Exhibitor Qualifications (Member in Good Standing): All 4-H and FFA members enrolled and in good standing within Yavapai County are eligible to participate in the Yavapai
County EXPO. Club Leader/Advisor signature on Signature Entry Form(s) shall signify that the 4-H/FFA member is in
good standing with his/her affiliated organization within Yavapai County, and has been enrolled at least 60 days for
non-livestock, small stock and large livestock breeding animal projects; 90 days for market swine, lamb, and goat
projects; or 120 days for market beef projects. Member signatures on Signature Entry Form(s) shall signify that the
member and parent agreed with all conditions, rules, and stipulations outlined within all sections and department areas
of the Yavapai County EXPO Premium Book.
Exhibitor Divisions:
• Junior members are those who have reached their 8th, but not their 14th birthday prior to December 31st of the
current 4-H year
• Senior members are those who have reached their 14th, but not their 19th birthday prior to December 31st of the current 4-H year.
• FFA Members may exhibit at the Yavapai County EXPO Show and Sale through their senior year of high
school.
Youth for the Quality Care of Animals:
All 4-H and FFA members entering Market Livestock (Beef, Dairy, Goats, Sheep, and Swine) and Market Small Stock
(Rabbits, Poultry, Waterfowl, and Eggs) at the Yavapai County EXPO Show and Sale MUST have completed Youth for
the Quality Care of Animals. To sign up, log in to the link at https://yqca.learngrow.io/Account/Login. 4-H users log in
using your 4Honline user name and password. Do not set up a new account. The class may be taken online for a $12
fee. This is open to all 4-H and FFA members. Certified personnel or YQCA conducts some courses. Trainers may
charge fees for materials and costs; those fees are collected locally, and Yavapai County EXPO will not be held liable.
Special Accommodations:
Persons with a disability may request reasonable accommodation by contacting the Cooperative Extension Office.
Requests should be made as early as possible to allow time to arrange for the accommodation.
Exhibitor Dress:
Showmanship & Conformation (Large & Small Livestock, Dog)
• 4-H members must wear appropriate clothing: a long-sleeved white or Kelly green (4-H green) shirt with collar and full-front button-up with shirttails tucked in; clean, neat (not faded), black or blue jeans/slacks/gauchos; ties or scarves (some type of neckwear, green or white - the opposite color of the shirt), no hats may be worn; closed-toed shoes that stress safety are required.
• FFA members must wear appropriate official dress, as defined by the official FFA Manual. Closed- toed shoes that stress safety are required.
• Dairy exhibitors both 4-H and FFA are expected to wear “show whites” (white button-up long-sleeved shirt, white pants, and a green 4-H tie.) Closed-toed shoes that stress safety are required.

Exhibitor Dress cont.:

• No decorating animals in any way!
NOTE:
A superintendent may dismiss or restrict an exhibitor from the class or sale for inappropriate attire
including, but not limited to any wording promoting drugs, alcohol, & profanity. Check with your
superintendent in advance, if you have any questions regarding your attire.
Entry Requirements:
Entries must represent the project work of the 4-H or FFA member for which they are enrolled, and not have been previously exhibited at EXPO (except breeding stock). Exhibitors may enter only in the class that corresponds to the projects currently enrolled. Exhibitors may not show another exhibitor’s animal unless the Superintendent designates otherwise.
Seasonal Passes / Premise I.D.’s: All exhibitors are required to be in full compliance with the Arizona Department of Agriculture (AZDA) regulations regarding Seasonal Passes. The requirements and instruction on how to obtain a Seasonal Pass are available with the Arizona Department of Agriculture. Seasonal Passes are required to transport all large livestock to ear tagging and all other EXPO events. Please note that all sheep, goats, and swine must have official identification (which requires that the seller/breeder have a premises identification number or a flock identification number). Photo of Exhibitors: One photo (4”x6” maximum size) of EACH animal must be uploaded with the online entry form. Photo must include the face of the exhibitor as well the full body of the animal, including hooves.
Code of Conduct: 1. All participants will adhere to and sign the Yavapai County EXPO Code of Conduct form, a copy of which will be kept
on file at the Cooperative Extension office. 4-H/FFA members, leaders, or parents who fail to abide by all listed stipulations will be asked to leave the grounds and will forfeit all awards, premiums, or auction proceeds and will be barred from participating in the following Yavapai County EXPO.
2. The Yavapai County EXPO Committee (hereafter COMMITTEE) reserves the right to interpret these rules, settle and determine all matters and/or questions that may arise about any situation connected with or incidental to EXPO and not in conflict with University of Arizona Policy.
3. Exhibitors are cautioned to keep equipment stored where it will not be lost or stolen. The COMMITTEE is not responsible for lost, stolen or damaged items or equipment.
4. No exhibitor is allowed to stay overnight at the Rodeo Grounds without direct adult supervision. Only exhibitors who are staying overnight under the supervision of Parents, Guardians, FFA Advisors or Certified 4-H Leaders will be allowed. Anyone found in violation of this rule will be subject to expulsion from the show.
5. For the safety of the animals and the exhibitors, NO dogs, bikes, rollerblades, skateboards, razors, etc. in barns, tents or main livestock show arena – including the bleachers. Please respect this rule for the safety of all.
Seeing-eye dogs for the sight impaired are an exception to this rule.
6. The use and operation of motorized equipment, i.e. forklift, ATVs, etc. will be restricted to individuals approved through the EXPO facilities committee and Cooperative Extension.

Superintendents
1. It is the responsibility of the superintendent(s) of each department to inform the judge(s) of specific departmental rules and regulations concerning the issuing of awards.
2. It is the responsibility of the superintendent(s) of each department to see that all show classes are properly entered and distributed.
3. Under authority from the COMMITTEE, each superintendent will have the final right of determination as to the disposal of exhibits not claimed by the exhibitor. (INDOOR EXHIBITS)
4. A superintendent may, under the direction of EXPO Executive Board, reserve the right to reject or dismiss any entry he or she feels is unworthy of competition, or poses a health or safety threat to any persons, property, or livestock. Under direction of executive board.
5. All superintendents are to be afforded the respect to which they are entitled. Any superintendent, WHETHER OR NOT THEY ARE DIRECTLY AFFILIATED WITH A PARTICULAR DEPARTMENT, has authority to enforce all rules when they see fit.
Judges & Judging:
• Judges are responsible for reading and understanding all general and special rules within each department, division, or class in which they are to serve.
• All evaluations are initially made based on the Danish System of judging. As EXPO is a learning event, at no time will a judge fail to bestow an award. All comments to exhibitors should be made in as constructive a manner as possible.
• Judges shall report to the superintendent any exhibitor, leader, parent, or other person who in any way interferes or shows disrespect toward them during or after adjudication of a class. The superintendent will have the option of demanding a formal apology from the offender directly to the judge and/or excluding the exhibitor or offending person from further participation in EXPO.
• The decision of the judge shall be final except in the event of fraud or misrepresentation, not discovered at the time of award. In cases of fraud or misrepresentation, the offending exhibit will be removed from competition and all lower placements will advance one award if the award was based on the American System of judging. Additional implications are noted in Code of Conduct.
• Grand and Reserve Champion and Yavapai Bred & Fed awards will only be awarded if the exhibitor and/or animal have received a BLUE ribbon. Additionally, the following guidelines will apply: ➢ All entries will be judged on the Danish System of awards. Entries may be placed in blue, red, or white
ribbon categories. ➢ The Grand and Reserve Champion awards for conformation (market and breeding) and showmanship will be
given (at the established prize levels) when there are 3 or more entries in a class. If there are 2 or fewer entries in a class, the Grand and Reserve Champion awards will be given, however they will be at a reduced prize level. Note: this applies to both large livestock and small stock.
• The showmanship contest will be judged on the exhibitor’s ability to show his/her animal to its advantage and his/her knowledge in handling, fitting and selecting animals for production and show. The judge may also ask questions pertaining to the project. Separate classes will be held for judging junior, and senior showmanship.
All exhibitors, parents, leaders, advisors and agents will abide by the International Association of Fairs and
Expositions National Code of Show Ring Ethics as well as the 4-H State and County policies and procedures.
Exhibitor Rules:
1. Exhibitors of livestock must keep their area of the barn (including small stock that remain for the duration of EXPO), neat and clean. All litter is to be disposed of in appropriate areas designated for that purpose.
2. Every effort will be made to protect and care for entries, but in no case will the EXPO Committee, including the officers, superintendents and other volunteers be responsible for any damage or loss that may occur. Each exhibitor must furnish his or her own food and water equipment. All exhibits will be cared for during the hours of EXPO. If extra care is needed contact the appropriate Superintendent.

