Click Submit for approval. Do NOT click Unsubmit for Approval. Email Carol Francis [email protected] any changes.

Once approved, change the maximum seating if needed. Default is 32. Select Enroll under Attendees tab if you need to enroll people.

Step 5

Instructor Responsibilities

Instructor must add Learning Outcomes and Agendas in Notes tab. Instructor or course creator prints sign in sheet. Instructor writes attendance on sign in sheet.

Ab if absent, unenroll if excused absence, 50% credit, left 1 hour early, etc. Instructors MUST sign their name at the top of the sign in sheet. Remind participants to sign in (no signature = no credit). Return sign in sheet to course creator within 2 days ­ only if instructor is not completing steps 6 & 7

Reconcile Attendance

Record # of signatures and initial top of sign in sheet. In Eduphoria Workshop Enroll additional participants. Mark participants absent if they were no shows. Unenroll participants who gave prior notice or valid reason for absence. Grant custom credit for those who left early / came late.

The Manage Tab All courses created in Eduphoria Workshop will require approval by Professional Learning for

consistency prior to publication. Create courses NO LATER THAN 5 days prior to the start of the course. Courses requiring revisions will be returned (rejected) for you to fix and resubmit.

Step 1: Create a Course for Approval 1. Click the Manage tab on the left hand side. 2. Click Course Management. 3. Click Courses. 4. Click Add New Course in the bottom left of the screen.

The New Course Wizard will appear.

Choose one: New, empty course OR Copy existing course

Secondary: iTunes U a Powerful Tool in the Classroom This 6­hour hands on workshop participants will explore the power of iTunes U, find out how to create your own course for your class, and / or publish it for the world to see!

Pre­K: Scaffolding and Differentiating Instruction In this 3­hour session grade level teams will practice unpacking the standards; determining the "I can" statements; list desired associated student behaviors; list the instructional strategies (scaffold) to master the TEKS; and discuss the impact on student engagement.

Select the Start Date and Time. Select the End Date and Time. Enter courses in Eduphoria Workshop at least two weeks BEFORE the course start date.

Step 2: Edit Course Details. Setup Tab Click the course Setup tab. Under the Setup tab, are two sections: Course Description and Credits & Categories. Your course will not be published until approved by Professional Learning. Before submitting a course for approval, enter all the course details in the Setup tab. Once submitted and approved, you will not be able to edit any of the information in the Setup tab OR retract your course.

2015 ­ 2016 Course Descriptions Title & Description 1. Click Course Description. Then click Title & Description. 2. Make sure the Course Title is named appropriately (see page 3). 3. Make sure the Description is brief yet descriptive. 4. Prerequisites / Requirements are optional and only used when participants MUST take a different course before being allowed to take this course. 5. You may copy and paste the Direct URL to send to participants to easily register for your course ­ even

before the course is approved. 6. If you make any changes, click Save at the top.

Sessions & Locations 1. Click Sessions & Locations. 2. Click on the orange highlighted Session and Location box. 3. Choose your date and time from the calendar / clock icon for Start Date / Time at the bottom. 4. Choose your date and time from the calendar / clock icon for End Date / Time at the bottom. 5. Choose your location from the Location drop down at the bottom. 6. Click the Save button AT THE BOTTOM of the screen. 7. The green plus sign is to add another session / location. DO NOT USE THIS FEATURE.

2015 ­ 2016 Publication Dates 1. Click Publication Dates. 2. This is the date / time the course will be visible. (The default is 10 months prior.) 3. This is the date / time participants may register. (The default is 10 months prior.) 4. This is the date / time that registration will close to participants. (The default is the start of the course. Click on the calendar / clock icon to adjust.) 5. DO NOT CHOOSE Hide this course. This makes the course not viewable and not available for management. 6. Click Save.

Instructors 1. Click on Instructors. 2. Click on the person(s) that will be the instructor(s) of the course. (Don’t choose yourself if you’re not the presenter).

To add a new instructor, contact Professional Learning. We will have them take the LOLA Eduphoria Workshop Instructor course.

For an out­of­district instructor, designate an in­district instructor. Place the out­of­district instructor in the description.

3. It is OPTIONAL for instructors to receive credit for a session. They may only count 15 hours of instructional credit per year toward their certificate renewal. 4. Choose Instructors may enroll and take attendance. The Course Manager or the Instructor can clean up attendance within Eduphoria Workshop. 5. Click Save.

