INTRODUCTION Welcome to MYO UNLIMITED! MYO UNLIMITED is a brand-new initiative designed to bring the best parts of Ensemble Program to you wherever you may be! While it is currently not possible for MYO to safely continue regular Ensemble Program rehearsals, we recognise that it is a place where young Victorians who are passionate about music come together to feed their passions, gain inspiration, and receive musical insights and inspiration beyond what can be delivered by schools. We want to continue bringing those students together. Contained within this document is information you will need to know as a participant of MYO UNLIMITED. Please ensure you have read the contents carefully and keep a copy on hand for future reference. A dedicated handbook and timetable have been created for each ensemble.

MYO Overview The MYO Ensemble Program comprises 9 ensembles for young musicians between the ages of 8 and 25. Our purpose is to enrich young lives through the power of music. A summary of the Ensemble Program is below.

MYO Office & Phones MYO’s staff work between 9am and 5pm, Tuesday to Saturday for the duration of MYO UNLIMITED. During this time, we recommend you call the MYO mobile (0417 124 486) as staff may be working remotely. Alternatively, staff can be contacted through the MYO email account: [email protected]. If you change your email or address details, please notify MYO immediately so that we can keep you in the loop. Similarly, if you are aware that you are not receiving email communication from MYO on a regular basis, please contact the MYO office to confirm your contact details.

Privacy Due to strict privacy policies, Ensemble Conductors, Coordinators and Tutors are not able to engage in communication with members directly other than through the pre-approved educational platforms which are monitored by MYO management. If you would like to ask a Conductor for advice, please do so in person around rehearsals or email the office ([email protected]) and we will assist you in your enquiry. MYO will never share your details with any person or organisation outside of MYO, unless consent is given in advance.

Some ensembles will have two scheduled session on some Saturdays. Participants will be sent to separate log in requirements for each session. Online attendance is mandatory for all sessions unless leave has been granted by the MYO office in writing. Any participants who do not have access to online programs should contact the MYO office. Please refer to the absence section in this handbook for further details.

Modules explained EP Online EP online focuses on keeping the ensembles together through unique online activities, musical challenges, silent rehearsals, discussions and breakout groups which have been created to inspire participants to continue progressing on their instruments. Each EP online session will run for 1 hour through a meeting on Zoom. EP Masterclass EP Masterclasses will be broken down into various groups according to instrument and level and will provide an environment for selected participants to be mentored by Ensemble Program conductors and tutors in an interactive masterclass session. Listen Lounges Listen Lounges are engaging sessions where MYO’s Music Director and invited guests share their love of music in discussion with participants. Renowned guests include

30 May: Li-Wei Qin International Cello soloist who has performed with many of the world’s great orchestras.

22 August: Elena Kats-Chernin

Prolific Australian composer whose works include a dedicated composition for the proposed 2020 MYO European Tour titled “Inner Angels”.

24 October: Andrew Bain Principal Horn of Los Angeles Philharmonic Orchestra and horn soloist on many recent John William’s scores including Star Wars. Andrew has also held positions as Principal Horn for the Melbourne and Queensland Symphony Orchestras.

21 November: Slava & Sharon Grigoryan

Slava is Australia’s leading classical guitarists and has performed extensively throughout Europe, Asia & Australia. Sharon is a cellist of the Australian String Quartet and is a former member of the Melbourne Symphony Orchestra. Sharon is also an alumni of Melbourne Youth Orchestras.

Open Stage Open Stages are online spaces that promote the social aspect of Ensemble Program by creating an open forum for each ensemble where participants and conductors can socialise and perform for each other in an informal, safe and monitored environment. Prelude Open for students in Years 10, 11 and 12, this extension learning opportunity provided by the University of Melbourne will provide the opportunity for eligible participants to participant in online learning seminars from leading faculty members of the Melbourne Conservatorium of Music regarding performance practice, careers in music plus more. Year 12 students will also have the opportunity to undertake an early audition for the Melbourne Conservatorium of Music. Online Orchestra project Incorporated into EP Online sessions, every participant will have the opportunity to participate in the MYO Online Orchestra which is a one-off online collaboration on a dedicated arrangement for Ensemble Program members. Further information regarding the project will be released in due course.

Platforms In MYO UNLIMITED all rehearsals will take place through the following online mediums: Zoom Zoom is a remote video conferencing service that combines live video, chat and meeting collaboration. All live MYO UNLIMITED sessions and classes will be held on Zoom. Information on downloading and creating a Zoom account can be found later in this document. Recommended Zoom account settings (including music-friendly audio settings) and microphone recommendations will be distributed in due course through the student portal webpage. Dropbox Dropbox is an online file sharing platform which participants have previously used to access practice parts. This will remain the same including all dedicated ensemble links for MYO UNLIMITED. Seesaw Seesaw is an interactive platform where Conductors and Coordinators will host an online education suite of tasks and resources to supplement the weekly webinar sessions as well as sign up for one of the masterclass opportunities available. It will also be a platform for participants to interact with their conductors and fellow participants in a safe online learning environment. Each ensemble will have a dedicated classroom page where they can access all the materials they may need. Access to your ensemble page will be distributed prior to 9 May.

