Exhibitor Attention
Entrance Rules
Please fellow the schedule of exhibition hall, half an hour before and after the
audience enter during the exhibition.
Stop issuing the name tag one hour before door close every day. The audience
reception will be closed at the same time.
Exhibition Site
Exhibitor should pay attention to the environment, floor, wall, panel, and other equipment of the
exhibition hall. If related facilities destroyed, exhibitor needs to compensate for it.
Exhibitor should keep the order consciously, all business or advertise activity only can be
proceeding in the rental scope; Roll up Banner, X shelf, and other form advertising is not allowed
to put out of your booth. Otherwise, the organizer has the rights to confiscate; Any product
catalogue, brochure, souvenir, is not available sending outside your booth.
Goods Safety
In the period of construct and remove, please take care of your belonging, such as phone,
laptop, suitcase etc.
Please keep your exhibit in the lockable cupboard or take other effective action before door
close.
The third day of construct until 21:00, please take care your exhibit.
Exhibitor is responsible for your own exhibit, exhibition security only responsible for safety
(monitor is for fire control, can’t recognize identity.)

Volume Limit
In order to maintain a well meeting environment, please control your sound equipment below
60 decibels.
To the booth beyond 60 decibels, organizer has rights take action to stop it.
Site Clean
Exhibition cleaner only responsible for public area and aisle cleaning, in order to protect your exhibit,
exhibitor need to clean your booth.

Exhibitor could get remove card at reception 11a.m. show it to the security

Exhibition Security Guarantee
According to the requirements of Beijing Municipal Public Security Bureau and Beijing Municipal Fire Bureau,
to make sure the safety work during exhibition, the exhibitor in 2016 Security China should be strictly in safety
regulations, send a staff responsible for safety and sign security guarantee. As fellow

2. Assist organizer to maintain order in exhibition hall.
3. Strictly fellow the construction requirements of exhibition hall.
4. Prevent fire, explosion, theft, take good care of your exhibit.
5. Be familiar with safety equipment, including fire hydrant, fire door, emergency exit and location of security
office.
6. In case of emergency, timely alert and assist organizer command staff leave immediately from the
danger zone through emergency exit. Hope your company pay sufficient attention to security, work

Organizers require exhibitor’s exhibit is same with application; all the documentary evidence is legal, not
involving any brand, intellectual property or other illegal act. Make commitment.

Attention
1. NCIEC provides: During construction and remove, all personnel into the hall must wear
qualified helmets (please prepare in advance).Or it’s not allowed to enter, helmets shouldn’t be
taken off in hall. The exhibition hall will be a fine of 200 Yuan according to the relevant safety
regulations.
2. If not prepare helmets in advance, service center provide rental service.20yuan each,
prepaid 50yuan deposit.
3. It’s not allowed to enter the hall without certificate. If there is any problem for force
entrance, organizer and official constructor held accountable for their respective
responsibilities.

1. Raw space constructor registration
Please submit information and pay related costs to official constructor before 12th Sep 2016. 30%
emergency fee will be charged from 12th Sep to 30th Sep. 50% emergency fee will be charged after 30th Sep.
Workers need to certificate at official constructor from 27th Sep to 29th Sep 2016. Don’t forget take your ID
card and invoice with you.
Please get your construction permits and vehicle permits at official constructor from 12th Oct to 14th Oct
2016.

Drawing assessor fellow Exhibition Construction Regulations check whether the information is complete
or not. And fill opinion after it. Constructor need submit again as soon as he received the signature.

Raw space exhibitor attentions
Self-built
The organizers provide space only, without any facilities. Exhibitors need design, construct, remove and
clean by themselves.
Exhibitors should look for a professional company provide design and construct service. Please carefully
consider several factors, experience, strength, service to prevent inconvenience in exhibition.
Material for booth should accord with national requirements. Construct company should leave a principal
on site.
During exhibition, constructor should stay on site to keep safety and deal with problem.
Fire Precautions
Please choose environmental and fire-retardant materials for booth decoration, power connection should be
insulation. According to electric quantity choose wire lead sectional area. The area shouldn’t be smaller
than 1m ㎡. Inflammable materials need to brush fireproof coating on the back.
Attention: All raw space booths should be made fully enclosed, leave at least two entrances for emergency
needed.
According to Beijing Fire Bureau: All fire hydrant in exhibition hall must be completely exposed. If hide
by booth, please open a door on back and mark the words fire hydrant.
Do not use cotton fabric.
Do not use lawn.
Exhibition Limit
1 meter behind rack,1 .2 meter keep away from fire equipment, toilets and other public facilities. Hanging
point is not allowed.

Can’t build any structure under Fire shutter, or hide the pillar, fire facilities, electrical equipment and
emergency exit.
Standard Height & Area
Raw space height limit is 5 meters (4 meters around exhibition hall), can’t be capped.
Raw space ceiling area can’t exceed 50% of booth area.
Construction area shouldn’t exceed the lease area.
Booth Appearance
In order to keep your and neighboring booth appearance, please make decoration on the back board.
Booth Volume
In order to maintain a nice meeting environment, please control the volume under 60 decibels. Otherwise,
organizer have the rights to stop power supply.