3. Exhibitors must FIT and SHOW their own animals with help from other members from Yavapai County, junior leaders and teen leaders only. IMPORTANT! Parents and leaders are reminded that the club members must do all work pertaining to cleanliness of stall/pen and grooming/washing areas and the educational exhibits. The educational value of such activities is lost if members are not allowed to be responsible for their part in the activities. Exhibitors may be disqualified from a showmanship event if this rule is violated, excluding situations that are deemed unsafe.
4. Exhibitors may only use appliances (clippers, blowers, heaters, fans, etc.), which are properly grounded and meet UL specifications.
5. In order to keep the show moving on time and for the safety of all exhibitors and their animals, we will be enforcing a clean aisle policy 15 minutes prior to the start of a respective show animal’s show hours until the end of the show. All items found in the aisles will be gathered up and placed in the designated “Lost and Found” area of the barn/tent.
6. It is the responsibility of the exhibitor to ensure that their animal(s) are properly fed and watered each day before 8am and after 5pm.
7. All exhibitors are required to thoroughly clean their stall/pen area before being permitted to checkout. This includes market animals sold at auction.
Exhibits:
1. Market division entries may not be leased; however, it is acceptable to lease breeding division entries. All exhibits must be the bona fide property of the exhibitor or under an approved lease agreement.
2. Exhibitors of breeding and/or small stock may be asked to show proof of ownership. 3. Large market livestock exhibitors will be permitted to tag up to four animals per species, but may exhibit only two. 4. Exhibitors wishing to sell in the auction must participate in BOTH the conformation and showmanship class for
that species. 5. Exhibitors must use his/her market animal for showmanship. If the exhibitor does not have a market animal
entered in that species, he/she may use a prospect or breeding animal that is entered in EXPO. Showmanship animals may not be a mature male breeding animal or a sow/gilt over 8 months old.
6. Yavapai County EXPO tags will be the official tags for the show and will correspond with the exhibitor numbers. Notify a department superintendent immediately if an animal loses its tag or it becomes unreadable.
7. Animals must be kept in pens provided or in their tie stalls. In extenuating circumstances, speak to the superintendent if any exceptions need to be made.
8. Exhibitors are required to provide their own bedding.
9. Release information: All remaining livestock will be released Saturday following the auction. The exhibitor must check out with the appropriate superintendent before removing any animals from EXPO grounds.
Weigh-in:
Each market animal and/or meat pen will be weighed-in from 9:00 a.m. – 4:00 p.m. on designated day. See EXPO Dates and Deadlines. Animals will be placed in classes after weighing in on the official scale at check-in. 1. Large livestock market entries that do not make minimum weight as specified in their market division will be
automatically entered in the prospect/feeder class for that species. Though ineligible for auction, prospect/feeder animals are eligible for showmanship classes.
2. In disputed cases, exhibitors may request a re-weigh, provided the animal has not left the scale area (defined as the area under tent). There will be no forced watering or feeding allowed. No wet animals, unshorn lambs, or blankets of any kind will be allowed on animals as they are weighed.
3. Members are responsible for calculating shrinkage on their market animals.
Vet Check:
1. It is the exhibitor’s responsibility to disclose all concerns.
2. After check-in, all health concerns are to be addressed by the show veterinarian and superintendent (grounds for dismissal).
Health Rules:
1. All animals must be in good health and condition to be entered into EXPO. Visibly sick animals or those showing signs of active internal or external parasites or fungal infections WILL NOT BE ALLOWED TO ENTER THE SHOW GROUNDS. Market animals that, in the opinion of the superintendent, show evidence of poor physical condition WILL NOT BE PERMITTED TO SELL, BUT MAY BE ALLOWED TO COMPETE IN SHOWMANSHIP CLASSES.
2. The USDA Wholesome Meat Act applies to all animals sold for slaughter. The Act and COMMITTEE rules require the following:

➢ Drug label directions must be followed - including withdrawal periods.
(a) By signing the Entry Form(s), the exhibitor attests that their animal(s) will be drug free at weigh-in, and will remain so until it is released for slaughter.
(b) If it shall become necessary to administer medication to an animal while on EXPO grounds, it must be done by a licensed veterinarian and reported immediately to the superintendent(s) in charge. If withdrawal period exceeds projected slaughter date, exhibitor must take animal home and care for it until it is safe and legal to slaughter for human consumption.
All market animals are PROHIBITED from being dipped.
➢ Exhibitors whose exhibition animal is slaughtered and the carcass is condemned for drug or chemical residues, will forfeit all class, sale, and premium monies and/or awards, and may be subject to criminal investigation and/or charges. In addition, exhibitors found guilty of violating this rule will be prohibited from participation at any future EXPO and/or any other livestock exhibition.
Classification:
1. Registration papers will not be a requirement to exhibit breeding livestock at EXPO, but a seasonal pass is expected.
2. Exhibitors should check with their project leader/advisor or other knowledgeable person as to the correct breed classification to which their entry belongs.
3. If members or leaders need help over and beyond the help of the specific Superintendent, call the Cooperative Extension Office 928-445-6590 ext. 229.
Protests & Appeals:
1. No protest or appeal based on charges of incompetency of the judge will be considered, 2. Protests regarding incidents directly related to EXPO or actions of one or more members of the Committee may be
formally submitted in writing within 5 hours after the incident/decision, provided such protest is accompanied by a $50.00 fee if the protest is lodged by a 4-H or FFA member. A $100.00 fee will be charged if any non-member lodges the protest.
3. Protest must state plainly the cause of the complaint or appeal, with specific charges and recital of the facts relied upon or the rule violated, naming witnesses and their addresses by whom proofs are to be made. No protests of weights will be allowed.
4. If the protest thus lodged is found to be valid by a majority of the Executive Committee (or in the case of a complaint lodged against the Executive Committee, a majority of The Committee members present), the fee/deposit shall be returned to the person or persons lodging the protest. If the protest thus lodged is found to be invalid, the person or persons shall forfeit said fee
Hardship Clause:
In the event that a 4-H or FFA member’s project animal dies or is severely injured prior to or during EXPO that member
may borrow an animal already ID’d and entered for showmanship purposes only. This opportunity is experiential only
and the 4-H or FFA member may only be eligible to compete in a showmanship class but not market.
Deceased Market Animals:
On occasion, members’ livestock die after the ear tagging and/or market livestock registration process is completed.
As they have been active in their project areas and learning throughout the project, this ruling is meant to apply to
those situations where a member in good standing who has previously completed the registration process for the
current year EXPO has an animal die can still enter a market entry. The following conditions must be met:
• A death certificate or statement signed by the Project Leader and the member’s parent(s) certifying the death
must accompany the request to enter a new animal in the place of the original animal
• In order to have sufficient time invested in there replacement livestock, the new animal must be purchased
90 days prior to the current EXPO dates.
• All paperwork required for a market livestock entry must be submitted. A new registration fee is also required:
and a new seasonal pass will be required for species requiring a seasonal pass.
• The replacement animal is examined by the EXPO Superintendent in charge of that division to ensure
that it is in good health and to apply and an EXPO ear tag at that time.
• NO replacement animal will be eligible for Yavapai Bred & Fed or Best Rate of Gain awards.