2015 ­ 2016 Course Managers If for some reason you need to be absent for an extended period of time, contact Professional Learning to add a Course Manager to the courses you have created. Course Survey DO NOT use this feature. Instructors should provide their own surveys or other means of soliciting feedback from participants. Linked Courses DO NOT link courses. Linked courses are not easily managed by participants or Course Managers. Course Restrictions Selecting Course Restrictions limits registration to a designated school or department. ONLY USE FOR COURSES WHERE THE SCHOOL/DEPARTMENT PROFILES ARE ACCURATE. Credits & Categories Course Credit 1. Click on Course Credit. 2. Fill in the appropriate hours under the appropriate credit type for your course.

Texas SBEC CPE Designated for courses with appropriate learning activities directly related to the standards

required for initial certification and certificate renewal requirements. See p. 8 for courses that qualify / do not qualify.

All courses in Eduphoria Workshop will have Texas SBEC CPE credit. November 2015 Trade Credit

Collaboration / Learning among colleagues (Ex: Secondary ESL PLC, Campus Book Study)

Meeting with PL pieces built in where the actual PL pieces add up to less than 1 hour of learning.

Course Categories 1. Click Course Categories. 2. Choose the Category and Subcategory (where appropriate).

*Campuses ­ make sure you select your school. 3. Click Save. It is imperative that you select a Course Category that best aligns with your content so that participants may find the course.

Most categories will include the following subcategories: All levels, Elementary, Secondary. The Paraprofessional Category will include the subcategories: Campus and District. SPED has three subcategories: Department, Campus, Itinerant. Athletics has three subcategories: All Levels, High School, Middle School. A few categories do not have subcategories.

2015 ­ 2016 Course Goals 1. Click Course Goals. 2. Click the + by Document: LISD Strategic Design Goals to pull down the list of goals. 3. Check all Strategic Design Goals that apply to the course. (There are 7.) 4. Click Save.

NCLB 1. Click NCLB. 2. Choose the correct Core Academic Subject from the dropdown. If no specific content area applies, choose Other. Not Applicable is NOT an option. 3. Type in the Duration (in hours). This number must match the Texas SBEC CPE hours from the Course Credit section. 4. Type in the Time Period (in days). This number should always be 1. If your course spans multiple days, put each day in as a separate course. 5. Click Save.

Survey Tab DO NOT use this feature. Course credit will be determined by signatures on sign­in sheets, not surveys. If there is no signature, no credit will be given.

OR upload presentations, reference materials, documents, etc. by clicking on the paperclip to browse for documents on your computer to attach. Discussion Tab Threaded discussions can be used as a way to backchannel before, during, or after a course.

Step 4: Enroll Attendees & Change the Max Seating. Enrolling Attendees 1. After the course is approved, click on the Attendees tab. 2. Click on Enroll. 3. In the blank, type in a staff member’s name or email. 4. Click the magnifying glass to search. 5. Click on the correct staff member. 6. Click Select to enroll them. Attendee Options Select the wrench to:

Allow Overflow for Registrations Disable Waiting List Unenroll All Attendees

Do not use Grant All Credit. We do not use Enable Guest Registration. Number of Attendees After the course has been approved, you will have the option to change the Max Seating. 1. Select Attendees. 2. Select the green (+). 3. Type in the number of attendees. (The default number of attendees is 32.) 4. Click OK. 5. Click Save.

Step 5: Communicate Instructor Responsibilities. Before the course, Course Managers must:

Make sure the instructor has received the Instructor Logistics Page. Either the course manager or the instructor

must print the sign­in sheet. 1. Click the printer icon. 2. Click Print Sign­in Sheet. 3. The Sign­in Sheet Wizard will pop up on the right hand side of your screen. Type Instructor in Add Special Notes:

Decide how many blank signature lines. Maximum of 10. Click Print Sign­in Sheet. Choose to Save or Open the File. Print. 12

2015 ­ 2016 Emailing Participants Click the open envelope icon to email course participants.

After the course, Instructors must:

Take sign­in sheet attendance. Write Ab for Absent. Write Unenroll for excused absence. Write ½ for 50% credit, left one hour early, or any other notes necessary.

Sign the top of the sign­in sheet. Return the sign­in sheet to the course creator within 2 days OR clean attendance in Eduphoria Workshop

and return the sign­in sheet to Professional Learning within 5 days. **Pending Note: If your course has pending participants, when a person unregisters, Eduphoria automatically will enroll pending participants. Since the registration default is set to the course start time, pending participants could become registered participants up until the course start time.

Options Check the pending participants prior to the course. Communicate with them as to whether or not

they should attend. Change Max Seating to allow more participants. Disable the waiting list. Unenroll pending participants.