Raw space construction regulations
1.Raw space construction regulations
1.1 The appointed Contractor need to submit the design according to the construction regulations and to
pay for all related fees and deposit.
1.2 The height limit of the Raw Space booth is set at 5 meters and 4 meters around.
1.3 No naked flame or welding is allowed in the exhibition halls. No inflammable, explosives, poison and
corrosion shall be allowed to be brought into the exhibition halls.
1.4 Material for booth decoration must comply with the safe standard and rule of
the fire regulation. No inflammable, fiber cloth, elastic fabric, curtain cloth or gauze shall be used for
decoration.
1.5 Strictly prohibited to use Hall as the top of the grid structure of the temporary stand hoisting tools.
Please be carefully in the design.
1.6 All exhibitors and/or its contractors must clean all the waste before Show Days.
1.7 Booth Construction Rule
a) Carpet or other floor material must be laid on to the contracted floor space.
b) No part of the booth structure may extend beyond the boundaries of the site allocated. Include name,
brand and poster.
c) Exhibitors are to construct exhibition walls respectively and are prohibited to take advantage of
neighboring exhibition wall to show its own name and/or logo.
d) The back of the display units, advertisement and signboards must be suitably covered and approved
by the Organizers/Official Contractor.
e) Whether for booth or exhibit fixing, no nailing, drilling on the floor, pillars or walls will be allowed,
adhesives and glues on the floors, pillars or walls will be strictly prohibited. Exhibitors shall be liable
for all costs arising from restoring or repairing facilities. Exhibitors are responsible for any misbehavior
of its staff and the staff of its agents and contractors.
f) Steel structure pillars shall be seamless steel tube with minimum diameter of 100mm and welded with
flange plate to reinforce stability.
g) The width of the main structure wall of the stand shall be no less than 120mm. Over 6m span of wall
and steel structure shall apply crossbeam at the top and pillars at the bottom to ensure integral strength
and stability.

h) When working high above the ground, should fasten the seat belt.
i) Clean the dustbin at the same time, can’t built storage in the hall.
1.8 Booth Fitting & Boundaries
a) All booths and national pavilions must be carpeted or laid with some form of flooring as
clear demarcation of contracted space within the Exhibition hall. Except for island booth and
national pavilion structures, a back wall must be installed for all other structures. Booth with
adjoining neighbor(s) should also be separated with the necessary side-wall(s).
b) Exhibitors are not permitted to display, hang, or distribute any exhibit, material, furniture or
product, nor extend their structures and fittings, beyond their contracted boundaries.
c) Unless permitted by the Organizers/Official Contractor, no exhibitor shall be allowed to hang any
decorations or other articles in public area.
d) Erection of partitions or display boards which could hamper the fire fighting system and the
air-conditioning diffusers and air flow inside the Halls / Rooms is not allowed, all the entrances
and exits shall remain open and clear, booth or exhibits are not allowed to block the passages and
entrances which designated by the Organizers and fire safety bureau. In case on violation of such
rules, the Organizers / Official Contractor and fire safety bureau reserve the right to adjust and
reconstruct such booth and all charges are to be borne by the exhibitors.
e) Any temporary structures erected must keep a minimum clearance of 1.2 meters (4 feet) from door
opening to fire cabinets, electrical and mechanical riser and alarm call points. The back wall of
the booth shall keep at least a distance of 60cm from the wall of the halls to make the security
check easier.
f) The Organizer suggests the booth design and construction take non-eyesight-block into
consideration to optimize the overall visual effect of the exhibition.
g) The Official Contractor reserve the right to arbitrarily request modification of the size of back
board(s) or side board(s) if they are deemed to block neighboring stand or passages. Moreover,
the wall & board facing neighboring stand and public areas shall be in high quality subject to the
Official Contractor’s recognition.
1.9 Painting
Major paintings of displays and exhibition materials are not permitted in the exhibition hall during the
set up and exhibiting days. However,” touch-up” painting of the displays and
Exhibition materials is permitted in the Exhibition hall, provided such work is undertaken during
the Move-in period only and all safety precautions and protective surface coverings are put in place.
These precautions include:
a) Painting in an area with proper ventilation
b) Use of Non Toxic Paints
c) Covering the concrete floor with plastic sheet

d) No painting near the Center's vertical structure(i.e. walls)
e) No washing of paint material within or surrounding the center
1.10 Two-storey Construction Rules
Two-storey booth Contractors shall also observe the following rules & regulations:
a) Two-storey constructions must be designed in such a way, that it is possible to install and dismantle
within the designated move in and move out period. No upper storey is allows across the aisles. Special care
must be taken into consideration such as do not obstruct or hide from the view the fire protections system,
air conditioning, mechanical ventilation vents, fire safety equipment, fire hose reel/riser cabinets, fire alarm
pull stations, house lighting fixtures and supervising systems.
b) Balustrades of upper storey must be at least 1.05 m in height.
c) load-bearing capacity
◆ Load-bearing capacity strength of ceiling:
The load-bearing capacity of the upper storey when used for general meetings and presentations and /or as
storage space must be a minimum of 5KN/m2, insofar as a higher capacity is not required in accordance
with DIN 1055,Part 3.In accordance with DIN 1055,a capacity reduced to 2KN/m2 is permissible under the
following conditions:
◆ Use of the upper storey as office, salesroom (less than 50sqm in area),lounge or hallway, within which
persons only stay for limited periods. The stairways must be closed to the general public with corresponding
signs clearly visible. The designated use of such rooms must be clearly indicated in the planning documents
submitted.
◆ Strength of stairways:
All stairways are to be constructed in accordance with DIN 18065, with a load-bearing capacity of 5
KN/sqm
◆ Strength of balustrades/banisters:
Balustrades and banisters must be designed within booth horizontal loads of 1KN/m at the
level of the handrail.
d) Fire prevention:
◆The maximum length of any escape route from the upper floor to the aisle is 25 meters.
◆ Second floor is not allowed exceed 30% of the first floor.
◆ The space beneath and alongside open-tread stairways must not be used for storage, or for the installation
of shelves.
◆ No area of the upper storey may have a closed ceiling or canopy. Metal grids 1cm×1cm in modular
dimension are permitted. Inclusive of lighting elements, the open area must comprise at least 50%
◆ From every room from the booth could see outside exhibition hall clearly.

