Dear Graduand,

In order to make the most of your graduation ceremony, please read the information contained in this guide. If you have any questions please don’t hesitate to contact Student Administrative Services.

In the lead up to your ceremony: Intention to Graduate Possibly the most important out of all the things you need to do – let us know you intend to graduate and if you will be attending the conferral ceremony! UNSW Canberra students can now do this via myUNSW. Please refer to page 8 for a step by step guide. You may have already completed a hardcopy intention to graduate form, but we are asking all students to also complete the online process via myUNSW during the transition period. Release of Semester 2 Results Semester 2 results will be released on myUNSW on Thursday 26 November. In order to be processed in time for conferral, any missing or incomplete results must be finalised by Friday 27 November 2015. Potential graduands can track their graduation status via myUNSW. Any student deemed ineligible to graduate will be notified on Monday 30 November. Conferral Ceremonies The UNSW Canberra at ADFA conferral ceremonies will be held on Wednesday 9 December in the Adams Auditorium. The venue will open one hour prior to the ceremony. Your ceremony time will depend on the study discipline you have completed. The two ceremonies are: Morning ceremony (commencing at 10am) Business, Humanities and Social Sciences Afternoon ceremony (commencing at 2pm) Engineering, Science and Technology A full listing of which degree will be allocated to each ceremony can be found at www.unsw.adfa.edu.au/study/graduation

If you are not attending your ceremony: Please indicate that you are not attending via myUNSW – this will give you the opportunity to update your email and mailing addresses. A step by step guide is available on page 8. Your testamur and academic transcript will be posted to your mailing address in myUNSW – please check that this address is correct! Testamurs are delivered via registered mail or via overseas courier to international addresses. Please note that couriers do not deliver to overseas postal boxes as the item must be signed for on delivery. You will receive these documents within 6 weeks of the UNSW Canberra Conferral Ceremony, ie 6 weeks after 9 December 2015. If you require evidence of your degree completion for work purposes, please email [email protected] and we can provide you with a formal letter. If you are unable to attend the ceremonies in December you are welcome to attend a ceremony at UNSW Kensington. The next on campus ceremonies will be in June 2016. If you would like to delay your graduation ceremony to June 2016 please select ‘Not Attending – Mail’ and email the Graduations team in January 2016 to request to attend at [email protected]. If you are attending your ceremony: Get rid of Loans and Debts Please be aware that in order to graduate it is a University requirement that all materials must be returned, and all fines/fees must be paid. This includes library books and library fines/fees. You may check what is on your library account by going to the Academy Library’s website and clicking on ‘myLibrary’ (located below the Search box on the Academy Library’s front page). Please ensure that all library materials are returned and fines/fees are paid by 26 November 2015. Get your Academic Dress The correct academic dress is compulsory and is hired through Scene to Believe at www.scenetobelieve.com.au/unsw The academic hire fee of $95 includes your gown, hood and trencher. For all graduates (excluding PhD) the trencher will be yours to keep as a gift to

mark the special occasion. The deadline for the hire of academic dress is midnight Sunday 22 November 2015. If you find you are ineligible for graduation a full refund will be provided. When hiring your academic dress you can also pre-purchase photography, framing and merchandise. These will also be available on the day. Academic dress hire will be available for collection for all graduands between 8.30am and 5pm on Tuesday 8 December from the 1st Floor of the Academy Cadets Mess. Get your Tickets All graduating students will receive 3 tickets for their family and friends.You will be able to specify via myUNSW how many tickets you require (up to 3). Tickets will be available for collection at the gowning service area in the Academy Cadets Mess (ACM) when you collect your academic dress. Do not lose your guest tickets! Guests will not be able to enter the venue without a ticket. At this stage there are no extra tickets available for either ceremony. If you would like to request additional tickets you can email [email protected] If there are additional tickets available you will be advised at the end of November 2015. Make a special seating request If you or your guests have a mobility issue and require special seating such as no stairs or the use of a wheelchair bay please email [email protected] as soon as possible. Get Briefed A briefing session will be held for all graduands at 2.30pm on Tuesday 8 December in the Adams Auditorium. Please ensure you attend and are prompt. You’ll receive instructions on what will happen during the ceremony including how to get on and off the stage, and how to doff your cap, and also the proceedings after the ceremony. Get There The conferral ceremonies will be held in the Adams Auditorium. A campus map is attached for your guests information.

