Solution
There was an important meeting with a superior and the instructions received must properly reach subordinates, suppliers and clients located in different parts of the world
To solve this issue I propose to define a communication plan as a strategy to transmit the instructions to the others party involved. It is important to take into account the following:
Determine critical success factors Define a timeline for each step to achieve the
goal on time, and stablish a deadline. Monitor on a regular basis the execution of the
plan to ensure the success of the strategy. Process the feedback received from the
monitoring. Make the adequate adjustments determined by
the feedback.
Communication Plan
Strategy • Initially the strategy proposed
consists of the following steps:• Ensure that the instructions were
properly received for this is the first critical factor of success.
• Define a schedule of meetings with the parts that need to receive the instructions whether they are presential or made by telephone, videomeeting, etc.
• Inform deadlines to all parts in charge of transmitting the instructions.
• Send the instructions in a printed or virtual format, that can be accessible and understandable to all.
Monitoring•Stablish workgroups to follow up on the results of the receptions of the instructions and collect feedback from the participants to make sure that they were understood properly•In this case since the subordinates, suppliers and clients are in different parts of the world it should be check that the language used, and the form the instructions are presented are adequate for that culture.•The monitoring should be performed as many times as necessary depending on the size of the group of people to be informed of the instructions, and in appropriate intervals.•Check if there’s another critical factor that was not foreseen at the beginning and take it in account for the adjustments of the strategy.
Adjustments• From the feedback collected make
the necessary adjustments to the strategy so it can be adapted to the necessities of the internal and external factors.
• If there were no additional critical factors identified in the monitoring, just make the fine tuning to the get a definitive and effective strategy to achieve the desired results.