◆ All cabins and enclosed areas must permit clear sight of the outer exhibition hall. Up until final approval
of the completed booth, additional measures of safety or fire prevention may also be imposed if deemed
necessary.
◆Every two-storey should have at least one security guard, responsible for fire protection.

Raw space construction regulations
2. Booth Cleaning
2.1 During build-up period, light trash can be placed indoors properly, whereas large size construction trash
must be removed to outdoors specified place.
2.2 During show days, the Organizer will take responsibilities to clean the passage before opening time.
Exhibitors please put the trash on the passage after the close time and keep the stand tidy from time to time.
2.3 During Tear-down period, all the structures, equipment and trash of the stand must be dismantled and
moved out. In case of malicious abandonment, the Official Contractor reserve the right to non-refund the
construction deposit.
3. Water & Compressed Air and Electrical Supply
3.1 The Official Contractors to carry out all electrical work on all booths both standard booth and raw space
at the Exhibition and all charges therefore shall be paid by the exhibitors.
3.2 For the security reason, the connection of water\power\compress air from main switch is installed by the
exhibition hall. The exhibitor is responsible for the connection to their machine and equipment.
3.3 The Organizer provide general lighting and power supply with three phase 380v/50hz and single phase
220v/50hz in the hall. Single phase 220v/50hz 5amp power supply is provided for standard booth. Standard
booth supply with (220V/50HZ 5amp) Exhibitors who need extra power, water and/or compressed air
supply shall complete “Form 3, Water & Compressed Air and Electrical Application”.
3.4 Electrical will be cut off 10 minutes after the closing of the exhibition each day. However, a 24-hour
power supply can be provided at the exhibitor’s cost by prior applications to the Official Contractor.
3.5 Temporary power supply can be arranged during move-in and move-out, please contact the Official
Contractor should you require such services.
3.6 The electrical requirement for lighting and power should be applied separately.LED need to supply
power.
3.7 Electrical workers must hold professional certificate and operate properly subject to inspection of the
Official Contractor and the exhibition hall.
3.8 All lighting fixtures and electrical facilities and materials must conform to safety criteria and standard.
The minimum sectional area of the insulation conduct is 1mm2. All connections of electrical appliances

must be covered without exposure.
3.9 Exhibitors who rent the compressed air and water from the Official Contractor should provide their own
air drier and water circulation device.
3.10 According to the Beijing municipal governmental regulations, if machines need water circulation, such
device must be provided by exhibitors and direct drainage is not allowed otherwise, the exhibition hall have
the right to refuse its water application.
3.11 All air compressors and other pressure vessels shall be installed in the specified place outside the
exhibition halls.
● Attention
a. Please ensure that you had ordered sufficient power for your exhibits and equipment, over electrical
capacity is not allowed.
b. No strong-lights, flashing lights, neon lights could be used by the exhibitor. All electrical devices shall be
warranted for safety. The Organizers/Official Contractor shall stop the supply of electrical to those
exhibitors whose electrical devices have hidden danger.
c. Please ensure that you had ordered one power outlet for each individual machine, and no universal
extension outlets shall be used.
d. If any exhibitor's electrical real capacity exceeds the applied capacity, and cause harmful effects to the
operation of the machines of other exhibitors or the electrical system of this show, the Organizers/Official
Contractor shall immediately stop the supply of electrical to such booths, and exhibitors should be
responsible for any losses caused therefore.
e. No compressed air system is allowed to be placed in the hall. Please contact the Official Contractor if you
need to order any compressed air for your equipment.
4. Booth Remove
4.1 Booths may be dismantled only after the closure of the exhibition show days. All dismantling and
restoration of the flooring must be completed no later than 21:00p.m. 28 Oct, 2016.
4.2 After the above-mentioned date, the Organizers/Official Contractor shall be at liberty to remove and
store the exhibits until claimed by the exhibitor. All the costs thus caused by the removal and storage and
the risk of theft, loss or damage shall then be the exhibitor’s responsibility.
4.3 Constructor needs to inform official stuff to verify, leaving the hall with admission. Otherwise, any
consequences will carried by exhibitor or contractor.

5. Damage to Hall Facilities Caused by Exhibitors
Once the exhibition is closed, stands, including flooring, must be restored to their previous condition.
Exhibitors shall be liable for any damage caused to the building or its equipment and for damage to flooring
caused by the leakage of oil.
6. Fire Precautions
6.1 Any inflammable materials are prohibited.
6.2 Every 50 ㎡ should prepare a fire extinguisher.
6.3 Keep clear of fire-fighting passage at any time.
6.4 No smoking in the exhibition halls.
6.5 All exhibitors/contractors and their employees, agents and other staff must observe the fire prevention
law and regulations of the government and NCIEC.
a) Any person who encounters an outbreak of fire, however slight, should activate the fire alarm and
subsequently endeavor to extinguish it or confine it with the fire extinguishers and/or remove all items in
that vicinity.
b) Booth panel and other service area can’t store packaging material or brochures. Keep away from the fire
exits.
c) Written approval must be obtained from the Beijing Fire Safety Bureau for the following:
◆ Display and use of any heater, barbecue, heat producing or open flame devices, candles, lanterns, torches,
welding equipment or other smoke emitting materials as part of the exhibit.
◆ Display and use of any electrical, mechanical, or chemical devices which might be deemed hazardous
must be submitted to the appropriate controlling authorities for approval.
◆ All toxic and hazardous material, including flammable liquids, compressed gas or dangerous chemicals
is prohibited in the hall. Advertisement balloons are prohibited to hang in the exhibition halls.
◆ Each booth should appear a sufficient number of fire extinguishers and other fire-fighting equipment,
as detailed in” The provisions of the Beijing Municipal Fire Safety”.
7. Local Regulations
7.1 It shall be the exhibitor’s duty to respect and honor all local regulations, in particular safety and fire
regulations, and local administration laws and regulations.
7.2 The Organizers has been entrusted with the execution of all regulations on the premises and exhibition
venue and shall be authorized in case of non-compliance to take necessary action.

