PArT TwO: INSTruCTIONS FOr INvIgILATOrS All invigilators should read the ’National Examinations Administration Handbook for Schools in the Kingdom of Bahrain’, particularly Part Three thereof titled ’Administration and Implementation of National Examinations’, and should refer to it to obtain detailed guidelines and instructions.
2.1 ArrANgINg ThE ExAmINATION hALL (1) Any hall in which an examination is conducted must provide students with appropriate conditions. It must be an environment in which the students feel comfortable, and attentionmustbepaidtosuchmattersastemperature,ventilation,lightingandquietness.
(2) There must not be any materials displayed in the examination hall, for example diagrams or wall charts, which might be helpful to students in the examination hall. Particular care must be taken with those examinations held in learning resource centres;
(3) A reliable clock must be visible to all students in the examination hall;
(4) The invigilator must ensure that the students are aware of the duration of the examination;
(5) A copy of ‘Instructions for Students’ must be displayed inside the examination room;
Note:schoolsshoulddistributeleafletscontainingtheexaminationtimetablestostudents and parents in the week before the national examinations take place.
(6) Seating Arrangements:
• Studentsmustbeseatedaccordingtotheattendanceregisterorder;
• Theseatingarrangementsintheexaminationhallmustbeorganisedinsuchawaythat students are prevented from disturbing others or overlooking their answer papers;
• Each studentmust have a separate desk or table of sufficient size to comfortably accommodate the question papers;
• If,inexceptionalcircumstances,studentsarenotworkingatindividualdeskstheymust bespacedsufficientlyapartsothattheirworkcannotbeseenby,andcontactcannotbe made with, other students;
• Theinvigilatormustcheckthateverystudentintheexaminationroomisinpossession ofanofficialidentitycardoracopythereof;
• For listening examinations, the invigilator must ensure that all students in the examination hall are able to clearly hear the texts recorded on the CD;
• Any student suffering from an infectious or contagious disease must take the examination in a separate hall in which all the examination regulations can be applied (kindly refer to Part Four of ‘National Examinations Administration Handbook for Schools’). The student’s answer paper must be placed in a separate envelope from other answer papers at the school, and the student’s enciphered CPR label should be placed on the front of his/her answer booklet;

2.2 BEFOrE ThE ExAmINATION BEgINSBefore the invigilator announces that the examination has started, he/she must:
(1) ensure that the students are seated comfortably;
(2) check that the students have all the necessary materials to enable them to complete the examination;
(3) ensure that the question packet and the answer packet are for the right grade and subject, as well as the right examination paper;
(4) open the question paper packet and ensure that all students have the correct question paper;
(5) fillintheattendanceregisterandseatingplanintheanswerpacket;
(6) ensure that the student’s enciphered CPR label is placed on the front of his/her answer booklet;
(7) draw the students’ attention to the instructionsand informationprintedon the front of the question paper, and to the fact that they must not retain any unauthorised materials;
(8) inform students that they must:
• writetheiranswersontheexaminationspaperitself,exceptforPaper2oftheProblem- Solving Examination for Grade 12 where an answer booklet will be provided;
• writetheiranswersclearly;
• notusecorrectingfluidorcorrectingpens;
• notusehighlightersorglue;
• notusedictionaries(includingelectronicdictionaries);
• notuseacalculatorfor grade 9; however, it is permitted for grade 12.
• notuseMobilephonesintheexaminationhall.
2.3 durINg ThE ExAmINATION (1) Students, who arrive late for the examinations, please refer to band (3.2.6) in the National Examinations Administration Handbook
(2) Invigilators must be fully observant at all times and supervise the students throughout the entire examination so as to prevent cheating and distractions;
(3) Invigilatorsarenotpermittedtoreadthequestionpaperstostudents;
(4) Invigilators should not give any information to students about:
• Suspectederrorsinthequestionpaper,unlessanerratumnoticehasbeenissuedby the DNE;
• Anyquestionon thequestionpaperor the requirements for answeringparticular questions;
(5) Invigilators should ensure that no question paper is copied or leaked or photographed;

(6) Invigilatorsshouldensurethatamemberofstaffisavailabletoaccompanyanystudent who needs to leave the hall temporarily;
(7) If a student finishes the examination early, they are not permitted to vacate the examination hall until at least half way through the allocated examination time;
(8) In the event of an emergency, action must be taken as detailed in band (3.2.9) in the National Examinations Administration Handbook.
2.4 BEFOrE ThE ENd OF ThE ExAmINATION(1) Invigilatorsshouldinformstudentswhentheyhavefiveminutesremaining;
(2) Invigilatorsshouldinstructstudentstostopwritingattheendofthetimeallottedforthe examination;
(3) Students who arrived late will be given additional time to compensate for their late arrival. Please refer to band (3.2.6) in the National Examinations Administration Handbook. Invigilators will instruct these students to stop writing at the end of the additional time.
2.5 COLLECTINg ANSwEr PAPErSInvigilators should ensure the following:
(1) The label on the envelope provided corresponds to the grade, teaching group, subject and paper taken;
(2) Theattendanceregisterandseatingplanmustbecompletedandthenameoftheinvigilator mustbewrittenandattachedtothestudentsanswerbooklets.Theschoolshouldretaina copyoftheattendanceregisterandseatingplan;
(3) The student’s CPR label should be placed on the front of all answer papers;
(4) Theword“Absent”iswrittenonthelabelwhenastudentisabsent;
(5) All student answer papers and unused papers are collected before the students are allowed to leave the examination hall;
(6) Answerpapersarearrangedaccordingtotheattendanceregisterorder;
(7) All used and unused answer papers or booklets for Grade12 Problem Solving Paper 2 must be put in the answer packet, ensuring that all papers are returned to the DNE;
(8) Answerpacketsmustbesealedtomaintainahighlevelofconfidentialityoftheanswer papers,andtheymaynotbereadorphotocopiedbyanypersonunlessthisisspecifically required by the DNE;
(9) The packets containing student answer papers must be delivered by hand to the school administration, which should deliver them to the distribution centre at the end of each examination day.
Note: Correspondence, reports and forms (for example, the ‘Special Consideration’ application forms included in this Appendix), must be sent separately by the school administration to the DNE and not enclosed with the student answer papers, unless specificallyinstructedorauthorisedbytheDNEtodoso.

Part Four: exaMination reGiStrationS anD SPeCial arranGeMentS
4.1 reGiStration oF StuDentS’ DataGovernment schools administrations must register their students’ data in the ’School Management System’ of the Ministry of Education, while private schools must register their students’ data using ’Excel’.

Form S02: Special arrangements application Form Before completing this form, Part Four of the National Examinations Administration HandbookforSchoolsmustbereadtoconfirmthat thestudent iseligible forSpecial Arrangements.
This Form should be used only when applying for Special Arrangements in advance for students who are permanently disabled (for example, blind, sight and hearing impaired, andstudentswithlearningdifficulties),orstudentswhohaveatemporarydisabilitythat will affect their access to the examinations (for example, a broken arm). The school should submit the application on behalf of the student.
If a student is unable to sit the examination due to an emergency case (for example, death of a relative, chicken pox) a Special Consideration should be applied rather than Special Arrangements.
