EXECUTIVE SUMMARY The main goal of VULKANO is the retrofitting of two types of industrial furnaces, namely preheating and melting, applied on three energy–intensive sectors (steel, ceramic and aluminium) with a huge number of potential users in Europe. Thus, this project aims to design, implement and validate an advanced retrofitting integrated solution to increase the energy and environmental efficiency in existing industrial furnaces fed with NG; through the combined implementation of new solutions based on high temperature phase change materials, new refractories, optimised cofiring of NG and syngas from biomass or process gas, an advanced monitoring and control system and an holistic inhouse predictive tool. All together will achieve a 20% increase in the energy efficiency of furnaces.

The main objective of WP11 is to widely spread VULKANO results among the main target groups identified during the development of the market analysis and the business plan studies. VULKANO dissemination activities aim to raise awareness about its real added value not only in economic terms but also in technical, environmental and social figures.

Specific Objectives:

• Definition of an agile communication strategy to be adapted to the different target groups and messages.

• Preparation of the corporative image and a set of materials for the promotion and comprehensive dissemination.

• Monitoring and execution of the communication plan with a continuous penetration in the main target groups with tailored messages.

Referring to the above mentioned aims VULKANO’s Communication and Dissemination plan addresses the following key issues: identification of stakeholders and project’s key impact fields; specific dissemination tools (logo, website, publications, conferences, events, press media, leaflets and posters, videos, cooperation with other projects, social networking, etc.). Finally it will focus on the most relevant procedures related to communication and dissemination activities.

INTRODUCTION The communication and dissemination plan describes the dissemination goals, target groups, dissemination channels and individual approaches for particular partners. It provides a regular flow of information rather than occasional ad-hoc announcements since this contributes to the establishment of recognition and increase the opportunities for publicity.

This strategic dissemination plan needs to answer the WHO (target audiences), receives WHAT (key messages), HOW (communication channels) and WHEN (implementation and time planner).

One of the main aims of this Plan is to provide a guide to manage the dissemination activities in order to gain international visibility and repercussion. All dissemination activities must be approved by the consortium according to the provisions set in the CA and the GA.

All partners play a role in the dissemination of the results. Their interest and opportunities have been identified through a dedicated survey template which has been filled by the partners in month 5 of the project. To ensure that the interests are updated, the survey will be refilled at the same time the dissemination and awareness plan does.

Deliverable 11.1 is developed under the following task of the project VULKANO G.A. 723803:

The target audience of this report are all the project partners in order to ensure a common and effective flow of information from the project towards the target actors.

1 WHO AND WHAT

All partners are encouraged to create and contribute to the identification and classification of VULKANO stakeholders to be targeted, establishing a characterization of their needs and concerns in the design of the most suitable strategy for each of them.

1.1 Process Industries, furnace producers and technology providers

WHO: Process Industries, furnace producers and technology providers

WHAT: VULKANO related audience are furnace manufacturers and their users at the process industries, as well as, the technology providers of furnace’s components. VULKANO achieves high performances for retrofitted furnaces, optimised resource and energy efficiencies and less pollutant emissions. The consortium covers the whole value network that facilitates a deep analysis of the barriers and potential opportunities for effective implementation of VULKANO solution. The main messages to deliver are technical publishable results of VULKANO according to technology performance, technical improvements, VULKANO solution implementation and business cases and models derived from the project, contributing to share experience among all these stakeholders and enhancing project impact and commercialisation. Another message for this target group: how they can improve competitiveness with VULKANO solutions.

1.2 Technical experts, researchers and scientific community WHO: Technical experts, researchers and scientific community

WHAT: The scientific community and technical experts are also key audience to enlarge a further replication and dissemination of VULKANO results. Experts will be given open access to the technical publishable results of the project. Presence at conferences through dedicated keynote speeches, conference proceedings, publications in scientific and technological specialized magazines, peer-to-peer communication will further support dissemination towards this target group. The main messages to deliver are the technical results, innovation and progress beyond the state of the art on the R&D lines proposed and future challenges emerged during the project execution.

1.3 Policy makers, authorities and public bodies WHO: Policy makers, authorities and public bodies

WHAT: EC, regional local authorities, permitting bodies and municipalities with competences in the field of VULKANO project are objectives and target groups of these dissemination activities. The messages to send them are the market potential evaluation, lessons learned and a socioeconomic analysis, generating in this way a contribution to EU policies and directives and to the EU goals achievement. Another one is also the impact (environmental, economic, social, etc.). Local economy fostering as well as energy dependency reduction are key. In this way, the raising of awareness and the acceleration of regulatory related processes is expected. It is also important to identify regulatory aspects at European or regional levels which could reduce the project dissemination potential.