Special awards will be presented in each large livestock department to the club or chapter that best exemplifies
professional character and the educational element of EXPO – to teach the public about animals and agriculture and promote 4-H and FFA Programs.
To qualify for herdsmanship competition, the following criteria must be met:
1. Each project club or chapter must sign up at check-in. 2. Each pen must be labeled with a stall card as issued by the EXPO Committee. 3. All club/chapter displays must be up and ready no later than 8:30 am Thursday and remain in place until the
auction concludes on Saturday. 4. The following criteria and point system will be used in determining the distribution of awards:

LARGE Livestock Tagging: Beef, Swine, Lamb, Goat, this does not include Breeding, Dairy, Pygmy or Dog
SMALL Stock does bring paperwork and payment at the time of tagging; we can tattoo and check leg bands at this time, if
needed. It is not mandatory that all small stock animals be brought to tagging.
Each animal must be brought to the designated tagging date and time. All entries are to be completed online prior to
tagging date. See Dates and Deadlines for a complete list of times associated with event.

Bring the above-mentioned paperwork to check-in as well as tagging. Seasonal pass that is filled out is turned in at
check-in to the weigh master before animals will be permitted on the grounds.
Weigh-in:
Each market animal and/or meat pen will be weighed-in from 9:00 a.m. – 4:00 p.m. on designated day. See EXPO Dates and Deadlines. Animals will be placed in classes after weighing in on the official scale at check-in. 4. Large livestock market entries that do not make minimum weight as specified in their market division will be
automatically entered in the prospect/feeder class for that species. Though ineligible for auction, prospect/feeder animals are eligible for showmanship classes.
5. In disputed cases, exhibitors may request a re-weigh, provided the animal has not left the scale area (defined as the area under tent). There will be no forced watering or feeding allowed. No wet animals, unshorn lambs, or blankets of any kind will be allowed on animals as they are weighed.
6. Members are responsible for calculating shrinkage on their market animals.
Vet Check:
1. It is the exhibitor’s responsibility to disclose all concerns.
2. After check-in, all health concerns are to be addressed by the show veterinarian and superintendent (grounds for dismissal).

Manageability:
All market cattle will be weighed in at tagging and at check-in. All members MUST be able to lead their cattle to the scales, off
the scales and stop their cattle by themselves with absolutely no assistance. Nose rings may NOT be present. Any cattle found
to be unmanageable and not meeting the project leader and/or superintendent’s final approval at Yavapai County EXPO
check-in will be given a second chance that same day, however if they are still unable to satisfactorily complete the task, they
will be sifted from Yavapai County EXPO at this time.
Department Rules:
1. National Show Ring Code of Ethics will apply to this and all departments – please read carefully.
2. Exhibitors must own the animals they are showing. Breeding animals may be leased under an approved lease agreement. Proof of
lease is required with entry forms.
3. Exhibitors must show their own animal. If entered in a market class that animal must be used in showmanship, breeding can be
used in the event market is not entered.
4. Care and preparation of the animals is the responsibility of the exhibitor. (See National Show Ring Code of Ethics)
5. Grooming chutes must stay in designated grooming area.
6. All cattle must be fed and watered prior to 8:00 am and after 5:00 pm each day. Exhibitor must provide halter and neck rope,
which will be required whenever the animal is tied in the barn or tent. All stalls, pen areas and aisles must be kept clean and neat.

Dairy Cattle Division Rules:

Recognized Purebred category.

All Other Crossbred Category.
Swine Classes: Class 1 - Duroc (Must be red, with droopy ears, and show
no white spots or markings. Black spots must be
no larger than a quarter.)

encircling the front legs and shoulders. Must have

to sell through the EXPO auction
3. Wether lambs must be castrated at the time of ear-
tagging or they will not be tagged
4. Lambs must still have their lamb teeth and are
without evidence of eruption or either 2 permanent
front teeth at tagging.
5. The minimum weight for Southdown and Cheviot
lambs is 80 lbs. Dorper is 75 lbs. The minimum
weight for all other breeds is 90 lbs. There is no
maximum weight on lambs; however, the maximum
sale weight will be 150 lbs. Underweight lambs will
show as Prospects and will not sell in the auction.
6. Lambs must be slick shorn to ¼ inch or less of wool
at check-in
7. Animals may be either registered or grade.

