CyberPay is a high-end service bureau payroll processing system geared toward professional firms that provide payroll services to large client bases. The highly customizable system offers integration with Microsoft Office for reporting options and can support company departments, subsidiaries and separate geo-graphic locations, with the ability to manage an unlimited numbers of clients, employees, pay types and deductions. Benefits and accrual management functions are included, as well. CyberPay also includes trust account and trust reconciliation capabilities, and includes direct deposit and EFTPS options, along with a third-party payment utility.
In addition to a wide selection of payroll reports, the system offers compliance forms output, including 1098, W-2, W-3, 940 and 941. Pricing for CyberPay depends upon the number clients and employees being serviced, with the base license costing $6,000. The company also makes a client-side payroll application for mid-sized and large businesses called FlexPay.
EASE-OF-USE/ DATA ENTRYAs a Microsoft Access-based system, the program
opens within a run-time version of the Access data-base application (users do not need to already have Access), providing traditional Windows and Microsoft Office navigation functions, and providing for enhanced integration with Word and Excel. The program’s Main Menu provides access to primary functions, divided into two tabs for Client and Bureau (firm) information, and allows keyboard or mouse selection of various core areas, including Company Setup, Tax Setup, Employee Setup and Management, Payroll Processing, Payroll Inquiry and Utilities. Each of these primary functions has additional submenus of specific tasks.
Company and employee selection lists provide sorting, filtering and search options, offering simpli-fied access to files. The program also allows scrolling between employees to see overview data such as
previous checks, pay and benefits. The tabs provide access to more detailed information. Management of company and employee data, including creation of new companies and employees, is performed on tabbed windows that provide quick access to default pay rates, deductions, benefits, accruals, direct deposit information, tax liability accounts and EEO data. Users can set up templates for companies and employees, helping to speed initial setup functions by applying default settings. Additionally, customization features allow the creation of user-defined data fields.
Employee payroll is managed on a one-by-one basis, with a detailed screen that shows a rundown of gross pay including salary/hourly units, accruals, bonuses and business expenses, then moving into voluntary and involuntary withholding and deductions. The system provides an extremely detailed and custom-izable payroll processing workflow that is generally intuitive, although training is provided to help users take full advantage of the program’s more advanced functionality and workflow processes. ::::;
FEATURESThe CyberPay system supports all states and can
handle employees taxed by multiple states. It allows a virtually unlimited number of everything, from com-panies and employees to pay types, taxes, liabilities, deductions, benefits, time-off accruals and pay groups. The pay groups function can be used for paying different types of employees at different intervals or for managing departments and cost centers individually. The program includes support for hourly, salary, tipped, commissioned and piece-work employees, along with expenses, bonuses and pay advances. Retirement accounts, cafeteria plans, workers’ compensation tracking and reporting, and union dues are also managed through the program. For 401(k)s, CyberPay tracks employer contributions and employee vesting. Vacation and sick leave can be set to accrue based on hours worked, pay periods, months, annually or by other methods. As a service bureau system specifi-cally designed to handle payroll for many individual businesses, the pro-gram also includes specialized tools for managing these entities, including batch reporting and processing, advanced reporting and analysis capabilities, and funds management controls. The pro-gram’s Automated Bureau Trust Account Management with reconciliation enables tight fiscal control over multiple accounts per business and across several clients. Security features include client pass-words and an audit trail.
Among its notable productivity fea-tures, the system includes a workflow manager and billing system, and popup reminders for client and employee activities, including payroll runs and benefits management functions. An optional module allows remote, online access for data entry and reporting, along with employee self-service access
tools that let workers view pay stubs and reprint W-2s. :::::
REPORTING CAPABILITIESWith its Microsoft Office integration,
reports generated in CyberPay can be easily customized in Word and Excel to include client-specific logos or other information, or they can be saved to these formats. More than 100 standard reports include certified, summary and detail payroll reports, quarterly reports, liabilities, cash analysis, direct deposit, workers’ compensation, new hires, taxes, invoices, GL reports including labor and expense distribution and job costing, and other client data, as well as reporting at the payroll bureau level. Checks can also be customized to each company, with MICR encoding that allows printing of checks to blank or pre-printed stock. CyberPay can produce fileable forms W-2, 1099, W-3 and 941 and provides magnetic media reporting capabilities. :::::
INTEGRATION/ IMPORT & EXPORTAs previously noted, CyberPay is
Access-based, which enables integration with Word and Excel for editing and
output of reports; the program can also out-put to HTML, PDF and plain text formats. CyberPay can also import data in spreadsheet or text format and can export to QuickBooks GL. :::::
RELATIVE VALUECyberPay provides a thoroughly
comprehensive payroll management program for firms that provide large-scale payroll services to multiple (20+) companies of virtually any size. The system is capable of handling complex payroll issues, including multi-state employees, unions, workers’ compen-sation, third-party sick pay, multi-account direct deposit and benefits management, while also providing trust account management functions and electronic compliance and payment of liabilities. Monthly maintenance fees are $300 per month for 50 clients. Included in these fees are software updates and upgrades as well as a four-day on-site training package with lodging and meals at AdaptaSoft. Technical support and tax table updates are also included in the monthly maintenance fees. ::::;