1.4 General public WHO: General public

WHAT: Citizen organizations and individual citizens are also a potential audience for dissemination. Entertaining short stories and documentaries, facts about environmental footprint reduction, employment generation, increasing European competitiveness and reducing external dependency are key messages to be sent to the general public, aiming to reduce the existing resistance and motivating early adopters.

2 HOW AND WHEN

Within this section the different dissemination tools, templates and materials are described.

2.1 Logo and templates The logo of VULKANO project has been selected by the consortium from a number of designs proposed, considering that it should be easily used in printouts, projected slides and on the web.

Before the selection of the logo, a branding analysis was carried out, in order to ensure that no copyright is affected and higher visibility by means of effective marketing measures.

The chosen logo is presented below:

A graphic manual has been provided to the partners in order to ensure its appropriate utilisation, including:

• Different formats of the logo: in colour, horizontal in colour, monochromatic versions, horizontal in monochromatic versions

Following the logo, a set of templates were developed in order to ensure common documentation regarding the internal communication among the partners, in a particular:

2.2 Website creating and updating The website is the main communication tool for the project, where all the dissemination materials will be published in a timely manner.

The website is an interactive environment that gives access to all the publishable development of VULKANO, including a link for its downloading, the status of the project and the final results. Website is published in English. Its structure differs from traditional project web pages, which usually stakeholders find difficult of access and browsing. It gives a very direct link to the main results and to the hottest project news. Besides, this website is a link to the objectives, partnership, activities and events related with the project, and it gives access to all the aspects regarding the new technologies, best practices and recommendations for energy efficiency gathered from the project development. Moreover, a private part (Intranet) has been generated as a collaborative working space for developing the project and schedule the work in a simplest way. Contributions from the partners are highly important to maintain the project’s website is updated, in order to improve the website positioning in search engines and to reflect an active attitude to Internet users. In addition, partners are asked to link their website and platforms to the website of VULKANO project. Moreover, the VULKANO website has been included in the SPIRE website, taking advantage of the great impact of PPP.

All the information may be found in Deliverable 11.2 “Project website operative”.

Finally, a general schedule will be established so every partner will have the chance to contribute to updating the website throughout the project life, see Annex V Schedule for partners. In this sense, every partner will be pointed to send a piece of news from his own organisation. Table 4 has been defined with the aim of helping partners in the identification of news that can be posted on the website.

2.3 Publications VULKANO partners will publish the results they consider relevant, mainly related to physical and engineering sciences (according to the IPR protection strategy and to the GA and the CA) in the scientific literature, dedicated journals and magazines. Results will be also published in partners’ and VULKANO newsletters. Additionally, sectorial platforms and associations will also receive information from the project. Moreover, the new concept and developments expected in VULKANO can derive in the consecution of new patents which will be supported by the IPR managment in the project. The patents are also public knowledge published in the international databases.

2.4 Final conference, workshops and events VULKANO will be presented in a number of relevant international forums and events related with its scope (such as conferences, exhibition fairs, etc.). Regarding the European forums, VULKANO will take advantage of the existing relation of its partners, tackling those forums, associations and platforms in which the consortium has an active role. CIRCE besides of being the project coordinator is also founding member and chairs the working group of “Process” of SPIRE Association (http://www.spire2030.eu/).

Contacts with target groups will also take the form of workshops, set up by the project on different locations across the EU. The objective is to discuss project results and receive inputs from outside. VULKANO project will organize or participate in 4 open workshops / conferences (dedicated on or in collaboration with larger initiatives) in which the results will be delivered.

In the end of the project, the consortium will organize a conference where results will be explained; the solutions will be shown based on the two demonstrators. Moreover, in this final conference the replication and exploitation strategy beyond VULKANO project will be explained and the real expectations of the consortium concerning the new solutions created.

2.5 Press media One of the targets addressed by the project dissemination is general public, and the corresponding main channel is media. Partners are encouraged to contact media (either general or specialized) in order to increase the project’s visibility and to spread the activities and results foreseen in it. This can be achieved by: (1) The emission of a press release or/and (2) inviting media to the main events celebrated during the project.

A press kit has been developed to help partners in the elaboration of their press releases, or to help journalists on the elaboration of articles about VULKANO. Project partners are able to respond efficiently and with a quality and unified message to dissemination requests.