On the day of your ceremony: Get Dressed For military graduands the dress requirements are: Navy – S3; Army – 2F; and Air Force – 1B. For non-military graduands the hood is designed to hook under a tie, and you will be more comfortable if you wear one. If you are not wearing a collared shirt and a tie, you will need the hood pinned to the gown to stop it from sliding around. Please note that you will need to walk up and down stairs so wear shoes you are confident walking in. Staff from Scene to Believe will be available in the Adams Auditorium from one hour prior to the ceremony to help you with your academic dress. Get Parked Guests should park in the designated car parks marked on the Campus Map on page 12. Get Photographed Photography will be available all day, but to avoid the queue you can get your photography done before the ceremony. The photographer will give you a prop to hold for the photos so you don’t even need your documents. Our photographers will take the photograph you want, so get creative! Before the ceremony is also a good time to take some fun photos on campus, but don’t go too far away! Get Ready You will need to hand over your personal belongings to your guests. If you are handing over your phone, please place it on silent first. Make sure your guests have their tickets – they will not be able to take a seat without a ticket! Guest seating and the graduate registration desk opens 45 minutes

before the ceremony, and each ceremony runs for approximately 1.5 hours with no interval. Please note that there will be a designated area in the foyer for prams as they cannot be taken into the Auditorium. Get Registered and Seated

We need you registered and in your seat 20 minutes before your ceremony. The registration desk is located on the mezzanine of the Adams Auditorium. The registration desk opens 45 minutes before the ceremony and closes 20 minutes before. You will go directly from the registration desk to take your seat so you must be in your academic dress. You will not be able to see your guests again once you have registered. Your registration card will have a seat number on it, and this is your seat. There are many like it, but this one is yours. Please sit in it! Graduate Reception You and your guests are invited to attend the Graduate Reception in the Academy Cadets Mess immediately after your conferral ceremony. There will be finger food provided, and runs for around 1.5 hours. Also available at the reception (and all day): • Individual or group portrait photography • Testamur framing and plaques • University of New South Wales memorabilia

Return your Academic Dress Graduands must return their academic dress to the gowning area in the Academy Cadets Mess by 1pm for the morning ceremony and by 5pm for the afternoon ceremony. There will be a late fee of $100 if the academic dress must be packed and returned to Sydney.

The Ceremony – Order of Proceedings 1. An announcement is made prior to the start of the ceremony detailing the members of the official party.

2. Graduates and guests are asked to stand while the academic procession enters. Graduates must put their hats on while standing.

3. Graduates and guests remain standing for the singing of the National Anthem. Graduates must remove their hats for the anthem.

4. Graduates and guests are then seated while the officiating Chancellor (Chancellor, Deputy Chancellor or Pro-Chancellor) welcomes the assembly.

5. Graduates are then directed onto the stage, individually, to receive their testamur and transcript.

Ceremony staff ask you to stand and file out of your seating row; they check your name and take your registration card, and then direct you towards the stage.

Your name is checked again, and you are directed to the first white marker at the side of the stage, where you stay until the Duty Dean reads your name (Doctoral candidates wait until their thesis title is read as well).

You then walk to the second white marker in the centre of the stage and stand in front of the Chancellor with your back to the audience.

6. When facing the Chancellor:

Take your testamur with one hand. (Your photo is taken when you receive your documents from the Chancellor.)

Doff your cap to the Chancellor by touching the tip of your cap with your other hand and either lifting your cap or bowing your head.

