The Green Event Guideline – Hosting Green Events in Durban (summarydocument) has been prepared through the Greening COP 17 / CMP7 programme,which is aimed at hosting the COP 17 / CMP7 event in an environmentallysustainable way and to ensure that a positive legacy is achieved. EThekwiniMunicipality’s Environmental Planning and Climate Protection Department isresponsible for implementing certain components of this greening programme,including this publication.

The Green Event Guideline - Hosting Green Events in Durban (summarydocument) provides event organisers and planners with practical advice andsuggestions to consider for greening events. The Green Event Guideline has been produced to encourage the incorporationof greening practices and principles into events taking place in Durban. Theguideline focuses on a range of events from meetings to exhibitions, conferencesand mega events. This guideline is aimed at event organisers (including cityofficials), venues, suppliers and sub-contractors and anybody hosting or organizingan event.

1.1 What is a Green Event?

A green event refers to an event that is hosted in an environmentally andsocially responsible manner. The goal of event greening is “to reduce theconsumption of natural resources, reduce waste to a minimum, limit impactson global climate and protect biodiversity and human health” 1. It requiresresponsible, sustainable decision making and implementation, taking note ofenvironmental, social and economic factors. In this way, a green event canleave a positive legacy for the natural environment and local community.

1.2 Principles and Practices of Event Greening

The table on page 03 provides an overview of the main elements and principlesof event greening, as well as some of the practices. All actions should bemeasurable against the core principle, while the practices are activities orpractical things that can be done to work towards the overall goal of hostinga sustainable event.

Events bring people together and can contributepositively to the local economy. However events canalso impact negatively on the environment. Peopleattending an event require various resources (e.g.energy, water) at the venue and in theiraccommodation, they produce waste that needs tobe disposed of and they produce greenhouse gasemissions as a result of travelling to the venue. Theconcept of event greening is centred on hosting theevent in such a manner that it has the maximumpositive impacts, while minimising the negativeimpacts.

When an event is hosted in a green manner, the following outcomes areanticipated:

• Increased economic, social and environmental benefits (i.e. a better eventtriple bottom-line)

• Reduced negative environmental and climate impacts, such as greenhousegas emissions, waste to landfill, and the reduction or degradation of biodiversity

2.1 Plan your Green Event in Seven Easy Steps

Planning a green event may seem like a daunting task. However, you can dothis by following these easy steps outlined below:

STEP 1: Decide how green you want to go

Incorporating greening principles into an event begins in the early planningphase. You need to allow enough time to implement your greening principlesand practices. It is important to determine the scope of greening prior tothe event and set goals for what you aim to achieve. Even if you can’timplement everything, it is good to consider where you can make adifference.

There are many toolkits and checklists available on the internet for eventorganisers and planners. A simple checklist is included later in this section,with some additional web links at the end of the document.

In order to ensure that some level of greening takes place for your event,consider developing a greening plan. This plan can be used be as a masterplan for the event as it will incorporate both the logistics and greeningactivities that are planned for the event. The plan can be used as acommunication tool throughout the process of planning and implementinggreen activities at the event. It is however important that this plan isintegrated into the overall planning of the event and not just an “add on”.

One of the best ways to determine the scope is to look at your budgetand focus on the items that are within your decision making powers. Eco-procurement is one of the first steps to success.

STEP 2: Get support for your greening plans

Once you have decided on how to green your event, it’s important thatyou get high level support and meet with your event planning team. Usethis meeting to share your greening plan and relevant information aroundevent greening. The success of your greening interventions will rely on theteam’s understanding of green events and their willingness to support you.

They will be able to assist with implementation and monitoring of the event.The best is to ensure that the greening is integrated into the overall eventplanning and that your team understands what is expected of them.

STEP 3: Identify key role players in the greening of your event

Your suppliers, sub-contractors, venue managers, caterers, transportationservice providers and other people involved in various aspects of the eventplay a significant role in making your greening plans a reality. It’s imperativethat you share the greening plan with service providers, as this will enablethem to understand your requirements for greening the event. In mostinstances, these service providers will be able to provide good advice andsource the most appropriate goods and services to ensure that your eventis as green as possible. Include basic requirements into your request forquotes or terms of reference when possible.

STEP 4: Develop a communication plan for greening interventions

In order to create awareness around the greening interventions for theevent, it’s important that a communication plan is developed. Firstly youneed to provide guidance and information to the service providers andexhibitors around what you expect them to do, such as use energy efficientlights on their exhibition stand or jugs of water instead of bottled water.You should however also provide information to guests / delegates so thatthey know how they can contribute to event greening through their actions,such as use of public transport. It is also good to communicate yourgreening initiatives to the media or your clients so that people know whathas been done.

