Dear FFA Advisors, Members, and Guests,The annual state FFA convention is truly a week that absolutely everybody should experience. FFA members come together to celebrate the achievements won by the past and present generations of agriculturalists, while continuing to develop their potential for premier leadership, personal growth and career success. Honoring past and present accomplishments, FFA members, along with advisors, alumni, parents and supporters, will be inspired and motivated to take pride in our industry, serve our communities, and lead our organization to new heights.

While at the convention, FFA members and guests will experience motivational speakers, award presentations, exciting exhibits, challenging career development events, and plenty of entertaining activities. Attendees can take a stroll through the FFA Career and Trade Show in search of the perfect career connection, attend a workshop to brush up on those leadership skills, or simply interact and share ideas with FFA members and advisors from across the state. The 85th Florida FFA State Convention and Leadership Conference will undoubtedly be a week absolutely everybody should experience.

AttendanceAttendance at the State FFA Convention is open to all bona-fide FFA members, advisors, parents, sponsors, alumni members and special guests. All FFA members must be accompanied (at all times) by an appointed school district representative. Students will not be allowed to register without their FFA advisor. There is no limit on the number of convention attendees that a chapter may bring.

Award RecognitionAll first place state winning Career Development Event (CDE) team members and all high individuals will be recognized on stage. One individual and one advisor from the second through fifth place teams will also be recognized on stage. It is important for ALL award winners and finalists to report to the award line-up room 30 minutes prior to the session in which you will receive your award.

FFA members and advisors who are award winners that are recognized on stage will also be asked to visit the new Convention Media Room after their award announcement or during a scheduled time. Members will participate in interviews that will be used to create press releases, videos, feature stories and more.

Planning MealsThe Caribe Royale Orlando and surrounding area offer plenty of food options. There will be specially priced food options available in the hotel eating areas.

Convention GuidelinesProper behavior is imperative at the FFA Convention. It will be the advisor’s responsibility to ensure curfew adherence and that members who attend the convention attend each session. Careful selection of those members to attend convention is essential for a successful and meaningful event. All FFA members who attend the convention must be properly and adequately chaperoned and dressed. Adequately chaperoned is defined as one adult for every six students. We will not register students without an advisor or chaperone. We will not register students from a chapter without permission from the school and without an appointed school district representative in attendance. Convention lodging policy permits five (5) person maximum occupancy in convention suites and seven (7) person maximum occupancy in villas. Chapters found to be in violation of this policy will be subject to additional room charges.

CurfewStudents are expected to be in their rooms with the lights out and quiet by 11:30 p.m. each night, unless otherwise noted in the convention program. Students will need their sleep. In addition, we ask that you check your students’ rooms periodically after curfew to insure that they are adhering to curfew policy. Hotel security has been instructed to contact the State Advisor, Executive Secretary and convention staff with any complaints. Chapters found to be in violation of curfew policies, and/or disrespecting other guests or hotel property will be terminated from the convention at once, at the expense of the chapter/school. All convention policy violations will be reported to school principal and superintendent.

Convention Dress CodeAll student attendees should be in official dress. Any FFA member going on stage must be in official dress. The Courtesy Corps and advisors will be monitoring dress at the entrances to the convention hall. Florida FFA reserves the right to limit convention participation for students not in proper official dress, as outlined in the Official FFA Manual.

Note: the skirt is to be at least knee-length, hemmed evenly across the bottom, with a slit no higher than two inches above the knee, excluding the kick pleat. Black slacks may be appropriate for traveling and outdoor activities as outlined in the safety exceptions.

SpecialEvents

Day of ServiceFlorida FFA is seeking students and teachers from across the state to uphold the gold standards that our organization is known for by taking part in one of the largest civic engagement events ever held within Florida FFA. During the Florida FFA State Convention, one of the premier activities for young leaders to participate in is the annual Florida FFA Day of Service. The Day of Service will have a huge impact on the city of Orlando and the entire state of Florida. While participating, FFA members will provide service to the community through a partnership with America’s Second Harvest Food Bank and Keep Orlando Beautiful. There are four opportunities for students to volunteer in the community. Transportation to and from each site will be provided. Day of Service registration must be completed using the online convention registration system.

