery Guaranteed Times: Early AM UPS & First Overnight FedEx – 10:00 a.m.FedEx Priority & UPS Next Day Air – 10:30 a.m.FedEx Standard Overnight, UPS 2nd Day & UPS Ground – 3 p.m. Recipients may contact the Bell Staff for package retrieval and delivery.

Outbound ShipmentsAs a courtesy to our guests a daily pickup for UPS and FedEx packages is provided. Pick up time is scheduled for 5:00 p.m. on Friday, April 12th. If your shipment needs to be sent out on Friday, please contact the front desk by 9:00 a.m. that morning to make sure your packages are picked up in a timely manner. A bellman will be by to pick up your packages as soon as the appointments have ended. The Grand Summit has also arranged for a Saturday pickup that will depart mid-morning. To be sure your packages are sent with this delivery, please contact the front desk on Friday to have your packages brought down later that evening.

Ultimately, it is the sole responsibility of the supplier that his/her shipments get picked up by notifying a member of the front desk or bell stand staff. The hotel shall not be responsible for items, boxes and etc. that are left in the supplier suite.

All items brought to the Shipping Area require an address label or shipping document on each item. If you do not have your own pre-printed labels, UPS and FEDEX shipping documents are available at the Bell Stand or Front Desk for your convenience International ShippingCanyons does not provide international outbound shipping including Canada and Mexico. Suppliers are encouraged to contact an offsite shipping facility.

Each label/shipping document is required to have:1. Shippers name, address, and phone number (Phone number

and contact person are very important in case there is a problem with the shipment and we need to contact the shipper)

2. Recipients name, complete address and phone number3. Payment information, carrier account number or credit card

must be listed or the carrier will not pick up the item.

Handling Fees will be charged to the recipient’s hotel room bill. If the recipient is not a hotel guest the recipient will be required to fill out a conference drayage form and provide a credit card to which the charges will be billed.

INCOMING FREIGHT (Best way for larger shipments)$50.00 per pallet up to 2,000 lbs$125.00 per day forklift service (must be arranged at least a month in advance)

NOTE: Suppliers with large amounts of packages and/or oversized, heavy items should be encouraged to ship by freight companies on pallets. This will save them money and help us in keeping it all organized.

Be aware that The Canyons is not an exhibition hall and therefore has limited storage space for group shipments.

Note regarding Electrical Power access and Audio Visual: The hotel does not provide complimentary connecting cables for your laptop, TV connection to laptop etc. It is strongly recommended you bring your own. Regarding electrical power: Standard power is available in your suite. No power strips or additional cables are provided by the hotel. However, should any Participating Supplier need to rent power strips and / or extension cords, they should contact the in house audio visual company, 5-Star Audio Visual. 5-Star A/V can be contacted via phone at (435) 604-3199 or email [email protected].

Global Meeting & Incentive Travel Exchange is a turnkey event that allows you to focus on your customer. However we do want to help you put your best foot forward and make a great first impression!

ABOUT YOUR SUITEEach room at the Grand Summit Hotel is a suite, designed with separate sleeping and sitting rooms. The hotel’s format is suitable for private meetings, strategy sessions and hospitality. A door allows you to keep your bedroom and master bathroom private from your appointment room.

SUGGESTIONSSuppliers are welcome to send literature, signage and décor to enhance the buyer experience at Global Meeting & Incentive Travel Exchange. Please remember you will incur costs from the hotel should you choose to ship materials.

It is by no means mandatory to provide an amenity for each appointment, but often suppliers do bring a small token for the buyers and at minimum, provide literature. You are in control of your suite. Keep it simple and sophisticated or fully deck out the suite in your company motif! Buyers have responded well to digital versions of literature and small items. Please keep in mind they will have to take it all home.