i. Builders shall strictly abide by the “ Safety regulations on Large-scale Social Activities in
Beijing”, “Fire Safety regulations on Exhibition”, “Regulations in the Construction of
Exhibition Facilities in New China International Exhibition Center”, “ The Detailed
Implementation Rules in the Construction of Exhibition Facilities in New China International
Exhibition Center “,The penalty Rules in the Construction of Exhibition Center’ , The
Environmental Requirements in the Construction of Exhibition Facilities in New China
International exhibition center “ and other relevant rules and regulations, also put all their
activities under the construction management and supervision ,inspection of relevant
department of New China International Exhibition Center Group Corporation (hereinafter
referred to as NCIEC)to ensure the safety to the booths and personnel.
ii. Before construction, the builders shall undergo the procedures of registration of their
construction qualifications, construction blueprints for approval , etc . in accordance with the
relevant rules and regulations of NCIEC, and pay the related fees.
iii. The builders are responsible for the safety and fire prevention during construction period
where they should appoint a person in charge of safety and prevention onsite.
iv. The booth structure should be firm and safe .Fire-retardant or fire-proof materials should be
used in booth construction, and the use the elastic cloth and textile cotton fabrics for
decoration is prohibited.
v. Hanging or binding of the booth structure on the exhibition hall, pillars, and railings of second
floor and on the various special pipelines is prohibited .All the substances should be
connected to the main structure of its own booth .Using the grid on the top of the exhibition

hall as a tool for hoisting booth structures is strictly prohibited.
Vi. Before the building of two-storey booths or a booth with complex structures and the
open-air booths, the construction units are required to provide a detailed plan of the structure
of the booth bearing the stamp of approval by certain design institute with relevant
qualifications and the stamp of a registered construction engineer at National level 1 and an
audit report. From design to construction, builders should take full account of booth security,
ensuring that all connections of the booth structures and the overall booth construction are
firm.
Vii Two-story booths must prepare fire extinguishers passed the annual inspection.
Viii Booth structures in the exhibition hall shall not be allowed to block the fire facilities,
electrical equipment, emergency exits and visitors’ pathways. Floor structures must be within
the scope of the booth where the structure edge should have a gentle slope leading to the
public pathway to prevent the gap with the ground causing body harm. Construction of booth
structures, booths, the whole floor structures and stacking of a variety of goods under the fire
shutter doors are prohibited.
Any form of packing or shielding of the exhibition hall column near the fire shutter doors is
prohibited to ensure the smooth movement of the fire shutter doors.
Ix The heights of the booths with special equipment should not exceed the limits. The
height limit in the hall is 5m.
X Wind prevention measures must be taken for the outdoor booths to ensure the toughness,
stiffness, firmness and local stability of the booth structures.
Xi Use tempered glass for decoration and ensure its toughness and thickness ( for glass walls,
the minimum glass thickness is 8mm). The installation of glass shall be suitable and reliable.
When installing glass, put glass pieces into metal frames or fix them with special metal
pieces, with elastic materials as cushions between metal and glass for safety. Put obvious
warnings on big pieces of glass. Don’t fix pillars and walls on glass-made floors, fix them on
the solid floors under them instead.
Xii Materials used for building booths shall be in conformity with the standards of materials
used for temporary buildings set by the relevant government branch and with the standards
of environmental protection. In addition, the materials chosen shall reflect the characteristics
of the exhibition.
Xiii No smoking in the exhibition hall. No flammable, exposable materials and no fire during
the construction.
Xiv Booths must be roofed by less than 100% ( including 100%) so as not to influence or/and
block the fire alarm system.
Xv Construction workers must show correspondent entrance permission cards and
professionals must show correspondent certificates when entering the center for
construction.
Xvi Neon lights must be used for decoration. Electrical equipments and materials(such as
lightings) must have CCC on them and shall be installed and used according to the
standards and procedures concerning the use of electrical set by Beijing municipal
government. Electrical equipments shall be connected by double insulated cables and the
terminals must be kept in insulated boxes without been exposed.

Xvii Power is supplied for 24hours by NCIEC, but it is not for unremitting use.
Xviii Builders shall not use the fixed facilities (such as power distribution boxes, water supplies,
gas supplies, etc.) in the exhibition hall. Lightings, sockets, distribution box and the like for
outdoor use must be water-proof, and electrical equipments for outdoor use must be placed
with water-proof measures.
Xix After the opening of the exhibition, builders shall appoint a staff / staffers, staying in the
hall and maintaining safety.
Xx After the exhibition, builders shall move all building materials away from the hall and do
cleaning necessary with no materials left in the exhibition hall.
Xxi The Dept. supervising the booth building reserves the right to impose restrictions in
special occasions. And the Dept. officials have the right to enter booths for inspection. All
special contractors have to finish clearing the stand before the dismantling period, without
leaving them around the exhibition hall. Otherwise ,the official service department has the
right to strike off all the construction deposit.
Xxii Cruel construction is forbidden during the setup/dismantling period. The Contractor shall
bear all responsibilities for accidents hereto.
xxiii Builders shall bear all responsibilities for all accidents(including death ,fire , damages
to the facilities in the hall ,etc.)rising from their violations of the above stipulations and
compensate NCIEC for all economical and nominal losses caused by them.