2. Dogs must have been trained exclusively by the 4-H / FFA member enrolled in a Dog Care & Training project for the current 4-H / FFA year. The skills exhibited by the dog must be the result of the 4-H / FFA member’s work with that dog.
3. An exhibitor may show as many dogs as desired in Agility and Obedience classes. A SEPARATE ENTRY FORM must be submitted for each dog.
4. The exhibitor must notify the show superintendent whether they will be tabling their dog BEFORE they enter the show ring.
5. Dogs must be bathed and/or clipped prior to arrival at EXPO. The exhibitor must do all grooming.
6. Female dogs in season or those five weeks or more pregnant must not be brought to the show grounds.
7. Dogs must be current on age appropriate vaccinations, and have a current rabies certificate from a licensed veterinarian. Dogs exhibiting an illness, injury, or lameness may be excused from showing.
8. Dogs must be attended and on leash at all times. Prong or training collars will not be permitted.
9. Exhibitors are fully responsible for accidents either to their dogs or caused by their dogs.
10. Dogs displaying aggressive or inappropriate behavior will be excused from the EXPO grounds.
11. All Dogs will be able to be shown no matter breed or ability. (Minor lameness will not be disqualified)
12. All Dogs must have proof of Canine Good Citizenship (CGC)

+ Obedience classes will be based on American Kennel Club Standards.
+ Obedience Pre-Novice A class is restricted to first year Dog Members. Both Dog and Handler cannot have competed in dog show prior to this show. Pre-Novice B class is for those members and/or dogs who have completed in Dog shows and/or it is their 2nd year or more Dog Members. Additionally, any exhibitor who has previously placed first in the Pre-Novice B class with their dog must compete in the Novice division.
+ Obedience classes, may be combined or split at the discretion of the show superintendent.
+ All obedience classes will be judged on a point system.
+ Treats may be not be used during obedience or rally classes and if found will be cause for disqualification.
Division B: Agility Division Rules – Off Leash Only

Indoor Exhibits Department Rules:
1. 4-H members must be enrolled within the project in which they are exhibiting and must exhibit the required exhibit as stated in the Yavapai County 4-H Project Requirements.
2. FFA members must be able to show that their project is related to their agriculture education class or an integral part of their Supervised Agricultural Experience.
3. Work must exhibit the member’s own efforts and have been produced within the current 4-H/FFA year.
4. Cloverbuds are only eligible to enter specific Cloverbud divisions. There is no cost for Cloverbuds to enter.
5. No project may be larger than 2 feet wide by 4 feet long by 6 feet tall.
6. Educational exhibits must be free standing and should include supporting materials.
7. Place a 3”x5” exhibitor display label on each exhibit. The display label should contain the name of the item, the name and age of the exhibitor, name of the project enrolled in and name of the 4-H club or FFA chapter.
8. To be eligible for a Best of Show Award, the exhibitor must have earned a blue ribbon on their exhibit. The quality of the exhibit item must be deemed superior quality by the judge.

All Exhibitors must participate in showmanship. All market entries must use their market entry in showmanship competition;
however if the exhibitor does not have a market entry, they may use their prospect or breeding entry for showmanship; both
divisions compete together.

• Animals that are the product of artificial insemination are eligible, provided they and their mother meet the qualifications of