SHIFT A (FOOD BANK) will depart Tuesday morning at 8:00 a.m. and go directly to Americas Second Harvest Food Bank.

SHIFT B (FOOD BANK) will depart Tuesday morning at 11:30 a.m. and go directly to Americas Second Harvest Food Bank.

SHIFT C (COMMUNITY CLEAN-UP) will depart Tuesday morning at 8:00 a.m. and go directly to clean-up site.

SHIFT D (COMMUNITY CLEAN-UP) will depart Tuesday afternoon at 12:30 p.m. and go directly to clean-up site.

FFA Mega PartyFlorida FFA presents the “FFA Mega Party”! On Thursday evening, June 28th, convention attendees can enjoy their evening, either at the FFA Dance or the FFA Alumni Auction & Social! Bigger and better than ever, students can dance the night away at the FFA Dance with a live DJ! The FFA Dance is sure to keep students entertained while while others guests enjoy the FFA Alumni Activities. Attendees can purchase tickets for $12.00 in advance or $15.00 at the door. Tickets can be purchased at the time of registration online or onsite at convention. Full convention registration is required to purchase tickets.

Career and Trade ShowWhether you are looking for a college or university, a chapter fundraiser or a potential career in agribusiness, you don’t want to miss the opportunity to visit the 2012 Florida FFA Career & Trade Show.

Along with the trade show, you will also find the FFA Food Court, FFA Shopping Mall, and the Talent Stage. We will continue the ever-popular “Teachers’ Only” reception that will give teacehrs one-on-one time with each of our exhibitors. This is valuable time we know you appreciate.

Chapter ReservationsThe Chapter Housing Form is completely online this year. For chapter reservations, FFA Advisors will need to reserve rooms using the Group Reservations Page.You will be required to submit a credit card that will only be used to hold your reservation and WILL NOT be charged. You may also choose to pay with a credit card. You MUST provide a copy of the schools tax certificate at the time of check in order to be tax-exempt.

Tax-exempt status applies to any of the accommodations being paid by a check printed with a school or school district’s name on it or a school’s credit card with the school or school district’s name on it. Please advise the front desk that you are tax exempt upon check-in.

Arrivals without confirmed reservations and reservations received after the cut-off date are subject to room availability. If the number of rooms you require changes after you send in the reservation form, contact the hotel immediately. An updated housing form with updated information might be required. Hotel registration will take place separately from convention registration.

Check OutChapter accounts will be available for viewing on Thursday evening to enable you to check your bill before you go to check-out. This will eliminate the long check-out lines on the final day of convention.

Telephone UsageLocal phone calls made from your room at the Caribe Royale Orlando will be surcharged, even if there is no answer. We recommend that your students make calls from the pay phones in the convention center. In addition, ONLY advisors are authorized to have outside phone service turned on in the rooms.

Room ConditionsThe cleaning of rooms for youth sponsored events can cause additional work on the part of the hotel staff. We would encourage you to visit with your members about keeping their rooms picked up. Please remember proper etiquette for lodging (i.e. tips, courtesy, etc.). In addition, each chapter will be responsible for signing a room damage waiver holding the chapter/school responsible for any room damages up to $300.00 maximum.

Changes/CancellationsCancellations must be made with the hotel a minimum of 72 hours prior to arrival. Cancellation fees may apply. There are no refunds on convention attendee registration.

How do I register?Advisors can register their chapters in advance online at a discounted rate or onsite at the full convention price. Using the online registration system, payment methods will include VISA, MASTERCARD, or school check. Those attendees pre-registered online will be permitted to use the EXPRESS registration line to pick up registration materials at the convention.

