GUIDELINES ON FREIGHT FORWARDING ARRANGEMENTS

We take pleasure in informing you that Helka Exhibition Services Ltd. has been appointed by the Organizer as the official freight forwarder for CHINA COAL & MINING EXPO 2015. As the Official Freight Forwarder, we shall provide you with our comprehensive shipping and handling services for any exhibition materials you intend to ship to the exhibition. To avoid problems and additional expenses, you are requested to read this set of Guidelines very carefully and send your documents and exhibits to us as per our deadlines and collection period. 1. 2. CONSIGNMENT INSTRUCTIION

All shipment must be arranged as “FREIGHT PREPAID” and consigned as follows:

For both sea and air shipments, cargo must be landed and free for collection by our freight collection period. Otherwise, we shall not be responsible for late delivery to booth. Exhibits sent by courier or by post will be treated as airfreight shipment.

If your shipment is not consigned in accordance with the above consignment instruction, you must bear all the consequences and extra expenses arising therefrom.

3. DEADLINES AND COLLECTION PERIOD

To ensure timely delivery of your exhibits, it is utmost important for us to receive your documents and exhibits by our following deadlines. In case of any late arrival of documents and exhibits, though we will do our best to speed up the delivery, no guarantee can be given. A. 4. EXHIBITION DOCUMENTS The Declaration Form For Temporary Import Exhibits (Form H1) is the only legitimate document accepted by Customs for clearance. You must submit this form to us without exception. When completing this form, please use at least one page for each package of your exhibit. Try to make your declaration as detailed as possible, all items must have exact quantity and bear a value. You will be fined if you put other things inside your case other than what you have declared.

5. CATALOGUES AND ADVERTISING MATERIALS All technical information and advertising materials are subject to Customs censoring before they can be displayed or distributed at the exhibition. Our staff will collect them from you at the fair before the opening.

Beijing Customs have strict restriction on the number of CD and DVD you can bring to this exhibition, even these CD and DVD are just for distribution. The maximum allowable quantity you can put into your shipment is only 199 copies. Souvenirs like clocks, watches and calculators are taxable in China. A relevant import license is required by the Customs as well, you are recommended not to send them to the exhibition. Other gift items also considered as taxable if their unit price is more than US$5/unit or quantity is large. All alcohol and tobacco became taxable regardless of quantity, even if they are intended for self-consumption during the exhibition.

When Taiwan or Hong Kong is to be mentioned on your catalogues or advertising materials, please avoid using any expression which may cause the Customs to misinterpret that they are in a position of an independent country.

6. HAND-CARRIED EXHIBITS

If you decide to hand-carry your exhibits to the show and your exhibits are detained by the Airport Customs, please bring the detention receipt to our on-site staff immediately. We will assist you in Customs clearance and pick up your exhibits from the airport. Normally, these procedures will take at least one to two working days. So if you decide to hand-carry, you

should go to the show earlier. According to Customs’ regulation, detained goods should be returned overseas as a shipment, please contact our on-site representative for arrangement. In case you have items borrowed locally or within China, you should register details of your items with the organizer before the show opens.

7. HEAVY AND OVERSIZE EXHIBIT

If you have heavy and oversize exhibits, you must be on-site early to direct the operation of uncrating and positioning. If crane or forklift is required for installation of equipment, please send your requirement to us as early as possible so that we could arrange contracting such equipment in advance. A quote will be given after receiving your inquiry.

8. QUARANTINE INSPECTION

All wooden packing materials such as pallets, crates, boxes and dunnage used to support or brace cargo must be treated and, marked prior to arrival in China. To certify treatment, the wood packing materials must be marked with a unique graphic symbol approved by IPPC (International Plant Protection Convention). Markings must be legible, permanent, and in a visible location preferably on at least 2 opposite sides of the article. If the exhibits you send to the show are packed with non-wood packing materials, please use your company letterhead to prepare a “Declaration of Non-Wood Packing Materials”, make sure you mention “China Coal & Mining Expo 2015”, total number of package(s) and country of origin on this declaration, then properly sign it and stamp it with your company stamp. Please forward an original copy of this document to Consignee before your sea-shipment arrives in Xingang. For your air-shipment, please attach an original copy of this document with the Air way bill to Beijing.

9. PACKING AND ITS LIMITATION Please note that the exhibits are repeatedly loaded and unloaded, thus they must be professionally packed to suit long distance transportation. Measures must be taken to protect the exhibits against damage and adverse weather conditions. We suggest that all exhibits should be securely packed in sturdy waterproof wooden crates suitable for return shipments after the exhibition. Carton is not recommended, especially for valuable and fragile items. Helka cannot be responsible for the consequences associated with improper packing. Exhibits exceeding the following limitations may cause difficulty in transportation, please consult us before shipping:

11. CUSTOMS CLEARANCE IN CHINA

The exhibition center is regarded as a Customs-bonded area. As the Official Freight Forwarder for the exhibition, we are responsible to the Customs for clearance of all the materials coming in and going out of the exhibition center. Thus you should not allow your exhibits to be taken away from the show site without prior arrangement with Customs through Helka.

12. UNCRATING AND RECRATING OF EXHIBIT Helka will provide labor and equipment to assist you in uncrating and positioning of exhibits.

You must be onsite and available during move-in to supervise and be responsible for these operations since they will be performed at your own risk. In some circumstances, however, the Customs at the port/airport or fairground may inspect the case without your presence.