STEP 5: Promote greening activities at the event

As part of the communication plan, consider how to profile the greeninginterventions at the event. Consider setting up a particular area within thevenue, for example a “green corner” which can be used to showcase thegreening interventions and elements. As part of the agenda or programme,prepare a five minute presentation for delegates to show how the eventwas greened. This will make delegates feel part of the process to encouragetheir participation and it will raise the level of awareness of the environmentalimpact of events.

STEP 6: Measure your success

As part of planning, compile a report on green activities undertaken byusing the greening plan and communication plan as references. You maywant to put in place simple data collection points which can be monitoredby the event planning team. Consider from the outset which greeninginterventions you want to monitor and evaluate, as well as tangible waysto measure this. This report will enable you to provide feedback and sharelessons learnt, which can be used to establish benchmarks for future events.

STEP 7: Ensure that your green event leaves a positivelegacy

One of the principles of event greening is leaving a positive legacy. Considerhow the decisions that are made can benefit the environment or a localcommunity through project development or poverty alleviation projects.Consider how your event can make an investment into these areas in apractical way. Create awareness of the legacy value of hosting your eventand the long-terms benefits that live on long after the event has beenhosted.

2.2 Basic Event Greening Checklist

There are many ways in which an event can be greened, from basic activitiessuch as banning bottled water to offsetting carbon emissions associated withdelegates’ travel. The possibilities for greening an event are endless. This BasicEvent Greening Checklist has been developed to provide a few simple andeasy ways to implement greening practices.

2.3 Communication and Awareness Raising

As part of the event, developing a communication plan is essential. Thecommunication plan will allow you to organise the communication activitiesfor the event in terms of communicating the logistics of the event and profilingthe greening activities of the event. There are 3 stages of communication thatwill be required for your event. These include: 3

STAGE 1: Before the Event: Ensure that delegates, service providersand people involved in other aspects of planning the event are aware of thegreening interventions and greening goals for the event. Communicate thisinformation to those who will be attending the event on the event websiteand/or registration form.

STAGE 2: During the Event:: Ensure that delegates are aware of whyyou are greening the event, what has been done to green the event and howthey can participate (e.g. drinking tap water rather than bottled water; using

2.4 Event Venues

One of the most important decisions for an event organiser or planner is theselection of a venue to host the event. The venue will play a significant rolein terms of implementing greening interventions. As an event organiser, it’simportant that when selecting a venue you work with the venue and outlinethe greening requirements for the event. The following points should beconsidered when selecting a venue, and negotiating a contract:

2.5 Green Accommodation

The Hospitality sector is an essential component that is associated with eventingand conferencing. Accommodation facilities use large amounts of energy,generate volumes of solid waste and consume vast amounts of water on adaily basis. The outline below is a generic checklist, which can be sent toaccommodation facilities (guesthouse, hotel or bed and breakfast). By usingthis checklist, an event organiser or planner can make an informed decisionabout recommending or selecting accommodation options:

2.6 Event Hosting Legalities: The Legal Requirements, City Permits and City Approvals

When planning an event it is imperative the following is considered in termsof legislative and City approval processes specifically for outdoor events;

• Enquire whether your event requires special permissions and permitsthat are regulated by the local authority

• Enquire whether your event requires Environmental Impact Assessment(EIA) or approval based on the National Environmental ManagementAct (NEMA, Act 106 of 1998)

• Enquire whether your event requires support services such as securitycontrol and accreditation, medical, cleaning, waste management and telecommunications

• Enquire whether your event requires local government services /city services such as traffic management, health and safety requirements, licensing (catering, liquor, entertainment, safety and security requirements(SAPS), signage requirement and approvals, etc).

A case study of Greening the Durban Host City for the 2010 FIFA SoccerWorld Cup TM

Energy Efficiency andWater ResourceConservation throughGreen Building Design

• A significant reduction in the energy and water requirementsof the new Moses Mabhida Stadium was achieved through a greener building design, and more efficient systems and fittings;

• Energy footprint: reduced by 30% through the selection ofenergy efficient architectural design, technologies and fittings.Saving around R1 million in electricity costs per annum

• Water footprint: reduced by 74% through the use of watercapture and recycling systems, efficient irrigation systems andwater efficient fittings. These helped to save approximately R700 000 per annum and secure the sustainability of “water-hungry” landscapes (including the pitch)

SustainableManagement of Waste

• Moses Mabhida Stadium was built on the site of the former Kings Park Soccer Stadium. Masts, control gear, topsoil, pre-cast seating, 400 tonnes of steel and 40 000 bricks removed from the old Kings Park Stadium were recycled and utilised for the new stadium

• A 2-bin system was implemented at all Durban’s World Cup event venues and an estimated 24% of the waste collected was sent for recycling

• The Greening Durban 2010 Programme adopted the uMngeniRiver Estuary Precinct as an environmental investment area

• Financial support was given to a local community co-operativeto clear alien plants from 15.5 hectares of densely infested open spaces within the uMngeni River Estuary Precinct
