Doggie Dash Sponsor Regulations

1. APPLICATION PROCESS: OHS reviews all applications to ensure that all items and services complement our mission and are not in

direct competition with our sponsors. If you have any questions about this form, please email [email protected] or call (503) 416-

7084. Applications must be filled out completely before they are submitted; an incomplete application will be

returned to the sponsor to provide the missing information.

2. INSURANCE: Fire, loss, theft, workers compensation (if applicable) and liability insurance in limits of $1 million and an

aggregate of $2 million, must be procured by the Sponsor at the Sponsor’s own expense. The OregonHumane Society must be named as an additional insured. Liability certificates may be obtained as aninsurance rider through your current insurance provider.

Proof of insurance does not need to be submitted with the application, but Event Management([email protected]) MUST receive proof of insurance by 4/24/20.

3. BOOTH/TABLE SPACE: OHS will determine the location for each Sponsor’s space. Any locations determined prior to the event

day may be changed or altered on the day of the event by event staff. Sponsors will be provided with one (1) 8’ table and two (2) chairs, unless prior arrangements are made

with OHS. Sponsors with booth space (10’ x 10’) or (10’ x 20’) must provide their own canopy or arrange for a

canopy through OHS.i. Sponsors at the Patron level ($2,500) and higher have the option of using a complimentary

canopy provided by OHS. This preference must be indicated on the application form below.ii. Sponsors at the Supporter level ($1,000) can provide their own 10’ x 10’ canopy or arrange

to rent a canopy through OHS (cost: $200). This preference must be indicated on theapplication form below.

Sponsors in the Small Business Pavilion will receive one (1) 8’ table and two (2) chairs, and do not havethe option of bringing or renting a canopy.

No water connections or electrical connections are provided at vendor booths. You are not allowed to share your booth with another company or organization, unless approved by

OHS Corporate Relations Officer.

Promote your company’s partnership with OHS and earn a FREE 10’ x 10’ booth space and canopy atDoggie Dash by forming a Doggie Dash team and raising $3,000 or more for the animals by 4/18/20! Forfull details see the Doggie Dash website www.oregonhumane.org/doggiedash.

4. BOOTH SETUP: Booths can be set up between 3:00-8:00pm on Friday, 5/8/20, or 5:00-7:00am on Saturday, 5/9/20.

Vehicles need to be removed from park property by 7:00am. Booths must be packed up immediately following but not before the end of the event at 1:00pm. OHS will provide security in the park Friday night, but is not responsible for stolen goods.

5. DAY-OF EVENT REGULATIONS: Non-profit organizations are allowed to hand out information, but may not solicit donations. Neither vendors nor others may sell pets on or near the event grounds. Items given out should be safe for children and pets. Please ask owners before giving their pet a treat

due to possible pet food allergies. You may bring your dog with you! Dogs need to be kenneled or kept on a leash at all times. Pick up after

your pet. Dogs must be licensed and current on Parvo and Rabies vaccinations. Do not bring female dogsin heat. Dogs must have good temperaments.

6. OTHER SPONSOR & VENDOR RESPONSIBILITIES: Booth sponsors & vendors are responsible for:

o Fees associated with any damage a vendor causes to the park or any Doggie Dash related property;o The safety of all money and items;o Cleaning up their area after the event;o Transporting all trash, compost and recyclables (i.e., cardboard) to their designated on-site

dumpsters, located under the Morrison Bridge. Per ADA requirements, vendors will make their services and products available to all people, coming out

of their booth area to assist a customer if needed.

7. OTHER REGULATIONS: No polystyrene foam products will be allowed for food or drink distribution. Please understand that if any of the terms described herein are not followed, OHS may refuse your

participation in this and future events.

8. CANCELATION POLICY: Sponsors or vendors who cancel on or before 4/24/20 will receive a refund of one-half the total fee.

Sponsors or vendors who cancel after 4/24/20 or don’t show up for the event will not be entitled to arefund.

Raffle Item Requirement: Sponsors are REQUIRED to donate an item or items to be used in the Doggie Dash Raffle. This raffle helps raise valuable funds to support the animals, and is another great opportunity to promote your company at the event.

Item(s) must have a retail value of $25 or more. Non-profit organizations are exempt from thisrequirement.

Please bring the raffle item to the event. A Doggie Dash representative will pick-up the item from yourbooth and provide a donation receipt at that time. Be sure to include promotional materials (i.e.,business cards, brochures, etc.) to be displayed with your item. If you bring a gift certificate, please alsobring a description of the gift certificate and a frame/display case.

Upon receipt and review of your sponsorship application, if approved, an OHS representative will be in touch to provide you with a link to either pay for your sponsorship online with a credit card, or to request an invoice. Please note that sponsorships are not considered confirmed until full payment is received by OHS.

Terms of Service: I, as vendor/legal representative of the above organization, agree to participate in the 2020 Doggie Dash, a benefit for the Oregon Humane Society, on May 9, 2020. I have read and understand all rules and regulations outlined in this packet, and agree that these regulations represent a contract; no other agreement shall be binding between the parties, unless in writing and signed by an authorized Oregon Humane Society representative.

Release: I hereby hold harmless and release the Oregon Humane Society, iHeart Media, the City of Portland, Multnomah County, Doggie Dash organizers, volunteers, underwriters, sponsors, employees, as well as the owner of the area where the event is held and the owners of any Doggie Dash related property, for any action relating to the Doggie Dash, including theft, damage or injury. I agree to pay any reasonable attorney fees and costs incurred by the Doggie Dash or its organizers as a result of actions by me that are covered by this agreement.