The press kit will be updated on a continuous manner, containing:

(1) Writing identity of the project: Descriptions of the project to be used in different formats (tagline, one sentence, bullet points, half page, key messages, etc.).

(2) Press release: Information of the project on press format with updated information. (3) General presentation: Description of the project on PPT format. (4) Tweetable facts concerning VULKANO. (5) A list of frequently asked questions: Several questions and answers for general

public. (6) Previous press releases & media impacts: Examples of previous press releases and

their respective impact on the media. (7) Copyright free Photographs: Images sent by partners to be used by any person.

Partners are asked to send all the appearances of VULKANO in the press (TV, newspapers, radio, webs. etc.) to IEn, who will gather all the contributions for the elaboration of a final report gathering the results of the dissemination task.

2.6 Leaflet, poster and banner Graphic materials will be developed to promote the project at selected events providing general information and preliminary results, addressing both technical and non-technical public. Along the project execution, two versions of this material will be released:

• Firstly, with a general presentation of the project, objectives, impact and scope. • Secondly, including the results gathered in the different topics addressed.

Poster, leaflet and banner will be uploaded to the website and will be available for download to any visitor of VULKANO web. The printable versions will be uploaded in the intranet of the

project, as it will serve also as support document for fairs, congress, forums and workshops. More versions of these materials may be developed according to the project´ needs.

The main objective of the project leaflet is to provide our audience with an attractive and written project overview and a summary of the main project objectives and characteristics. On the other hand, posters can be a successful tool to communicate the main idea of the project and catch the attention of the audience in a workshop or conference.

2.7 Videos Another important tool to be used for presenting project’s activities and achievement to the public will be the videos. The videos will be produced and shared through YouTube and other media channels and will sum-up:

(1) introduction to the project;

(1) the demonstrations and;

(2) the new retrofitting solutions implemented: (1 video explaining the holistic retrofitting solution, impacts and results obtained).

All the videos will be in English with subtitles in the original country languages. The structure will be decided by IEN and following the procedure agreed by the consortium. Experience videos will be recorded directly from each partner, whereas the success cases will be done by a specialised subcontractor. Video editing will be in all cases subcontracted, and videos will follow the story line prepared by CIRCE, and agreed in each General Assembly.

2.8 Cooperation with related projects and initiatives VULKANO outlines and enlarges the previous list of European projects related to energy efficiency in processes and more specifically in furnace retrofitting techniques and previous SPIRE calls (section 1.3.4) in order to find synergies and collaboration opportunities. Additionally, any partner participating or cooperating in national or international project related to the lines and impacts of VULKANO is encouraged to notify it to the Project Coordinator and to the Dissemination manager. This allows finding synergies with other projects to establish cluster participation in events and publications, as well as to multiply the dissemination potential of the public web-site by sharing news and links.

2.9 Social and professional networking Networking opportunities allow project partners to learn from each other, discuss common issues and get feedback on their work. These kinds of meetings also provide a great chance to carry out an effective dissemination of the project inside and outside the consortium. Instead of using an own account for the project, it has been outlined that it is better to disseminate the project’s features from the project members accounts, benefiting from the popularity of these entities and then, enhancing the project’s image.

In this sense, the partners evaluate new routes for dissemination using social and professional networks, such as LinkedIn, Twitter, Facebook, or YouTube, to create discussion, solve doubts and detect future industrial investors from other cities in Europe.

2.10 Dissemination activities after the project's end VULKANO dissemination activities will not finalize at the project’s end, but will remain after the completion of the activities to show during a long period of time the final results of VULKANO, as main conclusions are delivered at the very end of the tasks.

The main tools and actions that will remain beyond the project, to enhance dissemination impacts are the following:

• Website maintenance. The project’s website and its deliverables are envisaged to be maintained for 2 years after the finalization of VULKANO project. This will be the main repository of information for the consortium and its maintenance will be responsibility of CIRCE, as coordinator.

• Participation in forums: not as a dedicated task of the project, but VULKANO partners, mainly industrial ones, will show the results obtained and improvements at conferences and fairs related to the project targets.

• Gathering and dissemination of publications coming from the project. Further publications and scientific literature may be developed beyond the project. Project partners will ensure referencing VULKANO in papers and deliverables which scope comes from or is related to VULKANO.

3 PROCEDURES

All dissemination activities must be approved by the consortium according to the provisions set in the Consortium Agreement and the Grant Agreement.

3.1 Tracking and reporting of dissemination activities According to Article 29.1 of the GA each partner should disseminate its results, taking into account the confidentiality agreements set in the GA and CA:

Unless it goes against their legitimate interests, each beneficiary must — as soon as possible — ‘disseminate’ its results by disclosing them to the public by appropriate means (other than those resulting from protecting or exploiting the results), including in scientific publications (in any medium).