Chapters who will choose to pay by school check should mail all payments to the Florida FFA Association office postmarked by May 15, 2013. If you feel that your convention registration will not arrive in time, please do not send it. Instead, bring a copy of your registration confirmation and payment to the Express line at convention.

Those chapters not using the online convention registration system must enter the ONSITE registration line and take the time to fill out the proper paperwork onsite. Attendees registering onsite will incur additional registration fees per attendee. We will not be responsible for your payment and registration forms being lost in the mail.

Please DO NOT send your student permission forms in the mail. Permission forms must be presented upon arrival.

The registration fee will be $90.00 per person (online) or $110.00 per person (onsite) for any chapter that does not stay at the convention hotel (except those chapters within a 30 mile radius). As you know, the Florida FFA Association is able to offer the lowest student convention registration fee in the state based on an agreement with the hotel for a certain number of rooms used. Your choice to stay at the convention hotel insures that this is possible.

Waiver of LiabilityIn exchange for my being allowed to participate in the specified program (the “Program”), a program

administered by the Florida FFA Association (“Florida FFA”), I, and if I am not yet 21 years old, my

parent or legal guardian (individually and collectively referred to below in the first person singular)

agree to be bound by each of the following:

1. Voluntary Participation. I understand and confirm that my participation in the Program is

voluntary.2. Identification of Risks. I understand that Florida FFA and its representatives may not be

present during my participation in the Program. I understand that my participation in

the Program may involve risk of injury and loss, both to person and to property. I also

understand that the risk of injury may include the possibility of permanent disability and

death. I understand that this Waiver and Release of Liability is intended to address all of the

risks of any kind associated with my participation in any aspect of the Program, or with the

time I am involved in the Program, including, particularly, such risks created by actions,

inactions, or negligence on the part of Florida FFA or its directors, officers, employees,

agents, volunteers, successors, or assigns, including but not limited to risks created by

the following: (a) the use and condition of various modes of transportation, premises,

facilities, and equipment; (b) the lack or inadequacy of policies, rules, or regulations of the

Program; (c) the failure of Florida FFA to foresee or to protect me from actions, inactions,

negligence, recklessness, or intentional or criminal misconduct of persons, other than those

affiliated with Florida FFA; (d) the inadequacy or unavailability of medical facilities or

treatment; or (e) the lack or inadequacy of supervision.

3. Assumption of Risk. I assume all risks, known and unknown, foreseeable and

unforeseeable, in any way connected with my participation in the Program. I accept

personal responsibility for any liability, injury, loss, or damage in any way connected with

my participation in the Program.

4. Release and Waiver. I release Florida FFA and its directors, officers, employees, agents,

volunteers, successors, and assigns from any and all liability for and waive any and all

claims for injury, loss, or damage, including attorneys’ fees, in any way connected with my

participation in the Program (a “Claim”), whether or not caused in whole or part by the

negligence or other misconduct of Florida FFA or any of the individuals mentioned above.

5. Indemnification. I agree to indemnify and to hold harmless (in other words, to reimburse

and to be responsible for) Florida FFA and its directors, officers, employees, agents,

volunteers, successors, and assigns from all claims for any liability, injury, loss, damages, or

expense, including attorneys’ fees (including the cost of defending any Claim I might make,

or that might be made on my behalf, that is released or waived by this instrument), in any

way connected with or arising out of my participation in the Program, whether or not

caused in whole or in part by the negligence or other misconduct of Florida FFA or any of

the individuals mentioned above.

6. Binding Effect. This instrument shall be binding upon my relatives, personal

representatives, heirs, beneficiaries, next of kin, or assigns and shall inure to the benefit of

Florida FFA and its successors and assigns.

7. Consent to Medical Treatment. I authorize Florida FFA to provide to me, through medical

personnel of its choice, customary medical assistance, transportation, and emergency

medical services. This consent does not impose a duty upon Florida FFA to provide such

assistance, transportation, or services.