2. The booth with two-storey design must provide particular structure drawings with stamp of
qualified institution. Safety must be taken into fully consideration from design to
construction to ensure stability of integral structure and each conjunctions.
3. No carpet on the second floor. The material applied shall be fire-proof metal decker and
meet B1 fire-prevention.
4. Fire extinguisher must be applied every 50 sqm for the second floor.
5. The area of the second floor shall not exceed 1/3 of the area of the first floor and the stairs
is straight rather than spiral.
6. High power lights are prohibited for the second floor and the second floor cannot be

sealed roof.
7. Power safety must be guaranteed during the whole exhibition. If the official contractor
discover safety hidden dangers in terms of power use or the capacity is over – used,
contractor must take measures to book more electricity box otherwise the power supply
will be cut off.
8. Safety staff shall be on-site everyday during build-up, show days and tear-down, to ensure
safety of the two-storey booth.
9. All the materials must be dismantled and removed out of exhibition hall during tear-down.
No stacking in the booth or within the exhibition.
10. Careless construction is prohibited otherwise contractor will be held full responsibility for
any safety incidents aroused.
11. Any violation of the above terms and conditions by the contractor during build-up
tear-down or transportation will hold the contractor itself full responsibility for any
casualties, and/or damages etc and shall remunerate any economic and/or reputational
losses incurred thereafter to the Organizer, the Official Contractor and NCIEC.

Standard booth exhibitor attentions
The size of standard booth is 3m×3m, 2.5 meters high.
Exhibitor name on fascia board will be written in accordance with the content of “Fascia Board
Registration Form” filled in by exhibitors.
All exhibits install by exhibitors shouldn’t exceed the height and scope, otherwise the
organizer have the right to require exhibitors change it, the costs borne by the exhibitors.
Exhibitors should take good care of exhibition panels, exhibition tools and exhibition hall
facilities. Strictly prohibit drilling metal tips, carving, scratching and drilling holes on exhibition
panels.
Please take all your material and brochure with you after exhibition.
Exhibitors are not allowed to change or increase the equipments, as a result of security
problem or damage, exhibitors must assume responsibility.
Exhibitors shouldn’t install lighting, outlet and other equipment without permission.
All electricity support by official contractor (Beijing Sinoplan International Exhibition
Co.,Ltd.),exhibitors shouldn’t install itself. Offenders will bear all legal responsibilities.

Exhibitors are reminded to send their exhibits directly to Sinotrans Beijing Company or to send them
to Sinotrans Beijing Company through our nominated overseas agents (the Overseas Agents List to be
submitted upon request). We hereby earnestly advise exhibitors to entrust their exhibits to our
nominated agents. We have a long-term cooperation with these agents who have accumulated rich
experience in documentation and on-site operation especially for overseas exhibits to be sent to this
exhibition. Thus, we believe they will provide the most convenient service to the exhibitors. If
exhibitors entrust their exhibits to other agents who are not nominated by us, these exhibits can hardly
be guaranteed the timely delivery to the booth before the exhibition, as well as the timely return from
China after the exhibition. In addition, exhibitors are requested to strictly abide by the stipulations and
deadlines in this Shipping Guideline in terms of documentation, information, and exhibits for this
exhibition. We also suggest to be informed of all the detailed information of the cargo volume one
month before the move-in period of the exhibition. This will enable us to easily make a complete plan
for the move-in operation including the allocation of manpower and lifting equipment to ensure perfect
services as well as a smooth and safe on-site handling to all the exhibitors.
Kind Reminder:
For sea freight, exhibitors should instruct shipping companies to release shipments at Xingang CY, not
Beijing CY or CFS. This can avoid complications created by customs procedures.
Exhibitors are reminded that our tariff for picking up cargos at Beijing CY or CFS is the same as for
picking up cargos at Xingang CY.

All exhibitors are requested to complete in full earnestly and accurately the Declaration Form and send

it to us according to our Time Schedule (deadline). A detailed and accurate description of exhibits and
relevant cargoes, including major components and quantities must be specifically declared on the form.
The abbreviations and shorter forms of all the exhibits should not appear on the declaration form. For
machines and equipments, relevant model numbers and H.S. Numbers must be declared completely
and accurately. According to the regulations of the Customs Authority, if there is any fault found in the
declaration, relative exhibits shall not be allowed for display in the exhibition, they will be compelled
to be directly returned from China, and a fine will be imposed by the customs.
Catalogues, display materials, souvenirs, gifts, give-away items, foodstuffs, beverages, cigarettes etc.
must also be clearly listed on the declaration form in detail.
Duties will be levied for foodstuffs, beverages, alcoholic drinks, tobaccos, cigarettes (only to be
allowed for self-use or self-consumption during the exhibition) as well as watches, calculators,
souvenirs, gifts and give-away items (All the give-away items must bear the symbol of the exhibitor’s
company and can only be given away after the inspection and approval of the Customs Authority and
the Quarantine Authority).
Goods, which are to be abandoned, should be inspected by the customs 2 days before the closing of
the exhibition. Goods cannot be abandoned without the approval of the customs and they should be
handed over to the customs in good conditions after the closing of the exhibition. The customs will
evaluate the abandoned goods for auction purposes. If the abandoned goods have an auction value,
they will be taken over by the customs; if not, they should be returned from China or destroyed in
China. All the expenses arising thereof should be borne by the exhibitor according to our Tariff.
Therefore, exhibitors are sincerely advised not to abandon their exhibits at random.
Model numbers of machines or machine tools and H. S. Numbers must be filled in the Declaration
Form for customs inspection purpose. For machines or machine tools without model numbers,
technical manuals should be attached to the Declaration Form.
The materials should be declared in details for stand or its fittings with value of over USD100.00.
Hand-carried exhibits brought to the exhibition must also be declared on an additional form.
For containerized exhibits, exhibitors are requested to mark on each Declaration Form the container
number under which exhibits are contained according to correct and clear serial number of the cases,

so as to facilitate customs clearance and on-site handling.
Exhibitors are reminded that measurement and weight of exhibits completed on the Declaration
Form must be strictly accurate as per the actual exhibits. Otherwise, a 30% penalty will be added to our
respective handling charges on the basis of the actual measurement and weight of the exhibits once our
on-site staff detects any false declaration. Furthermore, any loss of facilities and persons of our
company or the exhibition center, due to exhibitors’ false declaration of measurement and weight of
exhibits, will be reimbursed by exhibitors. All the penalty or reimbursement will be collected at the
exhibition site.
When the gross weight of an individual case of exhibits exceeds 3000kgs or when the total volume is
substantial, i.e. over 5 cubic meters, exhibitors should submit a drawn-to-scale layout to facilitate
transport and positioning of their exhibits. Case number and front side of the case must be clearly
shown on the layout as well as on the case.

