Q: In my department, we are beingasked to EOS very often due to budget. Shouldn’t we be asking the people who are on call on the weekend who are getting call backs plus overtime to be trying to take time off during the week to help cut the overtime hours out before making others cut lower than their FTE. The call people will still get the extra hours of call back but would help cut the overtime more.

A: Who takes EOS time is supposedto be selected by the following steps: 1.) anyone at or near overtime; 2.) volunteers; 3.) department rotation. If your department is not following these steps then speak to your manager.Steve Sesterhenn, HR

Q: There are some huge pot holesoutside the staff parking lot on the north side of the hospital (toward the fire station when you’re taking a right). I know a lot of damage is done in the winter months with the snow plows. Is this is a hospital issue or a city of Waterloo issue? Could the holes please be patched/repaired?

A: Pot holes were filled aboutthree weeks ago at the hospital and UMP campuses. I have instructed the contractor to take another look at areas for anything missed especially P-8 lot. Note: The UMP campus at the east end by the Community Cancer Center, around the dialysis center, at the parking area around 1717 W. Ridgway part of UMP up to the flag pole area will be getting a 2” layover of asphalt to improve the top of parking lot. The sub base of the parking lot is in good shape but the top has deteriorated due to winter conditions and age. This will be completed before the Urology Clinic moves to their new location.Terry Flynn, Plant Services

Epic Upgrade Set for July 23We are on track for our Epic Go-Live this month.

• Work teams completed IT and User testing phases.• All Training Environments are upgraded by July 9.• Training teams will continue preparing users for the upgrade.

The Go-Live downtime is scheduled for July 23 from 12:01 a.m. to 2 a.m. We are now preparing the system for Go-Live. As part of our preparation, each Region will be leveraging their Super Users, Informatics and Leadership for local support during Go-Live.

GO LIVE DOWNTIME INFORMATIONSunday, July 23 Go-Live Details There will be a 2-hour downtime 12:01 a.m. – 2 a.m. At this time, the system will be unavailable while IT upgrades Epic’s Production Environment. As usual, issues will be prioritized through the Service Center, but IT will have heightened coverage during this time. Regions will also want to ensure sufficient Super User Coverage during Go-Live.

Clarity Reporting Downtime: July 23, 12:01 a.m. to July 26, 5:30 a.m.As part of the Epic Upgrade, there will be a mandatory downtime for Clarity Reporting. • This means that the Clarity Production Environment will be unavailable for users to

run reports during this time.• No scheduled Clarity jobs will be delivered until the upgrade is complete.

Sunquest Lab Downtime: July 23, 12:01 a.m. – 4 a.m.The Sunquest Lab System will also have a downtime for their concurrent upgrade project. It will also begin at 12:01 a.m. and is estimated to last 3-4 hours.

PRODUCTION FREEZEOn July 7, a Production Freeze went into effect. In order to maintain the integrity of the system leading up to the Upgrade, changes to the production environment will be limited. This Production Freeze includes Clarity Reporting change requests as well. Read more details about this freeze.

7-up Honor RollThe Outpatient Quality Impact Team would like to recognize these outpatient departments for surpassing the goal of 77.7 Top Box Percentage in the first quarter of 2017! THANK YOU for Owning the Moment with every patient!

THE GOAL is to surpass the 2016 two point gain in Top Box percentage. Allen outpatient departments ended 2016 with a Top Box percentage of 75.7. In 2017, our challenge is to surpass this improvement or move the patient’s overall perception of care above a Top Box Percentage of 77.7.

WHAT IS TOP BOX? Top Box percentage is the percentage of times the patient scored “Very Good” (the best answer) on the survey. In order to earn a patient’s confidence, we need to wow patients at every touch point in their healthcare journey. These departments surpassed the goal.