8. Severability. If any term or provision of this instrument or the application thereof to any

person or circumstances shall to any extent or for any reason be invalid or unenforceable,

the remainder of this instrument and the application of such term or provision to persons

or circumstances other than those as to which it is held invalid or unenforceable shall

not be affected thereby, and each term and provision of the instrument shall be valid and

enforced to the fullest extent permitted by law.

9. Applicable Law. Because Florida FFA and the Program are headquartered in the State of

Florida, and in order to provide certainty in the law to be applied to the construction of this

instrument, this instrument shall be governed, construed, and enforced in accordance with

the law of the State of Florida.

Personal Conduct Agreement

While participating in the Program, attendees represent FFA, their schools, and communities. FFA

has established behavioral expectations that must be observed by all participants. All students

attending must be properly chaperoned. The Florida FFA Association does not assume supervisory

responsibility of any students. Supervision is the sole responsibility of the local school district and

its appointed representatives. Florida FFA requires that an appointed school district representative

attend the Program with their students.

FFA reserves the right to immediately terminate Program attendance of any member found to

have violated these behavioral expectations. They will be required to leave the property and will be

responsible for all expenses associated with termination. Registration fees will not be reimbursed.

School/county administrators will be notified.

In exchange for my being allowed to participate in an event or activity sponsored by Florida FFA,

I, and if I am not yet 21 years old, my parent(s) or legal guardian(s) (individually and collectively

referred to below in the first person singular) agree to be bound by the behavioral expectations set

forth above and each of the following:

1. Attend all sessions, meetings and activities as directed by my advisor.

2. Conduct myself in a manner that will be a credit to FFA, my school, family, and myself.

3. Not be in the hotel/sleeping room of a member of the opposite sex.

4. Abide by the National FFA Code of Ethics as printed in the Official FFA Manual.

5. Wear official FFA dress as listed in the Official FFA Manual.

6. Keep my advisor informed of my activities and whereabouts at all times.

7. Not possess any alcohol, tobacco or other illegal substances.

8. Wear my identification badge at all times.

9. Abide by the curfew set by the FFA Association.

Promotional Release

I grant the Florida FFA Association (FFA) permission to photograph and/or videotape me for

possible appearance and inclusion in any of the FFA publications, promotional materials, on‐air

broadcasts or website or used in any other way that is deemed appropriate by FFA for education or

for promotion of the Florida FFA.

I release Florida FFA of any liability, claims, demands, damages, actions and causes of actions arising

from or connected in any way with the use of the photographs and/or videotapes.

I understand that I will receive no compensation for participation and that all photography and

videotape resulting from participation will become the sole property of Florida FFA.

In exchange for my being allowed to participate in an event or activity sponsored by Florida FFA,

I, and if I am not yet 21 years old, my parent(s) or legal guardian(s) (individually and collectively

referred to below in the first person singular), I verify that I fully understand, agree to and accept all

Florida FFA Emergency Medical Form, Waiver of Liability,

Personal Conduct Agreement and Promotional Release2013 State Convention

Event or Program

Student Permission FormThe Florida FFA Emergency Medical Form, which also includes the Waiver of Liability, Personal Conduct Agreement and Promotional Release (Permission Form) is the only form required for students to attend. This form must be completed and must be presented at the event registration. DO NOT mail the Permission Form to the State FFA office prior to convention. All signatures are required at the time of submission. Please note that this document must also be notarized. Students will not be permitted to register/attend convention without this documentation on file.

Registration FeesThe convention registration staff works hard to expedite the convention registration process. It is required that all attendees register at the main registration desk. There are multiple rates for convention registration. Please see the chart below. Upon registration, each attendee will get a commemorative convention button or single session ticket. A button or ticket will be required in order to enter the convention hall and other areas of convention. Each attendee will have to pass through a “gate” area outside of the convention hall and badges will be checked. Any member or attendee that does not have a button will be invited to visit the regis-tration desk to purchase a replacement badge before being allowed to enter the convention hall. Replacement badges will only be issued to those attendees that have already registered.

