Secretary’s Contest

Now that clubs are starting and elections being held, you may be a 4-H club secretary. Our Association’s secretary, Kathy McNichols, is holding a contest this year for the best set of secretary’s minutes from a club. The minutes may be neatly hand-written or typed on a computer, should include minutes from each meeting, roll call from each meeting, motions and must be signed by the secretary, president and at least one of the leaders.

A 4-H secretary book is available on the 4-H website under “resources and support”, then “additional resources”, then “secretary record book” if you want a sample of how a secretary may keep notes and some guidelines to good note-keeping. Your record may also contain pictures from your club, stories from the members, and reports on special activities.

Your notes must be submitted to Kathy McNichols by November 1, 2012 and the prize will be awarded at the Awards Banquet in November. Remember neatness and presentation count!

Good Manners at MeetingsOur leaders work hard to provide interesting, informative and fun meetings for our members and we would like to thank them for what they do. We must remember these people are volunteering their time, energy, sometimes their homes and often supplies. Let’s all remember to follow a few good manners regarding meetings that will help make them more constructive and fun for everyone.-If you can’t make it to a meeting, call and let the leader know.- If you want to bring a non-4-H friend, call and ask the leader if it is okay.- Please put away all electronic devices while the meeting is on.- Be respectful of people who are speaking, other people’s property and their feelings.

Remember good manners make the meeting fun for everyone!!

ARE YOU THINKING OF VOLUNTEERING WITH 4-H

Our volunteers are screened and trained. The application form is on the 4-H Ontario website. Once you have submitted it to 4-H Ontario, you will receive a screening package in the mail which will include a CPIC you take to your local OPP office to be completed. Please do this as soon as you get the package as this is sometimes a lengthy process. Your references will be interviewed, and you will have an interview with the volunteer screening committee. The committee will then put in a recommendation to the Board to accept or decline a volunteer, the Board will vote on the volunteer and the results will be forwarded to 4-H Ontario. The final decision is up to them. You will also need to attend a New volunteer orientation session. The next one scheduled in our area is July 13th, 7:00pm. at 265 Cannifton Rd, Belleville. Renewing volunteers may also attend this session to update their training requirements. If you are interested in becoming a volunteer or have questions about volunteering with 4-H, please call Kathy McNichols at 613-378-0463.