According to Article 29.1 of the GA any partner that intends to disseminate (participate, launch or host any related activity) foreground of VULKANO shall notice the project coordinator and dissemination manager as soon as possible and at least 45 days in advance, including the information that will be disseminated and the forum.

“A beneficiary that intends to disseminate its results must give advance notice to the other beneficiaries of — unless agreed otherwise — at least 45 days, together with sufficient information on the results it will disseminate.”

Any other partner may object within 30 days of receiving such notification, if it can show that its legitimate interests in relation to the results or background would be significantly harmed. In these cases, the dissemination activity may not take place unless appropriate steps are taken to safeguard these legitimate interests.

Any objection is justified if:

• The protection of the objecting party's results or background would be adversely affected. • The objecting party's legitimate academic or commercial interests in relation to the

results or background would be significantly harmed. • The proposed publication includes confidential information of the objecting party.

3.1.1 Dissemination of another partner´s unpublished results or background A partner shall not include in any dissemination activity another partner's results or background without obtaining the owning party's prior written approval, unless they are already published.

3.1.2 Cooperation obligations The partners undertake to cooperate to allow the timely submission, examination, publication and defense of any dissertation or thesis for a degree which includes their results or background subject to the confidentiality and publication provisions agreed in the Consortium Agreement.

3.1.3 Use of names, logos or trademarks Any to use in advertising, publicity or otherwise of the name of the parties or any of their logos or trademarks is not permitted without their prior written approval.

3.2 Open access to scientific publications According to the Article 29.2 of the GA, each partner must ensure open access (free of charge online access for any user) to all peer-reviewed scientific publications relating to its results. In particular, each partner shall:

• as soon as possible and at the latest on publication, deposit a machine-readable electronic copy of the published version or final peer-reviewed manuscript accepted for publication in a repository for scientific publications;

Moreover, the beneficiary must aim to deposit at the same time the research data needed to validate the results presented in the deposited scientific publications.

• ensure open access to the deposited publication — via the repository — at the latest: o on publication, if an electronic version is available for free via the publisher, or o within six months of publication (twelve months for publications in the social

sciences and humanities) in any other case. • ensure open access — via the repository — to the bibliographic metadata that identify the

deposited publication.

The bibliographic metadata must be in a standard format and must include all of the following:

the terms “European Union (EU)” and “Horizon 2020”; the name of the action, acronym and grant number; the publication date, and length of embargo period if applicable, and a persistent identifier.

3.3 Use of EU and acknowledgment Any dissemination of project´ results must include certain references and statements, in particular (Article 29.4 of the GA):

- display the EU emblem and

- include the following text:

“This project has received funding from the European Union’s Horizon 2020 research and innovation programme under grant agreement No 723803”.

When displayed together with another logo, the EU emblem must have appropriate prominence.

Besides, any dissemination of results must indicate that it reflects only the author's view and that the Commission is not responsible for any use that may be made of the information it contains.

4 CONCLUSIONS

VULKANO project will lead to a significant contribution to improved energy efficiency in industrial furnaces. VULKANO will demonstrate five integrated and combined solutions to achieve a whole retrofit for industrial furnaces, avoiding unnecessary investments in new furnaces and lengthen lifetime of materials and installations. VULKANO consortium is aware of the significance of dissemination and information tasks since there are needs to demonstrate the technical and economic feasibility of the advanced retrofitting integrated solution for optimising resource and energy efficiency, and making the interested community aware of it. Especially in the industrial sector, foundries, steel companies, ceramic and glass, aluminium, etc. where the investment in furnaces as well as the cost in energy sources represents an important share of the final product cost.

It is crucial to build awareness, social and business acceptance through a number of communication and participatory measures. Therefore all partners are committed to maximising the potential impact of the outputs of the VULKANO project in terms of its dissemination to relevant stakeholders including society, industry, technology providers, regulatory bodies, etc., and thus all will be active part of the dissemination activities proposed. The support of the EU will be recognised in all the publications resulting from the project. Beyond dissemination, it is in the interest of the consortium partners and the public funding institution to see a market impact from this publicly co-funded EC project. In the spirit of making this reality, the preparation of the commercial exploitation of project results will receive deep attention from the very beginning and will result in business plans for each application developed.

Dedicated work packages (WP 10 and WP11) have been designed to cope with dissemination and exploitation issues to ensure the use and deep impact of project results across Europe.