During the exhibition closing, you should also supervise the dismantling and re-crating of your

exhibits. We suggest you to prepare some new packing materials for your return exhibit because these materials are not available in China.

13. INSURANCE Please note that our freight charges do not include insuring your exhibits and all work is

undertaken by Helka at owner's risk. Therefore you should make certain that all shipments are covered by a full comprehensive policy from the time of dispatch up to your booth, the duration of the show and for the return transportation after the show. Please bring a copy of your insurance policy to the show for reference.

14. CLOSING OF EXHIBITION During the show, our on-site staff will distribute the following documents to you, please let us

have your disposal instruction for your exhibits. a) A copy of your Declaration Form for Temporary Import Exhibits (Form H1); b) Form H3 - Instructions for Disposal of Exhibits.

Closing operations will commence after visitors leave the hall, Helka will then start to return the

empty cases to the booths, assist you in re-crating and undergoing Customs formalities.

15. RETURN OF EXHIBITS All exhibits which have not been sold, transferred to bonded warehouse, consumed, given

away must be returned to Hong Kong or overseas after closing of the exhibition. Customs do not allow exhibitor to abandon their exhibits in China, exhibits must be re-exported

to overseas and exhibitor should be responsible for all the shipping costs. All return shipments, will only be arranged when all payments are received by Helka. 16. PAYMENT We will fax our invoice to you and the original copy will be followed by mail, please make

payment upon receipt. 此清单是中国海关唯一確定的清关報表,各展商均需无例外地填寫清楚,并交回翹运公司. 填寫清单時,每箱展品请以独立的清单申報,并详细列出展品的品名、

規格、数目及单价. 如開箱時海关发觉清单申報與事实不符,將会引至被罰,展 商必須自行负责.

所有宣传品、礼品及说明书等,均需經海关預先審查,否則,展商不能发放或使用. 翹运公司代表会在开展之前在現场向展商收取样品, 请预备各样一式两份交予 海关.

海关对 CD&DVD 的入口数量有严格限制，最多只能带 199 张来展会。

一般來说,海关会向钟表、計算器等小礼品征稅. 除此之外,这些物品还需办理进 口许可证, 建议展商不要运来这类物品. 至於其它宣传品,若其价值超过五美元或数量較多,展商亦可能需要繳付稅金. 所有烟酒, 不论数量多少, 都必需纳税.

宣传品中,如涉及台湾或香港時,在措辞上请注意避免造成這些地區相當於一个国家的印象.

展商若以手提方式帶展品到展览会,展品可能会被海关扣在机場, 如果发生此情 况, 请马上将扣单及护照副本交给我司现场同事,我司会尽快安排报关及提取展 品. 办理提货手续正常需要 1-2个工作日, 建议提早到展会. 否则, 我司不能保证

在开展前把展品提出来. 又根据海关法例, 手提展品需以货运方式运离中国. 展 商如决定手提展品离境, 只可选择北京机场. 请在离境前两天跟我司同事联系 及提供离境航班及日期. 闭展后, 展品会被送到海关监管仓库存放, 展商离境那 天由我司安排将展品送到机场, 在禁区内交回手提展品予展商及协助出口报关.

如有自送入馆的国内展品, 请展商在开展前向主办单位详细登记展品资料.

有重型展品之展商必須及早到达現场,以便指导展品的安放. 如需租用吊机或剷 车來安裝机器,请及早提出申请,并提供详细的展台佈展图,有关服务報价翹运公司会另行通知.

8.8.8.8. 包装材料的检疫要求包装材料的检疫要求包装材料的检疫要求包装材料的检疫要求 所有木质包装材料包括起支撑作用的支架、托盘等, 必须在到达中国前完成相 关熏蒸处理并盖有明显标志. 木质包装处理必须经 IPPC (国际植物保护协会) 认证, 永久及清楚易读的标志至少要出现于外包装的两面明显位置上.

对于非木质的包装材料, 请用贵公司抬头信纸开具”非木质包装证明”, 并注明用 于 “CHINA COAL & MINING EXPO 2015” 、总件数及产地等, 请加盖贵公司公章及签名.

请将此”非木质包装证明”的正本在海运展品到达新港之前快递予收货人. 至于 空运展品, 请将此”非木质包装证明”的正本附在随机文件里, 随货到北京.

由於展品在展览前后反复裝卸,展品的包裝必須专业及适合於長途运输. 展商应 採用适当措施,防止展品損坏或因天气不穩定而造成影响. 所有展品应裝在防 水及堅固的木箱內,方便回运時再度使用. 紙箱不宜用來包裝展品, 特別是貴重 或易損的仪器. 由於包裝不善所引起的後果,翹运公司不会负责.

展览館属海关監管區域,海关要求主办单位指定的运输代理负责代各展商办理 清关手手续,故展商如未取得海关同意,不能將展品帶离展场.

翹运公司会提供人力及机械協助展商开箱和重件定位,由於作业过程的风险是由展商自負的,展商必須在场指导這工作. 展商必需注意,駐港口或展览館海关 有权於展商不在场的情况下开箱查验.

在閉館時,展商亦必須指导展品拆卸及裝箱,由於在国內不容易买到适当的包裝材料,展商应自备包裝材料作回运之用.

在展览闭幕前,翹运公司將安排发回下列文件給各展商: a) 展商先前所提交的暫准進口展览品報关清单副本(Form H1) b) 翹运公司的展品处理指示书(Form H3)

展览会結束当天大会清场後,翹运公司开始把空箱從存放处陸续运回展台,并協助展商裝箱及办理清关手续.