Step 6: Reconcile Attendance in Eduphoria Workshop The course creator or instructor must reconcile attendance within Eduphoria Workshop. Before sending the sign­in sheet(s) to Professional Learning, complete the following things:

Check pending participants before starting attendance. Unenroll any remaining pending participants. Enroll people that have signed in at the bottom of the sign­in sheet. Unenroll people who notified instructors of their absence prior to the course. Mark people absent who failed to notify instructors. Grant custom credit to attendees who only attended a portion of the training.

Absences:

3 absences are allowed before a staff member’s registration access is blocked. If this should occur, the staff member will need to contact their Administrator/Supervisor. The Administrator will need to contact Carol Francis [email protected] in Professional Learning.

Anyone without a signature who has failed to notify the instructor prior to the course will be marked absent.

Enrolling Additional Attendees from Sign­in Sheet 1. Click on the Attendees tab. 2. Click on Enroll. 3. In the blank, type in a staff member’s name, partial name, or email address. 4. Click the magnifying glass to search. 5. Click on the correct staff member. 6. Click Select to enroll them.

Unenrolling Excused Attendees (Option 2) 1. Click on the Attendees tab. 2. Click on the participant. 3. Click on Status Options at the bottom. 4. Click on Unenroll from Course. The participant will disappear from the roster.

Marking Participants Absent (Option 1) 1. Click on the Attendees tab. 2. Right Click on the participant. (Two­finger click for Mac.) 3. Click on Mark Absent from Course. A red X should appear on the icon by the participant’s name.

Granting Custom Credit 1. Click on the Attendees tab. 2. Click on the participant. 3. Click on Custom Credit at the bottom of the page. 4. Choose Standard, Percentage, or Custom.

Standard gives the attendee the same credit as everyone else. Percentage allows you to give them a percentage. (Ex: 50% if they were there half of the time.) Custom lets you choose the number of hours for a specific credit type. (Ex: 2 hours of SBEC credit

instead of the standard 6, if the participant left after 2 hours.) 5. Fill in the amount of credit. 6. Click Save.

DO NOT select Mark Completed. Professional Learning will mark all courses completed.

Step 7: Submit Sign­in sheets to PL. 1. Count the number of participant signatures. 2. Add number of absentees. 3. Write the number and initial. *Number should equal number in Eduphoria Workshop. 4. Send sign­in sheet to Professional Learning within 5 days of the course date. *If the number does not equal, then check the unenrolled or enroll additional participants. Do not send to Professional Learning until the number of signatures on the sign­in sheet matches the number of participants in Eduphoria Workshop. Instructor Logistics

1. Sign­in Sheets: Print your sign­in sheet from Eduphoria Workshop for attendees to sign at the beginning of the course. Sign­in sheets are the official record of attendance for all Eduphoria Workshop Courses.

Participants MUST sign the sign­in sheet. (Staff not signing in will not receive credit). If participants are not on the sign­in sheet, ask them to add the following information to the bottom of

the sign­in sheet: o PRINT their name. o PRINT their home campus. o SIGN their name.

NOTE: Only Eduphoria Worksheet sign­in sheets will be accepted (not notebook paper or hand­written sign­in sheets).

2. Attendance: Instructors MUST:

Take sign­in sheet attendance. Write Ab for Absent. Write Unenroll for excused absence. Write ½ for 50% credit, left one hour early, or any other notes necessary.

Sign the top of the sign­in sheet. Return the sign­in sheet to the course creator within 2 days if the course creator is taking attendance

in Eduphoria Workshop and submitting the sign in sheet to Professional Learning. Return sign­in sheet to Professional Learning within 5 days if the instructor is taking attendance in

Eduphoria Workshop and submitting the sign in sheet. 3. In­district Instructor Credit:

Instructor credit is optional. SBEC only allows 15 hours of instructor credit towards re­certification. During non­work hours, workshops that staff members conduct for other staff the during non­work hours

CAN count toward November Trade Credit. Trade credits must be approved by the coordinating supervisor. Stipends cannot be paid if Trade credit is received and vice versa. You must register AND sign in as a participant to receive November Trade Credit.

4. Instructor Required Enrollment:

A minimum of 10 attendees is required for all courses. The instructor is not considered an attendee. Instructors are expected to cancel classes 10 days prior to the start date when less than ten participants are registered. Allowances will only be made for fewer attendees when specialized content areas are involved.

5. Registration Deadline: To allow participants ample time to register and unregister for courses, courses

automatically close at the start date and time of the course, and participants are unable to register or unregister after that time. In the event of an emergency, participants may contact you after registration closes so you may excuse their absence on the sign­in sheet.

NOTE: Credit will appear for your course after the course has been closed by Professional Learning. Allow at least two weeks. DO NOT MARK THE COURSE COMPLETE.