All Junior and Senior Showmanship Division Grand Champions will qualify for and are expected to compete in
the Junior and Senior Round Robin. If an individual qualifies in more than one species, they must choose one
and allow the next placing individual to show in the other species.
In the Large Livestock Round Robin Contest, contestants will be required to show: Beef Cattle, Dairy Cattle, Market
Swine, Lamb, Goat, Dairy Goat, Pygmy Goat, and Dog (pending on what is shown at EXPO.) Exhibitors must show
the same animal that they won their showmanship class with when competing in Round Robin, presenting their own
animal and then rotating to show all the other exhibitors’ animals.
In the Small Livestock Round Robin Contest, contestants will be required to show: Poultry, Rabbit, Cavy, Turkey,
Pigeon, & Waterfowl (pending on what is shown at the show.) Exhibitors must show the same animal that they won
showmanship class with when competing in Round Robin, presenting their own animal and then rotating to show all
the other exhibitors’ animals.
Each contestant will show each species for a limited amount of time. At the end of the time limit, the contestant will
move onto the next species. The competition will conclude when each contestant has shown each species.
Rules and Regulations:
1. Time Allowed: Contestants will be allowed 5 minutes for showmanship.
2. There will be a separate judge for each species, each judge will be provided with a score card and criteria for
judging.
3. The scores from each species will be added and the contestant with the highest combined score will win.
In the event that two exhibitors have the same combined score, a tie will be broken in this order:
a. Exhibitor with the highest score on the species that qualified him or her for Round Robin wins.
b. Exhibitor with the most consistent set of scores wins.
4. Contestants will be dressed in the show clothes of the species they won showmanship with. These should be
clean and neat. There will be no talking to other contestants or parents or friends. Any talking or outside coaching
may result in disqualification.

Auction attire:

Auction Rules
1. Exhibitors may sell one large livestock, one small stock, and/or one indoor exhibit during the live auction. Market and/or breeding animals may be sold.
2. Large market livestock entries must have an I.D. Form on file at the Cooperative Extension office. 3. Exhibitors must participate in both conformation and showmanship for that species in order to sell through the auction. 4. All ribbon awards: blue, red, and white, will be permitted to sell. No private treaty or barn sales are permitted during the
EXPO auction. All private treaty sales must be conducted off the EXPO grounds after the EXPO Auction. 5. Single Sale Rule: The Yavapai County EXPO is conducted in accordance with policies and guidelines established by the
University of Arizona which state that each 4-H member may exhibit their project animal in multiple counties and/or statewide events. The rules for EXPO will remain the same as in the past. Exhibitors may sell one large livestock, one small stock, and/or one indoor exhibit during the live auction. Market and/or breeding animals may be sold. Exhibitors are required to sell ALL Grand or Reserve Champion market beef, lamb, swine, or goats. For the 4-H year 2020/2021 the single sale rule continues to be lifted. Lifting of the “Single Sale Rule” means that a 4-H or FFA youth may sell at multiple in-county livestock auctions in any given year.
6. Each exhibitor’s highest placing blue, red, or white ribbon animal will be listed in the sale catalog unless a Withdrawal Request has been submitted no later than 5:00 pm Friday of EXPO. Exhibitors may substitute a lower placing entry at the same time the Withdrawal Request is submitted, provided all other sale rule provisions have been met.
7. Under no circumstances will an exhibitor whose sole sale prospect dies or becomes sick or injured to the point of being unable to show or has been otherwise termed as unfit, be allowed to sell in the Yavapai County EXPO Livestock Auction.
8. Market animals that are deemed ineligible for sale at the EXPO Livestock Auction MAY BE REMOVED FROM THE EXPO GROUNDS UPON OBTAINING A RELEASE FROM THE APPROPRIATE SUPERINTENDENT.
9. The Yavapai County EXPO Committee does not guarantee the sale of any animal. Every effort will be made to market each animal while in the auction ring.
10. Animals are NOT to be costumed or decorated in any way. Only approved animal show products may be used. Any animal that is determined to not be in a clean condition will be refused entry until it has been properly cleaned. Upon being properly cleaned, every attempt will be made to market the animal at the next opening after having been re-presented to the ring gate keeper. If the last animal has been marketed prior to your returning with your livestock being in a clean condition, you will have forfeited your opportunity to have your animal sold at auction.
11. Only awards allowed in the auction ring are those earned for conformation and/or showmanship by that animal at the current year’s EXPO.
12. A 7% commission will be deducted from the total proceeds, including add-ons, of each animal. 13. Premiums from the sale of livestock at county fairs: Livestock shows, and sales are a historic part of the 4-H experience.
Young people who have raised animals through their 4-H projects often sell these animals at public auctions. The money the youth receive from such sales is often in excess of fair m a r k e t value because members of the community typically wish to reward and recognize the efforts of young people who raise these animals within an educational setting. ➢ 4-H & FFA members who benefit from extra income (often called a premium) from the sale of livestock at public auctions are responsible for reporting this extra income to the IRS. You will receive a 1099 for the amount of the auction. An exhibitor’s social security number is required for tax purpose.
14. It is your responsibility to thank your buyer for purchasing your animal. The annual support of the buyers makes the
EXPO a success. Taking the time to thank your buyer is an important part of the process. The ways of thanking them are as varied as the exhibitors. Some suggestions of ways to show your gratitude include: a gift given at the EXPO; a hand-written thank you note; personally, thanking your buyer at the auction or their place of business; a luncheon. Choose whatever way you feel most comfortable with and best express your personality – but, choose a way. The EXPO Committee expects 4-H leaders and FFA advisors to ensure that their exhibitors have thanked their buyers prior to issuing them their check. Every effort will be made to have checks available for distribution within 45 days of the auction. However, checks will only be distributed once adequate funds have been collected from the buyers.
15. ALL exhibitors must show their own animal during the auction. Any exceptions must be approved by Executive Committee. Anyone in violation of this policy will be banned from the sale ring and forfeit their right to sell at the auction.
16. Any medication given for the health of the animal to treat a disease or infection within 30 days prior to being received at the fair must be declared to the Extension Office within 10 days of the first dose of medication. An animal must be healthy upon arrival and weigh-in at EXPO and be accompanied by a clean bill of health by a licensed veterinarian.
17. Treated animals may be shown and sold through the auction but sale of the animal does not become final until all medication withdrawal periods have been met. The member will continue to care for and own the animal at their expense until sale is final and is properly delivered to the buyer. Failure to care for animal will cancel sale and forfeit all sale monies, the owner will stay pay designated auction fee. Full disclosure of the medication and the withdrawal period will be announced at the auction and buyer will sign a disclosure statement stating they understand the condition of the sale.
18. Any violation of these rules may result in disqualification from EXPO and/or suspension of 4-H membership (to be determined by Leader’s Council), and/or forfeiture of EXPO scholarships, sponsorships, awards, and premium (auction sale price less market value) received for a project at auction.
EXPO ‘Resale’ Terms & Conditions
1. The Yavapai County EXPO Committee will be responsible for all large market livestock resales. Small Stock are not eligible for resale. Note: Small Stock sellers should be prepared to take their animal home in the event their buyer does not wish to take possession of the animal.
2. All animals designated for resale by the original buyer are subject to purchase on a “first-come, first- served basis.” Resale orders will be taken beginning at 9:00 am on the Saturday of the auction.
3. A $100.00 handling fee per animal is required for any group or individual wishing to purchase one or more resale animals. The entire purchase price will consist of the $100.00 handling fee, plus current market price.
4. All handling fees are due at time of registration. Full amount (current market price x weight of animal) is due by 5:00pm, on the Saturday of the auction.
5. If animals are unavailable, all handling fees paid will be promptly refunded.
6. At no time may EXPO officials, Committee members, Extension personnel, 4-H or FFA leaders or members ‘trade out’ or switch animals whose disposition has been lawfully designated by the original buyer.
7. EXPO officials, Committee members, Extension personnel, 4-H or FFA leaders, advisors, or members who attempt to convince or coerce buyers to amend their original bid or otherwise adjust the original disposition of their (the buyer’s animal), are guilty of unethical behavior. Such unethical behavior will be grounds for expulsion from EXPO, forfeiture of auction proceeds and/or awards and premium monies and shall be barred from participation in any future EXPO Event.

Yavapai County EXPO has funded the revolving memorial awards which include the Mandy Michaels Memorial Award, The Karen Clingman Memorial Award and the Wayne Johnson Memorial Award. These have been awarded at past opening ceremonies
during the auction. The EXPO Committee and Board have decided to temporarily suspend these awards due to financial concerns and will revisit how we can sustain these awards in the future.
These awards will be revisited next year. Please contact the Chairman with any questions or concerns.
Educational Scholarships and Camp Scholarships will be awarded with the following qualifications:

Current graduating high school student. This applies to students who graduate early from high school. High school graduate in their freshman year of college not to exceed 19 years of age.