Fees are non-refundable . All payments are due at time of check in. If payment is not received at check-in, a credit card will be necessary to secure conference attendance.

DelegateResponsibilities

Official Delegate Responsibilities and RequirementsThere should be two delegates from your chapter in the appropriate place whenever business is being conducted at the convention. This includes delegate committee meetings, district meetings, business sessions, campaign sessions as well as general sessions.

Please remember that you must have submitted the Quality Chapter Report and be certified as a Quality Chapter by May 15th in order to seat voting delegates at the Florida FFA Convention.

COMMITTEE 1: STATE OFFICER SELECTION PROCESSPurpose: The purpose of the State Officer Selection committee is to reevaluate the entire state officer candidate screening process with the possibility to incorporate past experiences as we as the ability of facilitation.

COMMITTEE 2: EVALUATION OF CURRENT/POTENTIAL CDE’SPurpose: The purpose of the Evaluation of Current/Potential CDE’s committee is to give FFA members the opportunity to participate in a variety of CDE’s that touch base on different careers that are essential to the agriculture industry.

COMMITTEE 3: REEVALUATION OF THE QUALITY CHAPTER PLANNING GUIDEPurpose: The purpose of the Quality Chapter Planning Guide (QCPG) committee is to ensure quality chapters throughout the state of Florida by reevaluating the QCPG as well as ensuring diversely qualified chapters based on the complete Agricultural Education model.

COMMITTEE 4: RESOURCES FOR DISTRICT OFFICERSPurpose: The purpose of the Resources for District Officers committee is to encourage district officers to serve to the best of their ability while offering as many opportunities as possible to the members of the individual districts.

COMMITTEE 5: STRATEGIC PLANNINGPurpose: The purpose of the Strategic Planning committee is to strategically plan for the future of the Florida FFA Association by evaluating communication as well as resources available.

COMMITTEE 6: REEVALUATION OF SUB-DISTRICT OFFICEPurpose: The purpose of the Reevaluation of Sub-district Office committee is to set guidelines and requirements for sub-district office.

How can we help?CONVENTION COURTESY CORPSCourtesy Corps members will assist the convention staff with awards, CDE coordination, and arena logisitics. Serving as a Courtesy Corps member is a prestigious honor and rewarding experience. Selected members will be notified and wil be required to attend a mandatory meeting at the beginning of convention.

CONVENTION TALENTMembers will be selected to showcase their talent during a general session or various other events and stages at convention. If chosen, the member will perform at the time assigned to him/her and will provide the accompanying equipment (except for piano) for his/her performance. For those acts chosen to perform during a general session, Official Dress is required unless otherwise approved. Please note that there will not be a Talent Show this year at convention and selected members will only perform during assigned general sessions and various other events at convention.

CONVENTION STAFF OR WORKSHOP PRESENTERConvention staff will assist in the initial setup of the convention arena, office and various other event locations. Additionally, staff members will be responsible for executing various duties during convention as selected. Presenters will conduct a specified number of workshops as scheduled. Upon selection, convention staff will be notified by

email. All contacts will be made by May 15. Hotel accomodations will be provided for all staff and workshop presenters. A stipend may be offered to staff members, depending on the area of responsibility. Workshop presenters will be reimbursed for workshop supplies based on prior approval from state staff. Some meals will be provided for convention staff members.

CONVENTION MEDIA ROOMFlorida FFA is seeking college students in agricultural communications, telecommunications, public relations, journalism or a closely related field to work behind the scenes facilitating media relations during the annual state FFA convention and leadership conference.

Upon selection, mediaroom staff will be notified by email. All contacts will be made by May 15. Hotel accomodations and most meals will be provided for all media room staff.