If exhibitors do not consign their shipments strictly in accordance with the above Consignment
Instructions, they must bear all the responsibilities and accumulated expenses arising thereof (e.g.
delayed pick-up & delivery of the exhibits and/or the extra fees for special release of the exhibits by air
shipping companies etc.).
Once shipment is made, please advise us by fax or e-mail of shipment details including:
* Number of packages, volume and weight of the shipment;
* Dimensions and weight of each heavy and oversized package;
* Estimated date of departure and arrival; and
a) For sea shipments -- name of vessel, ocean B/L number (vessel name and B/L number for second
carrier, if any)
b) For air shipments -- MAWB number, flight number (HAWB number, if any)
For air shipments, Declaration Form must be attached with airline airway bills, as shipments can only
be cleared through the customs with this document.
Exhibitors are requested not to consign their cargoes via express mail/courier service (such as DHL
or UPS etc), since these cargoes will have to be cleared and picked up at the airport by us. Charges for
handling cargoes via express mail/courier service will be the same as the charges for handling
cargoes by airfreight.
6. Materials for censoring
It is stipulated by the Chinese Customs Authority that:
“Advertising materials, literatures and audio/video materials including films, lantern slides, recording
tapes, video tapes, optical discs and magnetic media products, records, photos, maps, illustrations,
directions, souvenirs, gifts, give-aways and other publicity materials shall be allowed for display or use
at the exhibition only after exhibitors have presented beforehand the above mentioned materials to the
Customs Authority for inspection and approval. Anything concerning political issues and any sign of

ROC is not allowed to appear on above materials.”
Therefore, exhibitors shall not make use of these materials before censoring. For this purpose,
exhibitors should send samples of the above materials (2 copies) to us together with Declaration Form
according to our time schedule. All these materials will be handed over to the customs for inspection in
advance.
It is advisable to send all audio/video materials (including their scripts and descriptions) to us for
censoring. Otherwise, exhibitors shall submit them to the customs through our on-site staff before
making use of them in the exhibition.
7. Hand - carried exhibits
Exhibitors with small enough exhibits can hand-carry them to the exhibition, although they must go
through the Red Channel and should declare to the customs at the Beijing Capital Airport that their
hand-carried items are for exhibition purpose. If the hand-carried items are detained by the customs at
the airport, exhibitors should hand over the Detention Receipt and Declaration Form (duly filled out) to
our staff at the exhibition site to arrange pick-up of the exhibits from the airport. Exhibitors arriving
late with hand-carried exhibits should be prepared that the customs formalities and pick-up procedures
may take up one to two days. In addition, exhibitors must fax or e-mail us their Declaration Form of
hand-carried exhibits (including number of packages, weight, measurement, description and value of
the exhibits) beforehand. Charges for arranging the above procedures will be collected at the exhibition
site.
These hand-carried exhibits will be returned to overseas as a shipment after the exhibition. However, if
exhibitors intend to hand-carry them back, these exhibits must be supervised to the airport by our staff
due to the requirement of customs, and those under ATA carnet will be treated the same way.
8. Inside-China cargo to be displayed at international booth
According to the Customs Authority,international stands are part of the customs bonded area. Any
cargo that is already inside of China with intention to be displayed at an international booth must be
declared to the Customs Authority. Exhibitors or their agents are especially reminded to submit the
List of Inside-China Exhibits to the Customs Authority through us for temporary registration and
further inspection. Otherwise,exhibitors or their agents must bear all the consequences arising
thereof. The respective handling charges will be levied according to our Tariff (see the Tariff of this
exhibition).
9. Heavy and/or oversized exhibits
Exhibitors who have heavy and/or oversized exhibits (i.e. individual package / pieces weighing more
than 3000kgs and/or its volume being over 5 cbms) must be on-site all the time during the move-in and

move-out periods in order to direct the operation of unpacking, positioning, and repacking of the
exhibits. If any manpower, a crane, a forklift, a truck, or a trailer is required for assembly of an exhibit,
including removing its wooden base during move-in period or for disassembly of the exhibit, including
padding its wooden base during the move-out period, exhibitors should send their requirements to us
in advance. Charges for hiring such facility are covered in our Tariff. A detailed layout of exhibits
should also be submitted to us for better on-site operations. If no layout has been submitted or no
instruction is given, exhibits will be delivered and placed arbitrarily on the stand. Extra expenses will
be levied if exhibitors request any repositioning of the exhibits thereafter.
It is imperative to mount the heavy exhibit firmly on a sturdy base with skid in order to protect the
exhibit while being hoisted and positioned. Cases for heavy exhibits should be so constructed that the
sides are jointed by bolts rather than by nails or screws. This will prevent the cases from being
damaged during unpacking and will save considerable time, especially during the exhibition closing.
Please mark the “front side” of the cases clearly to ensure correct positioning.
10. Packing of exhibits
Exhibitors shall be responsible for the consequences of improper packing.
*A. Protection against damage and rain
Because the exhibits are repeatedly loaded and unloaded during transportation, shocking or bumping
will sometimes be inevitable. Moreover, exhibits will be placed outdoors many times, including
open-air storage at the exhibition site before and after the exhibition. Therefore, exhibitors must take
necessary precautions against damage and adverse weather conditions. We can not assume any
responsibility for the damage, especially when return exhibits are to be repacked with the used packing
materials (the cases as well as aluminum foils, plastic covers etc. would have already been damaged
during unpacking).
*B. The case
The case must be strong enough to avoid damage during transportation as well as unpacking, and in
particular, be suitable for repacking and for sale or return movement after the exhibition. Packing in
cartons is not considered suitable for repeated handling, especially for valuable or delicate items.