Turn and walk down the centre stairs back towards your seat, as directed by ceremony staff.

7. After all graduates have been presented with their testamur and transcript, the Chancellor introduces the guest speaker, after which there is a Vote of Thanks.

8. All graduates and guests are asked to stand while the academic procession retires. Graduates are directed by ceremony staff to follow the academic procession from the auditorium to the foyer. This is the conclusion of the ceremony.

Intention to Graduate via myUNSW: UNSW Canberra students can now provide notice of their intention to graduate and attend their graduation ceremony via myUNSW. Even though you may have already completed a hardcopy intention to graduate form, we are asking all students to also complete the online process via myUNSW during the transition period. Please log into your myUNSW Graduation Details page and RSVP (choose Attending or Not Attending) to your graduation ceremony by Sunday 15th of November.

What you need to do: Update your email addresses. You may receive emails with further information regarding your time at

UNSW and our alumni association. So we can contact you, after your zmail expires please include an alternate email address.

Update your mailing address.

Check your formal name. Check Personal Details>Preferred Name>Formal Name is correct (your formal name will be printed on your graduation documents). If you have any queries about your Formal Name, contact [email protected]. Your formal name must be updated by 15 November 2015.

RSVP to your ceremony.

Check your degree program, majors/specialisation. If you are not sure they are correct or you can’t find them, contact [email protected]

All of the above information must be correct by 15 November 2015 to be printed correctly on your graduation documents. If a change is made after this date you will incur a fee for reprinting.

How to do it: 1. Log onto your myUNSW and go to your ‘My Student Profile’ tab

2. On the left hand side of the screen under ‘My Student Services’ click on the ‘Graduation Details’ link

3. Click on the ‘View Graduation Details’ button on the bottom right hand corner of the screen

4. Some of the information on this page might not apply to UNSW Canberra students. Please ignore all

mention of the $55 graduation fee.

5. Change your attendance type by using the drop down box in the Graduations Details section.

Select from the below options in the drop down menu: • Attending • Not Attending – Mail: your graduation documents will be sent to you after your scheduled ceremony

date by either registered post within Australia, or by TNT courier outside Australia • Not Attending – Collect: your graduation documents will be available for collection from the next

working day following your scheduled graduation ceremony date from the SAS office

6. After you have checked all information is correct ensure you tick the box under the ‘Confirm Contact Details’ section before you save. If you do not check this box, your changes will not be saved.

If you are having difficulties logging into myUNSW: Your myUNSW account will remain active for 18 months after you have finished studying, but your password might expire. You can reset your password by visiting the UNSW identity manager. If that doesn’t work for you, please contact the IT help desk. Indicate your Intention To Graduate via myUNSW at https://my.unsw.edu.au/ by 15 November 2015.

Check your details are appearing correctly on myUNSW, such as your name, degree details, majors/specialisation, and attendance status. If there is an error email [email protected] immediately.

Check that your contact details are correct on myUNSW. Please update your home and mailing addresses, telephone numbers and personal email addresses (other than your ADFA student email account).

Check that you have cleared all your outstanding debts with the University. Debts are all fees, loans, library fines and equipment.

Ensure you have paid for the hire of your Academic Dress at www.graduations.scenetobelieve.com.au/unsw by midnight 22 November 2015.

Collection of academic dress and graduation tickets from the Academy Cadets Mess on Tuesday 8 December. You need to bring ID and sign for your tickets.

Ensure that you have registered at the Registration Desk on the mezzanine of Adams Auditorium between 9:00am and 9:30am for the morning ceremony, and 1.00pm and 1.30pm for the afternoon ceremony.

Ensure that you are seated in the Adams Auditorium no later than 9:30am for the morning ceremony and 1.30pm for the afternoon ceremony.

Academic dress needs to be returned to gowning by 1.00pm for the morning ceremony and 5.00pm for the afternoon ceremony. There is a late fee of $100.
