CHAIR’S REPORT - AGM Saltoun Primary School Parent Council Thursday 19 November 2015, 1900-2100 Hrs

In the past year parent council has: - Re-established H2H

- Funded the reintroduction of chickens to the school. - Helped to get recorder club up and running.

I would like to extend a huge thank you to all the parents that helped over the course of last year making it a successful year for Saltoun Primary.

H2H organised a successful Halloween event. Catered for several events and helped to fund raise for breakfast club.

H2H also ran the summer fair, and Saltoun Assault which helped to raise funds for the Hall refurbishment and parent council.

This event proved to be a massive success with the children and community alike raising £2552. It is a testament to the hard work and commitment to those involved and we should be very proud of ourselves.

The above figures do not include £218 held for the Village Hall Fund (still to be paid over to Jill Jeans)

£84 is still ring fenced from the Bat Walk – is this going to be spent?

The Halloween party raised £164

The summer fair raised £1,318

Current bank balance £2,722.10 (inclusive of £218 for Village Hall and £29.95 BC funds)

Cash held £181.10 Breakfast Club

Breakfast club funds = £161.68 to 6 November2015. This figure includes £116 raised at the Big Breakfast early in August and £96.35 raised from the Halloween tombola.

Breakfast club lost £141 in the first 11 weeks, although £54 of that was in the first 2 weeks alone. There have been no profitable weeks so far.

Friday club has been withdrawn other than on request which has helped a little.

PARENT COUNCIL HEALTH CHECK

This exercise will help you identify how effective your Parent Council is and areas for improvements. Using the tick boxes, mark each one with the following colours:

GREEN: Very well implemented

ORANGE: Good start

RED: Needs improvement

COMMITTEE BUSINESS

All committee members understand their roles and responsibilities

All office bearers understand their roles and responsibilities

Our constitution is kept up-to-date

We hold regular committee meetings and the dates are well publicised

We have a treasurer’s report at each committee meeting

Our meetings always run to time

The minutes are always sent out promptly after a meeting

Members of the Parent Council/Parent Forum are always asked to suggest items for the agenda

All committee members send their apologies if they cannot attend a meeting

All committee members contribute to meetings

We are aware of the role of the headteacher on our Parent Council

We hold an AGM each year and all the Parent Forum are aware of this

We have someone who checks our accounts at least two weeks before the AGM; this person also prepares a report for the AGM

We issue an annual report of our activities

We have co-opted members on our committee

We have a contact person for SPTC

We have subcommittees and they report to each Parent Council meeting

All the Parent Council are aware of the PVG Membership Scheme (disclosure) and when someone should be asked to join

We are aware of the different families within the school

We make an effort to involve all parents including single parents, non-resident parents and parents from different ethnic and cultural backgrounds

We let the local authority know when there is a change of office bearers

We invite other people to our meetings eg, local councillors

We have a church representative on our Parent Council (this must happen at denominational schools)

(If your Parent Council has charitable status) We are aware of our legal duties as a charitable group

We are aware of SPTC membership benefits

We have organised free SPTC Information & Training Sessions

We require at least two people to sign cheques

People are asked to provide receipts for expenses where possible

We know how to get financial support from the local authority

COMMUNICATION

Parent Council meetings are friendly and welcoming

Our meetings take place at a time and place that suits most parents

We use different ways to communicate with the Parent Forum

We have our own noticeboard/have space on the school noticeboard (indicate which one)

We produce our own newsletter

We write articles for the school newsletter

We have a page on the school website/we have our own website (delete as necessary)

The Parent Forum (all the parents/carers in the school) know what the Parent Council does

The Parent Forum are aware who is on the Parent Council

We have a Facebook page/Twitter feed

We have clear guidelines on the safe and appropriate use of email, Facebook and Twitter

The Parent Council has a data protection policy

We run regular surveys/questionnaires to gauge parent opinion

We make sure all communication from the Parent Council and the school is written in parent-friendly language

Everyone on the Parent Council is aware they should try to represent all parents at the school

We have links with the Pupil Council

We have a presence at all school events