12. Unpacking and repacking of exhibits
Customs clearance will be in effect at the exhibition site. We will deliver exhibits to stands, assist
unpacking and repacking and customs clearance with the signature of exhibitors or their authorized
agents. Exhibitors are highly recommended that their representatives are present on-site during the
move-in & move-out periods to supervise positioning, unpacking, and repacking of exhibits. This is
especially important for the more delicate or heavy exhibits, as the on-site operations will be carried
out at the exhibitors’ risk.
We will not be responsible for delay of customs clearance and positioning/displaying of exhibits due to
late arrival of exhibitors’ representatives or without receiving explicit instructions from exhibitors
beforehand.
As the customs requires the official forwarder to be responsible for every exhibit, exhibitors should not
be allowed either to take any of their exhibits out of the exhibition site before, during, or after the
exhibition without the customs inspection and approval, or to unpack their exhibits
on-site without prior arrangement with the Customs through us. We shall not be responsible for any
confiscation or fines arising thereof.
When exhibits are repacked with used packing materials, these packing are regarded as no longer
suitable to protect exhibits against damage/moisture compared with the originals. Exhibitors shall
therefore bear the responsibility for the consequences arising thereof.
13. Insurance
As our tariff is compiled on the volume or weight basis and has no correlation with the value of
exhibits, naturally no insurance has been covered in our tariff and all work is undertaken by us at
owners’ risk. Thus, exhibitors should arrange a proper round-trip (including exhibition period) of
all risk insurance for their exhibits and such insurance must include a waiver of subrogation against
Sinotrans Beijing Company and its agents and/or subcontractors.
It is advisable to insure exhibits through the company, The People’s Insurance Company of China.
Exhibitors should also bring a copy of the insurance policy to Beijing with them. It will be required in
case exhibitors need to file a claim for damage or loss in China.
Sinotrans Beijing Company will not be responsible for any loss of or damage to exhibits, which
are not insured by exhibitors.
14. Quarantine inspection
According to the quarantine law of China, all the incoming exhibits (including their packages) have to
be quarantined before they arrive in China. Once plant disease and insect pests are detected on the

incoming cargos (including exhibits and their packages) or the quarantine mark thereon is not in
conformity with the stipulation of the Quarantine Authority of China, such cargos will be disinfected or
fumigated in China, or will be ordered to return directly from port of China by the Quarantine
Authority of China (please refer to our Tariff for relevant charges).
A. Packing materials
Areas of Application
All countries / cities (Including Hong Kong SAR, Macau SAR and Taiwan)
Scope of Application
All non-processed/raw wood packing materials to be used to bear, pack, pad, support and reinforce the
goods, such as wooden case, crate, pallet, axle, wedge/peg, pad, sleeper, lining, frame, pole and etc.
Scope of Exemption
All processed wood packaging materials including synthetic wood or wood which is thoroughly
processed after being heated and pressed, such as plywood, shaving board, fiberboard core, sawdust,
wood wool and shavings etc. and other wood materials with their thickness equal to or less than 6 mm.
Requirement of Application
All import wood packing materials should be treated by Heat Treatment (HT) or Methyl Bromide (MB)
fumigation under the supervision of the quarantine authority of the export country or territory
according to the International Plant Protection Convention (IPPC), and the Mark of IPPC (as below
sample) in black color should be put (stuck) on two opposite sides of the treated wooden package.
The Mark should include the abbreviation of the International Plant Protection Convention -- IPPC,
the ISO two-letter country code of the country of departure shown on the B/L, the wood packing
producing enterprise special code approved by official plant quarantine authorities in the export
country and treatment measures (HT or MB).
If the wood packing materials don’t bear the approved IPPC mark, or the IPPC mark on them doesn’t
accord with the requirement, or live harmful organisms are detected on them though they bear the
approved mark upon the spot inspection of the quarantine authority, such packing materials will be
phyto-sanitarily treated (by MB or HT) or such packing materials together with the exhibits therein
will be ordered to be returned to the export country.

