    What is your vision for this event? Be descriptive to help me visualize the event. BigPicture

    Dcor Ideas:o Lighting: to be dim with an orange and/or teal hue. Light votive candles for

    ambianceo Have orange and teal as accent colors which is also the color of the Leukemia

    Ribbon Symbol. Flowers on tables, orange balloons vases with LED lights and orfood coloring.o Display Auction For All (ALL) stats throughout venue.o Have blown up photos of children with ALL displayed throughout the venue.o Display inspiring quotes full hope by children with ALL.Entertainment:o Magician: A Magician will be added entertainment for the night to perform

    magic and card tricks. He will be situated so as to help the flow of traffic aspeople are bidding on auction items.

    o Caricature Artist: A fun thing attendees can do and take home as a keepsake.Artist could donate half of his earnings.

    o Music: Background music by Moby. Or Have a live acoustic musician.o Photographer: capturing moments and guests faces as they realize they just

    won the raffle or auction item.o Slide Show: Presentation about Ryan and/or children afflicted by ALL.

    A Special Event hosting a charity fundraiser raising money for the National ChildrensLeukemia Foundation and for Ryan Haynes and his battle against Leukemia.

    What do you want to happen/ accomplish at the event?

    Silent Auction: Acquire 80-150 expensive items to be auctioned off.Raffles: There will be two raffle drawings; one conducted half way through theauction and the other at the very end of the night (lots of build up for last item).The items raffled off will be two of the priciest items that were donated. Ticketswill be sold individually or as a package deal for a discount.Socializing: Visiting friends over drinks and dinner. (wine and tapas)

    *NOTES*Raise awareness and funds for the battle against Leukemia, particularly children.

    Funds will be going into a Raymond James Irrevocable Trust, to help pay Ryan Haynes

    Medical bills. (Ryan has no medical insurance)A percentage of the money raised will be given to the National Childrens Leukemia

    Foundation. (20% or 25%)

    What results do you need to be satisfied with this event?

    Raise Money: the goal is to raise $30,000. Reaching this goal will depend on thetype of auction items donated, the quantity of auction items, and the number ofpeople we reach through advertising.Raise Awareness: Display and/or announce disease statistics throughout event.Some statistics include: the age of people most likely to get the disease, thedifferent statistics of death and survival rates among different age groups, sex ofpeople who typically get leukemia, how many Americans died from this disease inpast decades up until now. Hearing and seeing these statistics will increaseawareness and encourage larger bids on items and cash donations made (creates asense of urgency). Quotes made by Ryan and children with ALL will increase

    empathy, increasing bids. Photos of the children creates compassion as you are tosee how sick they really are. *NOTE* Soft sell at event ; valuable push in event PR. Large Turnout: Celebrity: Possibly have a local celebrity or news anchor as theMC for the event. Advertise: Have flyers available at the restaurant hosting theevent, Vita, flyers will be available 2 months before the event. Email:advertising will be sent throughout our network (The Leukemia & LymphomaSociety, National Childrens Leukemia Foundation, Emory Winship CancerInstitute, Egelston Childrens Healthcare of Atlanta, friends, restaurant ownersfriends, parents friends, neighbors, church contacts).

    What is the budget for the event?

    Soliciting donations, pro bono services and sponsorship from vendors, individuals, andcompanies should cover costs of the event. See budget sheet.

    *NOTES*

    When do you want to hold the event?

    Month: In reviewing calendars of holidays, local organizations, social andfundraising events, March appears to be an optimal time, occurring after theChristmas Holidays and prior to startup of spring activities.Day: A week day during the first week of March (Tues., Wed., and Thurs.), rightbefore St. Patricks Day would be a good time. A specific date will be set once the

    event location is confirmed.Time: The event set up, event start and end times will also depend on the venuelocation and availability options. Typically auctions are held in evening hoursfrom seven to ten pm.

    Taking into account religious holidays, US holidays, Junior League Fundraisers, local events,

    Who do you want to attend? (25% no show if know host, 10% no show if paid)

    How many people would you like to invite? (Estimate how many will show)

    As many people as we can reach via marketing, advertising, and personal relationships.Reaching venue capacity would be ideal.

    What are the demographics of the target audience (e.g. gender, age,ethnicity, income singles, married couples, and children)?

    Men and women twenty-five to forty-five, upper middle class, living in the Atlantametro area will be the target market, especially those in Buckhead. Sport celebritieswould also be a good target market since so many reside in Atlanta. All are welcome toattend the event. (No children preferred)

    What interests do they share?

    Some guests will be there to support ALL because someone close to them has it.Those who live the Upper, Middle class lifestyle who tend to share many of the

    same interests: fine dining, traveling, volunteering, country clubs, golf, tennis,art, the theater, symphony, and other various cultural and charitable events.Younger guests are usually interested in going out to dinner, being VIP while outat clubs. Attending comedy shows.

    Where are the attendees coming from? (Local, commute, parking, and valet)

    Guest will live locally in Atlanta. They will go to and from the event in their own cars,taxis, and carpools. Having taxis available toward the end of the event will beimportant.