ACCESSING THE LEARNING PLATFORMS Technical requirements for MYO UNLIMITED

1. A reliable internet connection - in order to maximise available bandwidth during Zoom meetings, please keep other users

on your network to a minimum and disconnect all unnecessary devices, eg mobile phones

2. A desktop or laptop computer, with - camera (external or inbuilt) - microphone (external or inbuilt) - headphone/speaker output - set of headphones

Zoom features and functionality are significantly reduced on tablets and mobile phones, so it is recommended you only install Zoom on a desktop or laptop computer. In order to provide optimal audio quality for the online music teaching environment, it is recommended you use an external microphone. This can be either a USB microphone or a normal microphone connected to your computer via an audio interface. USB microphones are generally the simplest and cheapest option. Headset microphones work well for speech but are unsuitable for playing music; if you are unable to obtain an external microphone you should use your computer’s inbuilt microphone instead. Please assist the running of the class by listening only on headphones instead of computer speakers; this reduces audible echo in the Zoom session and will greatly benefit everyone.

Online security measures MYO UNLIMITED takes the safety and security of our students very seriously and has put strict security procedures in place to safeguard everyone using our online platforms. Registration is required for all Zoom meetings; meeting details will only be sent out after your registration has been vetted and approved. You will need to sign up for a free Zoom account using the contact email address MYO has on file - this is essential for our security checks. Registrations from other email addresses will not be approved. If a student is under 16 an adult must sign up for the Zoom account. Correspondence regarding Zoom meetings will only be sent to your email address on file and must never be shared with anyone else. Full instructions for downloading Zoom and joining meetings are at the end of this handbook. Seesaw Before 9 May, you will receive an email with instructions on how to access the Seesaw platform. This will include a unique code to join your class which you must use within 7 days. If you neglect to sign up within 7 days, please notify the admin team and we can organise a new code for you. In the email will be instructions on how to sign up:

• Go to app.seesaw.me

• Choose “I’m a Student”

• Type in the code sent to you by email

• Finish signing up with your email account

If you already have a Seesaw account, go to your Seesaw account and:

• Click on your profile icon in the top left

• Select “Join Class”

• Enter the code sent to you by email

There are no special requirements for using Seesaw. A reliable internet connection is all that is necessary.

ETIQUETTE AND EXPECTATIONS As a member of Melbourne Youth Orchestras and a participant in MYO UNLIMITED you are part of a much bigger community who share the joy of music and playing music together even though we may not be physically together at this time.

• Be on time for your session. We recommend that you allow 15 minutes prior to each scheduled event to set up your workspace and follow the prompts to the online session. You should login and be ready to join your meeting no later than 10 minutes before your session as your Ensemble Coordinator will admit you from the Waiting Room during this time. Failure to log in on time may mean that you are locked out of your session entirely.

• All participants must turn their video camera on when joining a session and keep it on. If you are requested to start your video and do not do so, you will be removed from the session.

• As you would at a normal Ensemble Program rehearsal, ensure your instrument is warmed up and tuned prior to the start of the session and that you have a pencil, paper and water to hand.

• Know your Ensemble schedule and the varying session times. The time it was last week may not be the same as the time for next week.

• Be prepared to be actively engaged for each session. Conductors will have the same expectations regarding this regardless of whether rehearsals are in person or online.

• Ensure that during the session you have a quiet space that removes or reduces any distractions and interruptions. This includes removing any non-essential technical devices from the area to avoid distractions.

• Be appropriately dressed for your session such as the attire warn for a normal Ensemble Program rehearsal.

• Ensure that there is an appropriate physical background for their session. Virtual backgrounds usage by participants is not permitted while using Zoom.

• Submit work as requested by the ensemble conductor.

• Ensure that all behaviour is in line with the Child Protection Policy. All resources and Zoom meeting details are confidential and not to be distributed to anyone else, including other members of the program. By participating in this program, you agree to this condition.

ABSENCES & LATE ARRIVALS Absences In line with regular Ensemble Program attendance expectations, it is important that the MYO Absence Policy is followed in MYO UNLIMITED to respect your conductors and fellow musicians. The Absence Policy is in place to ensure that participants are fully engaged in the program and gain the most out of this unique experience.

• The maximum absences allowed is 2 per Term.

• If a participant is unable to log in to their session MYO should be notified by texting/calling the MYO Mobile on 0417 124 486. If a participant is marked as absent without notice, MYO may follow up any unexplained absences via email which will be sent to the primary contact email.

Should the participant foresee technical issues that may limit them from accessing the online sessions they are asked to contact the MYO office in advance of their session. All absence requests must be submitted to MYO in writing to [email protected], at least 10 days in advance.

Members are expected to organise their social activities around MYO activities. Absences will only be approved for sickness, compassionate grounds, compulsory school/university commitments, extension opportunities or participation in cultural or religious holidays or activities. If there is a clash of sessions (eg. Prelude Program and EP Online) a student can choose to attend the session that is most relevant for them, or leave one session early to join another. No absence will be recorded as long as the student attends one of the sessions scheduled at the same time.

