USER GUIDE TO ONLINE DATA ADMINISTRATION

The CCAQS Database Administrative Modules enable the CCAQS Data Manager to do a number of important functions remotely from one place. These functions include the following:

Delete all records associated with a file(s) from the database Maintain (update) reference tables Submit a SQL Query online Maintain the catalog of all submitted online queries View and respond to be data requests and user feedback.

The online administration tools are accessible only to the CCAQS Data Manager and are password protected.

Shown above are the number of Unattended Data Requests and Unattended Feedback/Error Reports. These notify the data manager that users have submitted requests and input and a response is still pending. Below that is an important tool that enables the data manager to delete air observation data from the database. Selecting this application results in the following being displayed. The data manager selects the server from which records/files are to be deleted. Where multiple databases exist on multiple servers, more than one server will be listed. This would be useful where perhaps both a production and development database exist on separate servers.

ADMIN USER GUIDE – File Deletion

The CCAQS Database Administrative Modules enable the CCAQS Data To delete a file the application accesses the Submittal_Log Table. Also, when a file is deleted a record of this action is placed in the Deletion Log Table. Listings from either of these can be obtained online via the two links just below the “Server” drop down selector.

If the file name in known it can be entered and deleted using the File Name box. This page also provides a summary of the current CCAQS Table record counts.

The Database Submittal Log Files displays the following. This window can be used for deleting one or more files. It leaves no trace of the records associated with a file(s) deleted in any of the related database tables.

All files in the database are displayed including File Name, Submittal Log ID, Process Date, Original [record] Count and Version_ID. The Version_ID is the version of the Data Transmittal Format Processing Application used to process the file into the system. For example, below are two files selected for deletion.

The primary use of this deletion application occurs where there is a need to replace the existing data file with a replacement file.

Selecting the Delete button provides a dialog with the opportunity to confirm deletion of the selected file(s).

Whenever a file is deleted a record is placed in the Deletion Log Table. This log file can be viewed online using the "View File Deletion Log" selection from the CCAQS Data File Deletion web page shown above on page 3. This log is displayed below. It provides the file name and date deleted. Also, the number of records deleted is included along with the 'tables' from which records were deleted. This enables the administrator to confirm complete deletion of all file related records.

ADMIN USER GUIDE – Maintaining Reference Tables

The reference tables in the CCAQS database need to be maintained and kept up to date. An admin application was developed to enable the data manager to “Add” new reference data to these tables. New Supports, Instruments, Methods, Parameters can be easily added to the database. More involved changes require the data manager go into the database to make changes

Selecting to Add a new Support(s), as in this example, opens the following form. Once completed the contents of this form are submitted and the new station, tower, etc. is added to the database.

ADMIN USER GUIDE – SQL Query

The data manager can write a SQL query online and submit it online. This can be very useful in conjunction with the Query Catalog. The Catalog contains the SQL statement that was used to obtain data by online users. This SQL can be copied and pasted into the Admin SQL Query application and submitted from there. It helps in resolving online query issues. The resulting dataset can be emailed to any user.

ADMIN USER GUIDE – Catalog Maintenance

To manage the Query Catalog the data manager uses the Catalog Maintenance application. This is useful for general ‘cleanup’ purposes and to delete test query entries, etc.

The actual contents of all SQL queries submitted online are available here. The data manager can copy and paste these into the SQL Query application. This is advantageous when working with online users to resolve issues and/or assist with query creation and submittals. As shown, the email address of each online user is included. This makes it easy to contact users. For instance, when the query results in 0 records the data manager might want to review the submitted query and contact the user to discuss user expectations.

There is a facility to delete queries from the Catalog by checking the box.

ADMIN USER GUIDE – Data Request Maintenance

The Data Request admin application is to handle direct data requests. If a user cannot obtain the data via the Data Retrieval Wizard then a direct request can be submitted. This is an opportunity for users to describe in detail and more completely their data requests. The data manager then handles these. Once the data are delivered the Processed status is changed from N to Y.

ADMIN USER GUIDE – User Feedback Maintenance

Users have online feedback options available. This User Feedback application enables the data manager to review user feedback for system improvements, etc. The data manager reviews the input and acts on it whenever possible or it is incorporated in the future plans for enhancements, improvements, corrections, etc. Once the input is received and a response is provided the Processed status is changed from N to Y.

The File Maintenance application enables all the CCAQS files to be maintained, archived and accessed in one location. It provides information on each file, such as, record count, data provider, process date along with a file editing function included.