exhibitors are required to submit a letter of DECLARATION OF NON-WOOD PACKING

B. Wadding inside the packages
According to the regulations of the Quarantine Authority, all the wadding (materials) inside the
packages must be new, nonpoisonous, harmless and standardized. Otherwise, the exhibits will not be
allowed for display on the stand.
C. Foods, animals, plants and their products
i) For animals/plants and their products including live animals/plants, seeds, dairy products, fresh fruits,
Declaration form and Temporary Import application should be submitted to us in advance, and cargos
can only be shipped after the permission of the Chinese AQSIQ (Quarantine Authority). It will take 30
working days to obtain the import permit from AQSIQ.
ii) For processed and well packed foods, including wines, fruits, vegetables, tins, seeds, etc.
exhibitors are required to submit the following certificates to the Chinese Quarantine
Authority before such foods are delivered to stands.
a) Certificate of Origin;
b) Health and Sanitation Certificate issued by the government department of the export country.
c) Sample of exhibits (3 pcs for each kind)
iii) If exhibits under the category of fresh flowers (without soil) are intended for relative and specialized
exhibitions, the exhibitors must submit the official quarantine certificate (the original one issued by the
export country) to the Quarantine Authority of China through us, and such cargos can be delivered to stands
only after the inspection from the Quarantine Authority of China.
NOTES:
For above food & beverage samples and cosmetics etc., exhibitors are required to ship cargos 10 days earlier
than the deadlines stipulated in our shipping guideline, because it will take 10 working days for the quarantine
authority to inspect the samples of such goods. If such goods prove to be qualified after the inspection, they
can be tasted or consumed during the show. Otherwise, all the goods can only be displayed during the show,
and after the show they must be returned intact to the export country or abandoned to the customs and
quarantine authorities for the final destruction disposal thereof.
According to the quarantine authority, any kind of meat and dairy products are not allowed to be imported
into China. So exhibitors are suggested not to transport or carry any of the said products.
For return shipments, some countries’ governments require that wooden cases and/or wooden pallets
containing the return exhibits must be fumigated before they leave China. We can arrange the
fumigation for such shipments or make new packages being suitable to the quarantine requirement of
the destination country upon request of the exhibitor and/or its agent. The charges thereof will be
advised.
Because the fumigation procedure will require extra time and care, exhibitors are reminded that their
exhibits will take a significantly longer time to receive.

All the charges of quarantine inspection and/or fumigation etc. for the incoming and return shipments
will be levied according to our Tariff(See the attachment).
15. Move-in of exhibition
During the move-in period, we will deliver exhibits to booths on time and assist exhibitors in
unpacking and positioning the exhibits according to the request of exhibitors and their agents.
Meanwhile, exhibitors will fill out the exhibit delivery note in order to confirm that all the inbound
handling charges are paid off before the move-in of the exhibits, and that exhibitors have strictly
observed the regulations of the customs and quarantine authorities.
16. Closing of exhibition
The following documents will be distributed to exhibitors before exhibition closing:
a) A copy of the Declaration Form previously submitted to us
b) A form of Instructions for Disposal of Exhibits
c) Packing List of Exhibits to be returned
We will start to return empty cases from storage area to stands on the evening of the closing day.
Exhibitors, however, shall start repacking on the next day.
Upon exhibition closing, exhibitors are requested to declare to the customs on the Declaration Form
the proper disposal instructions of their exhibits as follows:
a) Sold
b) Donated
c) To be returned
d) Abandoned
e) Given away
f) Consumed
g) To be transferred
h) To be disposed
Please fill out and return the Instructions for Disposal of Exhibits to us before the day of exhibition
closing. After the closing of the exhibition, all exhibits should be moved to the customs bonded
warehouse due to the requirement of the customs. Relevant charges will be levied according to our
Tariff.
Exhibitors must pay special attention to the following customs regulations:
A. Declaration of contents in each package must be correct.
B. Items (e.g. personal effects, souvenirs bought in China etc.) other than those declared exhibits are
absolutely not allowed to be returned together with exhibits.
C. Everything have been declared to the Customs before the exhibition opening, must not be disposed
or taken away by exhibitors without being declared to the Customs after the closing of the exhibition.
Otherwise, exhibitors should be responsible for any penalty by the Customs arising thereof.

17. Return of exhibits
All exhibits, which have not been sold, donated, abandoned, given away or transferred, must be
returned to overseas after the closing of the exhibition.
According to the regulations of the Chinese Customs Authority, all exhibits must be disposed of within
4 months after the close of the exhibition. That being said, exhibitors are suggested to submit to us the
adequate disposal of the exhibits in writing prior to the above-stipulated time.
All return shipments will not be arranged before the exhibitors have gone through all customs
clearance requirements. Exhibits are to be handed over with their instructions. Once these instructions
have been carried out with customs and relevant transportation parties, any changes will not be
accepted.
According to the regulations of customs, the customs broking agent (Sinotrans Beijing Company,) will
arrange the space booking for air and sea shipment returns. Otherwise, we will not be responsible for
any consequences arising thereafter.
18. Containerized exhibits
Exhibitors are reminded that container numbers must be correctly and clearly marked on respective
Declaration Forms This is important for the facilitation of customs clearance, devanning of containers,
and delivery of exhibits to stands.
In order to save from unnecessary detention fee, exhibitors are requested to submit us a written
instruction for disposal of empty containers before devanning, specifying empty containers to be
returned to container yard (CY) upon devanning or empty containers to be detained for return
shipments. Otherwise, empty containers will be automatically detained at on-site storage area until an

explicit instruction is submitted to us. The entire detention fee as well as the storage charge arising
thereof will be for exhibitors’ account.
According to the shipping agencies, detention fees will also be applicable to containers with return
shipments. These detention fees will be calculated until full load containers are returned to carriers.
We are not responsible for the disposal of empty containers coming by rail if they are not accepted at
CY. Exhibitors should be prepared to return such empty containers to the original terminal. We can
assist with transporting them back by sea at the exhibitors’ request. All the expenses arising thereof
will be on exhibitors’ account.
If containers are self-owned, exhibitors must submit to us a copy of an effective certificate providing
evidence that the containers are owned or leased by them in order to avoid the miscalculation of
detention fees.
Container detention fees will be calculated and collected according to our Tariff. The Charges for
empty container returns to CY, and that of extra empty container pick-ups from CY for return
shipments, are all covered in our Tariff.
19. Terms of payment
A. The estimated pre-payment must reach our bank account before the move-in period.
B. The balance dues for inbound and outbound movement must reach our bank account before bills
of lading of return shipments, and/or sold exhibits are released by us.
C. We will collect all charges strictly according to the Exhibit Handling Tariff that should be taken into
account by exhibitors or their agents.
D. Remittance of payment