Late arrivals All participants are expected to be logged onto their session on time as per each ensemble’s rehearsal schedule. MYO reserves the right to refuse access to the session should a participant be late. In this case, this would be counted as an absence.

RESOURCES AND PRACTICE PARTS Any digital practice parts and resources are provided to participants via Dropbox and SeeSaw. Participants will be emailed a unique link to their practice parts which they are expected to save and practice from during the week. No practice parts or resources may be shared with non-members for copyright reasons. MYO members are not permitted to share any other links to resources.

SAFETY, WELFARE AND CHILD PROTECTION POLICY Respect, Child Protection Policy & Code of Conduct Participants are expected to project a positive image of MYO at all times, treating all fellow participants and staff with respect; understanding that bullying (inclusive of cyberbullying), physical or verbal, or other types of abuse are considered unacceptable by MYO.

• Do not use language that is offensive, sexist, demeaning or racist • Do not fight or use bullying or aggressive behaviour

All participants and parents/guardians of participants in MYO programs are expected to abide by the Child Protection Policy, Code of Conduct and Procedure, viewable via the MYO website: https://myo.org.au/about/policies-and-procedures/ MYO reserves the right to remove any participant from the Ensemble Program and MYO UNLIMITED if their behaviour is deliberately and consistently disruptive and/or detrimental to the well-being of themselves or other participants, or if it contravenes the Child Protection Policy, Code of Conduct and Procedure.

MEDIA & IMAGE CONSENT All online sessions including EP online, masterclass and seminars will be recorded for quality assurance and record keeping. These recordings will not be distributed to any participant or third parties and will be stored by MYO for 12 months at the date of recording. In conjunction with the recording of sessions, manuscripts of any written information as part of the chat function in zoom will be kept on file for 12 months.

As per the 2020 Ensemble Program participant handbook, as an enrolled member of the program you are consenting to Melbourne Youth Orchestras to film, record of photograph groups and/or individuals during sessions.

Signing up for a Zoom account Sign up for a free Zoom account using the contact email address MYO has on file for you. For security reasons MYO can only approve Zoom meeting registrations from your contact email address. Once your registration is approved you will access the meeting by logging into the Zoom account associated with the contact email address. For students under 16 an adult should sign up for the Zoom account under their own name and be the one to log in and access the meeting alongside the student. Please make sure to be on hand should they require assistance. Using your desktop or laptop computer (Zoom on a tablet or mobile phone is not recommended for MYO Unlimited), browse to: https://zoom.us/

5. Zoom will send you a sign-up confirmation email. Open the email and click “Activate Account” to verify your email address

6. Tick “No” to the question “Are you signing up on behalf of a school?”

7. Complete the account sign-up by adding the account holder’s details. Click “Continue”

8. In the “Don’t Zoom Alone” page, click “Skip this step”

Zoom Software installation At the end of the account activation process, follow the prompt to start a test meeting. This will install the software on your computer and prompt you to do a meeting test. Alternatively, you can download the Zoom Client for Meetings using the Resources drop-down menu on the top right-hand corner of the web page and join a test meeting separately. Click “Start Meeting Now” as you finish activating your account or download the Zoom Client via the Resources menu.

The software should start to download. Install the Zoom Desktop client on your machine (this picture shows the installation package for a Mac computer).

When the software has installed, sign into your account. If you chose Start Meeting Now, you will be taken directly to a test meeting where you can test your audio and video.

Zoom Video Tutorials Zoom has some excellent short videos & FAQs online which walk you through the basics. Browse to Zoom’s Video Tutorials via the Resources menu on the Zoom website. Select the “Join a Meeting” video.

Joining a Test Meeting If you haven’t already done this as part of the account activation process, there is a link to join a Test Meeting at the bottom of the “Joining a Meeting” Video Tutorial.

Registering for MYO Unlimited Zoom Meetings Ahead of your scheduled meeting you will receive an invitation to register from the [email protected] email account. For regular EP Online Saturday meetings, invitations to register will be sent on a Wednesday. Please register by no later than midday on Friday. EP Online registrations will be approved in a batch on Friday afternoon. Once approved, you will be sent an email containing meeting details and the password by COB Friday. Registration Instructions Click on the registration link in your invitation email. You will be taken to the Meeting Registration page.

Enter the student’s first and last name, the email address MYO has on file and the student’s ensemble, then click “Register”. Confirmation will appear that your registration is now pending approval.

Joining the Zoom meeting Once you have received your meeting details, you are ready to sign in and join the meeting. Please sign in at least 10 minutes ahead of time so the meeting host has time to admit everyone before class starts. You be placed in the meeting Waiting Room until the host is ready to admit you.

1. Launch the Desktop Client software on your computer and sign into your account (don’t click Join a Meeting).

2. In your account Home page, click the Join button.

3. Enter the Meeting ID and student’s name, then click “Join”.

4. Enter the meeting password.

5. Click “Join with Video”.

6. Wait until you are admitted to the meeting. You can do a microphone and sound test while you wait. Don’t forget to wear your headphones.
